Message From Our 2013-2014

Many of us on Council are still whirling from all of the excitement of convention! Pre-convention was an exciting time for us as we analyzed Pre-Convention Report information to determine how much profit was generated and how much money was given by each chapter in each district to their respective projects in their communities. Thank goodness today's technology has made much of that figuring easier than in years past! Then we put the finishing touches on lots of reports. No matter how many people proof something, we always seem to find an error somewhere - and of course always after hundreds of reports have been printed. At some point, we just have to accept our hard work as it is and turn our focus onto getting through the challenges of convention, celebrating everyone's hard work and just having fun! We hold our first National Council meeting of the New Year immediately following convention Monday morning at which time a folder full of materials, contact information, calendars and committee lists are handed out to give everyone direction for the coming year.
Thus far, within three weeks, we've exchanged files and zip drives between new officers and old and started preparing introductory communication and scheduling visits to chapters. Our Summer Council meeting is only days away now. Your Future Planning Committee will meet, and National Council will begin laying the groundwork for this New Year!

Psi Ote Input From Convention 2013
 We will be looking intently at the convention surveys to hone valuable information in preparation for this year. So, at this time we'd like to share just some of the interesting statistics and comments that our membership provided this year!
The top items that were most enjoyed this year were the hotel and historical location; the food; the sisterhood that was experienced; the welcome party; and the district meeting workshops. There were many, many other items on that list, but those were the top five. Things that members thought could be eliminated included unrelated keynote speaker; the number of speakers (and/or length of talks); skits; the welcome/response/introductions portion; and some felt that nothing should be eliminated or changed that would affect the opportunity to network and share. Again, those were the most noted.
We asked if the current award system motivates your chapters to plan for your year and 81% said no, while 19% said yes. Sixty-eight percent gave negative remarks about the current award icons and 32% were favorable. The opinions were either strongly for or against continuing the use of the icons. Excellent suggestions were made for new award categories and different methods of recognition.
We assure you these will be seriously considered at our National Council meeting this month when we work on the next phase of restructuring the award recognition program. Phase 1 was simply to collect the award icons at convention this year, to introduce some new categories, and to further discuss the next phase afterwards. Your survey comments gave us good insight and ideas on what to do next.
To relieve any concerns, our immediate plan is to identify the chapters who donated each icon and offer to return them. Council will discuss what to do with icons from disbanded chapters or chapters that may not want them back. Chapters will receive a letter in September detailing recommendations for dispersing these items as well as ideas for continuing some of the old award categories and introducing more new categories.
Forty-seven percent of survey respondents liked the use of certificates this year because they could be framed, put in scrapbooks and kept as a permanent memento of their accomplishment. Twenty-two percent suggested giving money as an incentive and numerous surveys either love the change or stated that awards are not necessary because that is not what motivates them to do good in their communities.
There were numerous comments about the combined cost of Convention and the State meeting being a hardship as well as multiple suggestions for having the State meeting take place at the convention. Last April we offered convention meeting space on Saturday morning (prior to convention) for next year's State Meeting but the Indiana State Council had several conflicts with the convention date. Let your State officers know if you like that idea - or not.
Thank you to those who took time in sharing their thoughts and ideas on the surveys or through personal emails. We can't satisfy everyone, but we will listen and do our best to recognize the majority in the best interest of our organization.

Check out the canned membership kit that your delegates brought home from convention and set your date for your own event! Your District Officer will begin contacting you in September and October to get your date and we will try to join you! Look at the wonderful recruiting materials that have been designed as well as the "how-to" instructions and newspaper releases! Make your membership event a priority this year!

- Memorial Information Please send memorial information and a picture, if possible, to your editor for submission for the next newsletter. This information will be accumulated and placed in the next Helicon and a copy of the newsletter could then be given to the family displaying your remembrance of your sister.
- Pictures, Pictures, Pictures! Need I say more? We all love to see pictures, and what a fantastic way to share your chapter ideas, fundraisers and community events that shout out, "We love Psi Iota Xi!" Again, forward them to your National Editor! And don't forget to post them on our Facebook Main Page and Group Page
- Check our website's online calendar for events/activities in your area and be sure to post your chapter events so other sisters can join your fun!

Got Supplies?
As you start your new year think ahead of what you will need as far as supplies from the National Office. Look at the supply list form that is located on the website under members only. Think what your new officers or new members will need.
Note there are starred items* and those can be ordered from the office and emailed to you at no cost. Some items are even free from the website-so, check it out! Soon more and more items will be available by email and/or online.
You can also make copies of the order form and mail it to the office with your check, or you may order in advance and pay at the IN State Association meeting or Convention. Whichever is most convenient for you or whomever is ordering the supplies for your chapter. You may also pre-order by email.

Note-We will no longer supply the little blue books for your chapters since most chapters are going with the larger binder for their information.
