There is No "I" in Team

The Human Resources department supports our over 1,300 employees. As a result, we are committed to cross training our entire team across various vital HR functions, decreasing our response time and boosting our efficiency.
As a department, we believe that no one task is specific to any team member. We must band together in an effort to complete our tasks quickly and accurately to meet the needs our wider team - our organization as a whole.
For example, we recently had a member of staff retire. Each HR team member took on a portion of the work. Our business flow continued as usual. We were able to successfully make the transition in a timely manner, simultaneously managing other dynamic duties, such as, open enrollment and recruitment. By sustaining teamwork development, we are striving to uphold the service standard that has solidified our company's reputation across all our valued channels.

Service Excellence Champion Group
The Service Excellence Champion group meets monthly to discuss ways to further our organization's commitment to exceptional service excellence.

Submitted by Sandy Ulen, RN, Worcester office I want to thank the members of the Worcester Hospice Team. We have a family on service that was not looking forward to a very good Christmas. The husband is our patient and only 39 years old. He lives with his wife and one-year-old darling baby boy. I asked for donations to brighten their holiday and the team overwhelmed me with their generosity. They donated numerous gifts for the baby and just over $200 in gift cards and cash as well as homemade cookies and a cake to help this family have a great Christmas! Am so proud to be amongst such a caring, generous group of individuals. Merry Christmas!

Clinical Management Changes

In light of the departure of Annemarie Martin and Jen Casper's transition to her new role as Director of Business Operations, we will be transitioning to a new role within Clinical Services. I am delighted to announce that Katie Callahan has agreed to assume a Lead Manager role within the VNA Management structure. Katie will assume oversight of the Boston nursing team structure and daily operations as well as the IV and Evening programs in particular. We are very grateful to Katie for her assistance in these areas and look forward to working with her in this role. We believe her long tenure in the agency will provide the stability and direction needed at this time to execute our plans to be a key pre-acute and post-acute solution to the health care system. We will be recruiting to replace her position as Manager of the MSW team. ( see job posting here)
Additionally, with the departure of Kathy Souleotis on the SEN team, we are pleased to announce that Elaine Buckley will be assuming oversight of adult team supervision in addition to her current responsibilities. We are very happy to have her experience in management and home care to help guide our staff and respond to the needs of the patients and community.
We look forward to working with Katie and Elaine and appreciate their commitment to the agency and our patients.

Winter Weather Survival Items
As we enter into another winter season, please keep in mind that the VNA provides staff with items to combat the elements, including ice treads, snow rakes, and shovels. These items, especially the shovels, are not intended to be used clear patient walkways or provide access to patient's homes, but to get you safely to and from patient visits.
We have a limited supply of ice treads and snow rakes still available. If you have not already received ice treads, please contact a Worcester HR representative or Linda Britt at lbritt@vnab.org.
Snow shovels are new this year and can be obtained by contacting the appointee in your office below.

Assessing and Maintaining a Safe Work Environment

As clinicians, your main work environment is in the communities we serve. Your safety is very important to us. Historically, the VNAB provided regular security updates - a summary of recent violent crimes in our service area, often awhile after they occurred. Based on your feedback, the Security Committee has made changes to the communication system for these updates.
Moving forward, we will provide updates in the form of "real time" announcements for the entire organization. As we become aware of issues, we will contact staff in an area or, if needed, we will broadcast information to all staff. We will also continue to share updates on hot spots or areas of increased activity as shared by our outside security consultant. We will also continue with our yearly safety and security in-service.
At times, our field staff become aware of situations well before anyone else, so please continue to share concerns with your manager. We will use our resources to get updates as quickly as possible.

