SENIOR LEADERSHIP CORNER |
Every month throughout this year there has been a bustle of activity behind the scenes to prepare for each and every one of our 321 new employees! So if you have been feeling that the members of the IS, finance and, facilities departments have been busy, you are spot on! They have been busy setting up supports for our fabulous new hires. Here is a few to give you an idea:
- Over 300 new office phone extensions have been assigned
- Over 200 laptop computers and/or iPads have been built and delivered to the Southborough office
- Some 100 desktop computers have been outfitted
- 321 email accounts have been established
- 200 iPhones have been setup and assigned
- Offices have been built and/or reconfigured; including new chairs and some new desks
- Over 200 clinical bags have been packed with equipment and delivered to offices
- More than 321 ID badge photos have been taken, turned into ID badges, and programmed to allow access to specific offices
- More than 200 new clinicians have learned about authorizations and insurance coverage for home care
- Most of you have spoken with our patient accounts department with questions around billing and requirements
So it's been a very busy and productive year. I would like to recognize all of the hard work and thank all members of the IS, Finance, and Facilities Departments for supporting our new hires as they learn who is who in our Agency and how to navigate our systems and processes.

What to Wear When the Temperature Goes Down

As much as we don't want to think about colder weather (especially with the weather we have just had), winter IS approaching! And that can be challenging time for home care clinicians' wardrobes, trying to maintain a professional appearance while also trying to remain comfortable. Some houses are too hot, some too cold. What's a girl (or guy) to do? The obvious answer is to dress appropriately for the weather outside, maybe consider a vest in the earlier months instead of a coat, you really just need to be covered for the trek from your warm car to the warm (or cold) house. As the weather gets colder (and snowier) make sure you have a warmer coat, gloves and scarf or hat. Remember, many of our patients worry just as much about us in the colder, snowier weather as we do them. It makes them anxious to see a young person coming to visit them in the freezing cold with limbs, ears, and head exposed to the elements. Their focus then turns to making sure you are warm and dry and they often put their own needs/ concerns aside. Our elderly patients especially, WILL lecture you if they think you are not warm enough, or worry you will "catch a cold"!
Once inside, layers work well. I find it easiest to wear to my summer shirts with a cardigan/ hoodie/ sweater over it, if I'm hot I can take it off and still look professional, not running around in a tank top, camisole or dripping sweat. Just remember to wear layers that are easy to take off, and don't forget to gather up all of your clothing articles when leaving!
For non- field staff to which this does not apply, enjoy your days in one of our comfortable climate controlled offices or facilities!

While our receptionist in Needham has been out sick for a few weeks, Tim Anderson and Dan Pagliuca in Facilities have been coming from Worcester to help us out. I can't say enough good things about these guys and I don't know what we would have done without them. I know they are busy enough with their own responsibilities and they have surely gone above and beyond by coming here almost every day and we appreciate it. Thanks Tim and Dan!

In an Ever Changing World...

November is National Home Care month and as part of our organization recognizing home care I would like to share some reflections I have from my 27 years in home care. - Our tools have certainly changed: paper to electronic records; paper schedule list to an electronic one; and, lest we forget, an index card to track patient visits called a "tickler card", now also electronic
- Telephoning patients from the office before you started your day was the only way to go. Now, we have a Call Center and the use of cell phones from anywhere to connect with patients prior to making our visit.
- Clinical bags of the past had a blood pressure cuff and stethoscope, liquid soap, paper towels, some other basic dressing supplies. Today, the bag still contains all those supplies, but we now carry a pulse oximeter, INR machine, supplies for cleaning equipment, hand sanitizer, supplies for blood draws, and more dressing supplies. AND, don't forget your name/photo badge!
- Communication with other staff mostly took place in the office. Now, we juggle face-to-face interactions in the office, office voicemail, cell phones, emails, and texts.
- Care plans were very basic, focusing on medications, disease management, and overall wellbeing and community connections. Now, add OASIS, medication interactions, multiple risk assessments, self-care management, Early Response Plans, ensuring there is a follow-up doctor visit, keeping the practice case manager or other specialty program nurse practitioner informed of patient status, ensuring the patient has authorization for care and referrals to other disciplines. Don't forget the Advanced Directive we would like to take a photo or scan of to get to the Atrius practice.
- Monthly staff meeting, case conferences, and occasional education sessions now complement case reviews, interdisciplinary case utilization meetings, OASIS education, annual competencies, IV education, and wound vac training sessions.
- Patients used to be in the hospital for 1 -2 weeks after a surgical procedure. Total joint patients went to a rehab and patients were generally more stable and well along in their recovery process. Now, we're seeing patients the same day as their surgery, immediately following a visit to the emergency room, and oftentimes the day after their 3-4 day hospital stay for a total joint. Recovery is now occurring in the home.
Wow, have we seen quite a bit of change over the last 27 years...just as the whole health care delivery system as changed and will continue to change in the coming years. Sort of like the New England weather saying "If you do not like it today, wait a day and it will change". What has NOT changed in the last three decades is our organizational focus on quality home care for our patients. It's nice to know that in our ever changing world we can always count on one constant with our organization; committed staff that are dedicated to providing patients the care they need to remain safe and well at home and in their community.

