Service Standard of the Week:
Service Standard #7: Communication Etiquette

We follow communication standards and expectations when engaging in electronic and telephone communications; ensuring to always use a warm and friendly tone. 

Here are some behaviors that demonstrate standard #7:
  • Use VNA communication etiquette standards, answering all calls within 4-rings and with a smile; thanking the caller, giving them your name, using hold carefully, and keeping them updated if they are on hold.
  • Leave clear and detailed voicemail messages, including your name and your call back phone number.
  • Never use voicemail to avoid calls.
  • When necessary ask the caller, "May I place you on a brief hold?" Eliminating call transfers whenever possible.
  • Adhere to communication messaging standards.

Making a Difference with Customers on the Phone

All of us have experienced the dreaded "MUSAK" of being on hold or in the "Black Hole" of voicemails and phone systems.
 
When you put yourselves in one of those situations - you can appreciate how the labyrinth of what it takes to reach through to a live person and simply get a question answered or perhaps a "let me help you" can make THE difference.
 
Sometimes it is the simplest solutions not fancy ones that elude us.
 
"Can on put you on hold?"
 
"Thank you so much for being patient."
 
"I appreciate how frustrating this might be; let me see if I can find you the right person."
 
Every one of us has demonstrated we know how to embody this standard. And when the chaos of the day is at a manageable level - that is easier to do.
 
Our challenge is when that chaos tests OUR patience - that is when a deep breath, a walk around the office, a blowing off of steam in a quiet place with someone who can listen - allows us to take pause.
 
It is only than that we can present our "BEST" selves and ensure our communication represents who we really are for our patients and callers: Caring and compassionate employees who are out to provide the best care and outcomes for everyone we serve!

I would just like to share that a patient's widow called into the agency purposely and specifically in the off hours to speak with the night shift and to sing their praises, especially Victorine Nduku the Needham response nurse. She shared her experience with hospice and everyone she encountered, naming Victorine, Julie, the patient's primary nurse, Tracy on triage and all of the caregivers and staff at Rose Monahan. She expressed her gratitude over and over while we talked. She also wanted me to put her in touch with Victorine so she could say thank you. 

Victorine you are truly an unsung hero...with the miles you travel and the middle of the night visits you face...some very unpredictable...you maintain poise and professionalism and never complain! Thank you Victorine and thank you also to Julie and Tracy who are equally as fabulous!!

Medispan Update for Encore/Delta Users

Attention Encore Users:
On Wednesday February 17, 2016, a Medispan update will be placed on the Server at 2pm.
 
Please remember that this file will be picked up by your laptop with its first laptop sync after that time. It takes about 30 minutes to process onto your laptop. Please setup for your usual overnight communication Wednesday evening so that you will pick up the Medispan file overnight avoiding a potentially lengthy communication in the morning.

Long Term HHA Services and Behavioral Health

Continuation of Long Term HHA service, when needed, for VNAB Patients Transitioning to Behavioral Health
For VNAB patients who need both Behavioral Health and restitution of on-going long-term personal care assistance, Community Resource Specialists MAY be able to help secure reinstatement or initiation of PCA services through ASAPs. MAY is the underlined word here; CRSs can file applications with an ASAP but the ASAP may or may not be able to fill the request at the time of Behavioral Health taking over the patient's care.

Since it takes on average 2-3 weeks for an ASAP to resume services, and sometimes greater than 4 weeks for an ASAP to initiate service for a new client, we ask that:
  • A written intra-agency referral be made by the primary clinician as far in advance as possible, and no later than the original inquiry to BH is made, to the CRS requesting resumption or application for PCA service with an ASAP
  • It is important to understand that some ASAPs will not resume or initiate PCA service will a patient is active with VNAB, others may/will.
  • It is also important to understand that some patients will not be eligible for PCA service through an ASAP and may require Private Duty/Home Staff service instead.
  • If a patient was not previously receiving PCA services via an ASAP, initiation of services may take longer than 4 weeks.

Mantoux
Mantoux Testing in February/March

BEGINNING IN 2016 ALL MANTOUX TESTING WILL BE IN FEBRUARY/ MARCH...MARK YOUR CALENDARS!! Please note that some dates have changed.

Wellness will be doing Mantoux testing for all licensed clinicians around the first quarter OASIS education sessions.
 
This is a change for both VNAB and VNACN.
 