Town Hall Meeting Dates
See below for Town Hall Meeting dates, times, and locations. A location is still being worked on for the Needham office/Tippett home. All meetings will run from 8:30-10am. Please note that these meetings are an important communication vehicle and provides an opportunity to hear about important agency initiatives and updates, and as such, they are mandatory for all staff to attend. - Tuesday, January 5: Needham/Tippett > Needham office
- Thursday, January 7: Leominster > Leominster office
- Thursday, January 14: Woburn > Woburn office

Staff Flu Recap

The deadline has passed for all employees to either receive the flu immunization or submit an exemption for the 2015/2016 flu season. The agency did not quite reach our goal of 100% compliance but we came very close. Last year we were at approximately 72% compliance. This year we are at 96.7%!!!!!!!
Out of 1,310 employees, only 43 have not been in compliance. (Human Resources will be contacting the mangers of those not in compliance to follow up, as this is a condition of employment.) To the 1,267 employees who did receive the vaccine, I commend you!!

McKesson: Change in the Notes Section after the Update for Home Care and Hospice

Note: This change applies to home care and hospice. However, hospice may have additional changes that will be communicated separately.
McKesson has made two small changes to Notes and Follow-up Notes:
- If you have Follow-up Notes that are 7 or more days past due you will get a new pop-up message every time you go to the Notes Section in Clinical Explorer.
- When you are writing a Follow-up Note and you accidentally add the wrong person to send the note you may now delete that person's name. You may do so by placing a check mark in the column marked Delete next to the name of the incorrect recipient and click the "Delete Follow-up".

Additional McKesson Update Information
By Tom Dupont, Systems Administrator To ensure that everything will work smoothly, please follow these steps before performing the update scheduled for the evening of 12/28 into the morning of 12/29 (if these steps are not performed it is possible the update may fail): - Come in to the office
- Power off your laptop
- Plug the laptop into a network wire
- Power on the laptop.
- After the laptop boots up, log in to the laptop. Wait about a minute before doing anything else.
- You should now be all set when it is time for McKesson ESD Transfer

Quest Diagnostics Holiday Schedule
In observance of New Year's Day, Quest Diagnostics will be closed for routine business on Friday January 1, 2016. STAT service will be available on an as needed basis during this time. Routine services will resume on Saturday January 2, 2016. If you have any questions, please call Quest's Logistics Department at 888-841-2445.

Competency Requirement Change

VNACN NURSES---PLEASE NOTE CHANGE IN YOUR ANNUAL COMPETENCY REQUIREMENTS
VNACN nurses will not be required to complete the CoaguChek competency as part of their annual competency requirements. It has been replaced by a much shorter competency on performing a finger stick.
You will see the Fingerstick Competency on your Dashboard, but no longer see CoaguChek on the list of modules do.

Patient's Shingles Vaccine to be Tracked Starting 1/1/16

As part of CMS's value based purchasing program for home health, the tracking of the herpes zoster (shingles) vaccine will begin 1/1/16. Most of the measures that the agency will be reporting to CMS are from the OASIS data set or from patient satisfaction surveys. One of the new measures, herpes zoster vaccine for home health patients, will need to be collected. As it is not part of the OASIS, the agency is presently identifying where the documentation needs to be put in the electronic medical record and how to retrieve it so it can be sent to CMS. This will be collected only on patients aged 60 or older. More information will be forthcoming.

 Employee New Hire Referral Bonus Program
The new hire referral bonus program includes employee referrals for RNs, LPNs, PTs, PTAs, OTs, COTAs, and SLPs. If you would like to refer a friend, family member, or colleague, please inform the appropriate Human Resources Representative at your location prior to the applicant coming in for an interview. Please note, when two or more employees refer the same applicant, the referral bonus will be split equally amongst the employees. Referral bonuses are paid out after the referred employee's three and six month anniversary, as long as they are in a paid status at those intervals. Help Desk Going Organization-Wide

Very soon, the MIS Department will be expanding its Help Desk ticketing system (called SysAid) which will allow anyone in the organization to submit their own Help Desk requests from their computer. This will be used for non-urgent problems and requests (such as "my printer is not working" or "please install software on my computer").
Submitted requests will be monitored by the MIS Dept, placed in queue, and addressed timely. In the upcoming weeks, you may see a new icon on your desktop that reads 'MIS Help Desk'. It will be there so as to be ready for implementation when the system is live. Until then please leave it there and you will be instructed in its use at a later date.
We look forward to implementing this system as a way to streamline Help Desk requests throughout the organization, and serve the user community in an efficient manner.