Fraud, Waste, and Abuse

Each year we are required to obtain education on Fraud, Waste and Abuse. This year we are fortunate to be able to have this information available to you on the Education Portal (see instructions for accessing below). This is a self learning module, that you will have access to for completion November 11, through December 8.
Non clinical staff, the QA department will be reaching out to you to have you complete, read, and sign information regarding fraud/abuse.
Please take a few moments to complete this vital update for Fraud, Waste and Abuse. Thank you for getting this done timely.
First Time Logging into Ed Portal
You will need to reset your password the first time you log in. Click on the link that says, "Accessing the portal for the first time? Click Here". Then follow the steps
After You Log In
- Dashboard Tab - There are 2 tabs that show: Required Trainings (Annual Competencies) AND Optional Trainings (new hires will find their Core Orientation modules here).
- Reports Tab - Will show all the tests that you have completed on the Education Portal. Managers can look up their staffs scores here.
- Training Library Tab - Will show you ALL the modules and resources that we offer on the Education Portal for your information. Categories can expand/collapse.
- Resources Tab - Information such as FAQ, Customer Service, and Events will be listed here.

Staff Flu Clinics
We've surpassed the 1,000 mark! 1,004 staff have received their flu shot (or provided a waiver or proof of receiving the vaccine at another, non-VNA location) so...to those 300 or so unvaccinated staff that are still out there, we've got our eye on you!!
Receive your flu shot and have your name entered into a weekly drawing for a $100 American Express gift certificate!! (names carry over from week-to-week). Congratulations to last week's winner, Mary Helen Mahony, Speech Therapist in the Weymouth office!

Confirming Patient's Insurance
Attention Clinicians: It's open enrollment again and it's important that we are asking our patients if there have been any changes to their health insurance, as certain health plans have authorization requirements.
If you have a patient that expresses a change to their health plan, please notify the Insurance Verification Department at 508-658-7711 or at X5511. We can also be reached via email at InsuranceVerification@vnacarenetwork.org.

November is Diabetes Awareness Month

November is Diabetes Awareness Month. Click the link below for some compelling current statistics about the impact of Diabetes in the US. Stats include:
- Diabetes affects nearly 30 million children and adults in the U.S. today-nearly 10 percent of the population.
- Diabetes is the leading cause of kidney failure.
- The American Diabetes Association estimates that the total national cost of diagnosed diabetes in the U.S. is $245 billion.

Several patients who have IV's that are managed by the vendor are not captured in our statistics because we say "No They Do Not Have an IV" in our EMR. Please take credit for all of our work and say "Yes" to all IV's Thank You!

Carpet Cleaning
The Facilities Department will begin cleaning carpets this week. This will mostly take place on weekends or after hours to minimize the inconveniences involved. The schedule for the carpet cleanings as follows: - November 10th-Worcester 2nd Floor 4:30pm-6:00pm
- November 12th- Rose Monahan 4:00pm-6:00pm
- November 14th-Woburn 4:30pm-8:00pm
- November 21st- Southborough 7:00am-11:00am
- November 28th- De Rham 3:00PM-5:00PM
- December 1st- Needham 4:30pm-8:00pm
- December 5th- Children's Garden 8:00am-10:00am
- December 8th- Charlestown 8:00pm-10:00pm

Danvers and Gloucester Staff: North Shore United Way Campaign Starts this Week
The North Shore United Way generously supports VNA Care Network's care for patients and families in need on Cape Ann and the North Shore. You can help us continue to improve the health and wellbeing of our most vulnerable patients by making a gift to this year's United Way Campaign. A donation or pledge in any amount enters you into a drawing for a vacation day and gift cards. Watch for more information in your mail folder. (Staff at our other offices received the second annual Employee Giving Campaign materials.)

We are in the final stages of determining health insurance benefit information for 2016. Stay tuned in the coming weeks for more information in the Connecter as well as in-person sessions that will be scheduled in our office locations.

 Employee Referral Bonus Program Expanded to Include LPN, PTA, and COTA!
The referral bonus program has been expanded to include employee referrals for RNs, LPNs, PTs, PTAs, OTs, COTAs, and SLPs. If you would like to refer a friend, family member, or colleague, please inform the appropriate Human Resources Representative at your location prior to the applicant coming in for an interview. Please note, when two or more employees refer the same applicant, the referral bonus will be split equally amongst the employees. Referral bonuses are paid out after the referred employee's three and six month anniversary, as long as they are in a paid status at those intervals. System Issue Notifications

We have received some feedback recently, more like questions, as to why we send out system issue emails to all VNA users when for many they may not apply to them specifically. I am going to try and explain our reasoning below, but please do not hesitate to reach out if you have any suggestions or ways to improve our communications.
When there are system issues, notifications go out to all users. We do this for a number of reasons. We have many people in different areas of the organization that work with both of our EMRs. We understand that not everyone uses both the McKesson and Delta applications, but where they are essential to what many of us do every day, we want to make sure that everyone who does use one or both is notified timely.
At this time, I ask that you to be understanding when receiving these emails and if they do not apply to you, please just delete.

Staff have expressed an interest in learning more about our hospice residences, and if possible, even taking a tour of the homes. This is of course possible, but to provide the experience to everyone without disrupting patient care, we thought taking a virtual tour might be of interest to some.