We will be in each office 1-hour before the session starts and will stop 5 minutes before the program begins. We will also be available 1-hour after the program to administer Mantoux. We cannot plant a Mantoux on a Thursday, as staff would have to come in on the weekend to have it read, so I have added additional sessions in a few of the offices that are not around OASIS sessions. Wellness will also be available 2 days after the Mantoux is planted to read the results
 
All licensed clinicians are required to have a yearly Mantoux (or complete a positive reactor's form). Mantoux can be safely given 7 days apart and it is recommended that pregnant women be tested as well.

HVAC
New HVAC System in Worcester
 
The Worcester office is installing an upgraded heating and A/C system over the coming months.We will need to relocate staff and Facilities and IT are working to get everyone accommodated in temporary locations while their area is being worked on.
 
The schedule is as follows:
  • 3 North (HR, IT, Facilities) - 2/15 to 2/26 from 6 a.m. to 4 p.m.
  • 1 North (daycare/reception) - 2/29 to 3/11 after hours to accommodate daycare
  • 1 South (daycare/reception) - 3/14 to 3/18 after hours to accommodate daycare
  • 2 South (referral center) 3/21 to 4/1 (Time TBD after meeting)
  • 2 North (clinical area) 4/4 to 4/15 (Time TBD after meeting)
  • Boilers and other prep work 4/15 to 4/29
  • Start up 4/29 to 5/20 (Pending on Weather)

Employee New Hire Referral Bonus Program

The new hire referral bonus program includes employee referrals for RNs, LPNs, PTs, PTAs, OTs, COTAs, and SLPs. If you would like to refer a friend, family member, or colleague, please inform the appropriate Human Resources Representative at your location prior to the applicant coming in for an interview. Please note, when two or more employees refer the same applicant, the referral bonus will be split equally amongst the employees.

Referral bonuses are paid out after the referred employee's three and six month anniversary, as long as they are in a paid status at those intervals.

Zika
Zika Update

The information about the Zika virus is rapidly evolving. Local transmission had been identified in at least 14 countries or territories in the Americas (not in continental United States), but including Puerto Rico. However, Zika virus infections have been reported in travelers returning to the United States.   Lab testing with a blood test continues to be challenging. The CDC lifted the restriction that only pregnant woman with symptoms could be tested. Now testing is expanded to asymptomatic pregnant women sometime between 2-12 weeks following their return from an area with ongoing Zika transmission. Positive tests could be influenced by cross reaction with other flavirviruses like dengue and chikungunya or vaccination with yellow fever vaccination so further lab analysis may be needed.  Non-pregnant women and men are not currently being recommended for testing.
 
An estimated 80% of persons infected with Zika virus have no symptoms. It is a mild disease with hospitalizations and fatalities uncommon.  In symptomatic infections, the incubation period is 3-12 days, usually last from several days to 1 week. The symptoms are generally mild and are characterized by at least two of the following: acute onset of fever, maculopapular rash, arthralgia, and/or nonpurulent conjunctivitis (this symptoms seems to help distinguish Zika from other virus presentations like dengue)
 
As authorities learn more, information about transmission of the virus is being shared. Last week, information on sexual transmission has been published. Sexual transmission of Zika virus from a male partner who has traveled to countries with Zika is possible, but they do not think common. The CDC and the Massachusetts Health department have information on their web sites to reduce transmission risk.  
There is currently no vaccine or medication to prevent Zika virus infection, although a local company in Connecticut is working on Zika vaccine development at present. If traveling to areas of ongoing Zika virus transmission strictly avoiding mosquito bites is your best protection.
  • wearing long-sleeved shirts and long pants;
  • using U.S. Environmental Protection Agency (EPA)-registered insect repellents (when used as directed on the product label, insect repellents containing DEET, picaridin, and IR3535 are safe for pregnant women);
  • using permethrin-treated clothing and gear; and
  • staying and sleeping in screened-in or air-conditioned rooms.

OASIS
Q1 OASIS Education

The QA Department is committed to providing continuing quarterly education sessions for OASIS guidance and accuracy into 2016. As we move into Value Based Purchasing, our care and the measurement of our outcomes is key to the future. Please see following Q1 schedule for the office dates and times. The sessions are 90 minutes and mandatory. As always, you may go to an office of your choosing to complete the education. Please coordinate with your manager.
