During the next two weeks, we will be conducting an organizational-wide employee survey as part of our Culture Design Initiative. Your opinions and comments are important to us. This survey is an opportunity to have your voice heard by assessing areas of the organization that impact and drive the culture of our organization.

 

Below are some frequently asked questions about the survey. Please direct any additional questions or concerns to Mary Campbell, Director of Organizational Development and Service Excellence, at mcampbell@vnab.org.

 

Why

Q. Why is it important that I complete the survey?

A.    - Identify the positive aspects of our culture

- Identify areas for improvement

- Fix problems that demotivate staff and compromise service excellence

 

Who

Q. Who should take the survey?

A. Everyone should take the survey, even those who participated in the Culture Design Focus Groups this past December.

 

Q. Who is managing the survey?

A. Culture and change expert Daniel Stone (www.makingchangereal.com) is managing the survey. Daniel will host the survey and collect your responses online. He will then aggregate the data into workable units based on teams for use during feedback sessions.

 

Q. Who should I contact if I have questions?

A. Questions pertaining to the Demographics section of the survey should be directed to Mary Campbell at mcampbell@vnab.org. Questions about all other survey questions can be sent to Daniel Stone at djs@danielstone.com.

 

What

Q. What is this survey all about?

A. Creating a single culture for our organization that we are committed to and engaged in.

 

Q. What will make this survey different from all the other data that's been gathered during focus groups, surveys, Service Excellence, etc.?

A. Survey questions came from came directly from your feedback during focus groups and Service Excellence sessions

- You will receive your team's survey results and participate in developing action plans to address issues

 

Where

Q. Where can I access the survey?

A. Daniel Stone will be emailing staff a link to the survey on Wednesday, 4/22. Paper copies will be made available to those with no or limited access to a computer with an internet connection.

 

When

Q. When do I have to complete the survey by?

A. Survey active between Wednesday, 4/22 to Wednesday, 5/6. 

- it should take between 30-45 minutes to complete

- You will be given 1 hour of paid work-time to complete the survey

> If you itemize your timesheet, plan to use Meeting Time for this purpose. 

- If you exit the survey prior to completion by closing your internet browser window, you will not be able to go back at a later time to finish.

> If you are interrupted while taking the survey,eave your internet browser window open and/or minimized and return to complete it at a later
 

 

How

Q. How does this survey relate to the focus groups held in December?

A. The focus groups identified the kinds of issues and concerns felt by a small subset of staff; the survey will help us understand how widespread these issues and concerns are in larger staff population.

 

Q. How can I be sure my results won't be tied back to me?

A. All responses will remain strictly anonymous. 

- The survey is being managed entirely by Daniel Stone

- Individual responses will only be available to Daniel, who will aggregate prior to distribution.

- Responses from teams or departments with fewer than five similar/like roles will be combined with the results from another like team/departments for the purposes of feedback sessions.

- Given this guarantee of anonymity, please be thoughtful, honest, and candid when you complete the survey.

- Rest assured that your privacy and anonymity are of paramount importance to us. We will in no way jeopardize your trust by releasing responses in a way that undermines the true goal of this initiative; transparency and sustainable change.

 

Next Steps:

Q. How can I be sure that the time I spend taking the survey is well spent?

A. Once the survey is complete and the data compiled, we will share the results with the entire organization so you can see for yourself how we are doing. In the months that follow, Daniel, Human Resources, and the entire management team will participate in team-based sessions to discuss plans to improve our culture and performance and address any problem areas on a team-based and organizational-wide level. Furthermore, each of you will have the opportunity to participate in local sessions to review the feedback that is directly relevant to your team and to identify ways to make improvements to the culture in your own area.

 

I want to impress upon you that the survey results will be acted upon. The senior leadership team has already been briefed on the results of the focus groups, and are eager to get the survey results so we can take action to enhance our culture. Policies that need changing will be changed. Those who require development in certain skills will be coached. Those who create excellence will be recognized. The amount of communication, upward and downward, will increase. Overall, VNA Care Network Foundation & Subsidiaries will be a better place to work.

 

I would like to get 100% participation in order to ensure that each and every employee's voice is heard. When you receive the survey request from Daniel, please give it your prompt attention.

A grateful family member recognizes Adam Harney at New Horizons in a letter written to the Executive Director at New Horizons at Marlborough.

I am writing on behalf of my 98 year old mother-in-law, who is currently a resident at New Horizons. She cannot find enough words to praise a PCA named Adam Harney. During a visit to the salon mother thought that she had lost her hearing aide. She was distraught, Adam was reassuring, kind and best of all found her hearing aide after they returned from lunch.

 

It should be noted that Adam is a special employee and exhibits outstanding rapport with an elderly resident. Too often employees are not recognized for their efforts that make a big difference in someone's life, which is why I am writing this letter. Kudos to Adam!

Maria is very easy to get along with, very pleasant and handles my wife's illness professionally. She is a comfort to my wife each time she visits.

Donna Shay receives praise from a patient's family member regarding a claims issue.

I spoke with Donna, who has been most helpful. She has been looking into this issue for me and even called and left a message this past week just to let me know she was still working on the issue and hadn't forgotten about me. I truly appreciate her willingness to go the extra mile.  You should be very grateful to have an employee like Donna and should find more like her to work in the VNA Care Network.

Moving Forward Update

Issue 17 - April 14, 2015
 

We are proud to announce the launch of the new Atrius Health Innovation Center. As part of our merger discussions, the legacy practices agreed that, with the considerable changes occurring in the healthcare marketplace, our ability to rapidly innovate and spread successful innovation is vital to our success. Atrius Health is well-positioned to demonstrate our commitment to quality, patient experience, cost of care and, importantly, to create an outstanding work environment for our clinicians and staff. The purpose of creating the Atrius Health Innovation Center is to accelerate our pace of improvement and increase our ability to incorporate true change into our practice through the identification, testing, and implementation of novel care delivery solutions. Therefore, we collectively agreed to make a substantial investment in coming years into the development of an innovation center to demonstrate our commitment to innovation and with the expectation that this will result in big gains for the practice.

 

In the past year, a small pilot team led by Dr. Karen Dasilva, Deputy Chief Medical Officer of Harvard Vanguard, has been exploring and learning about the innovation process and benchmarking other innovation centers nationally. The Atrius Health Innovation Center will focus on internally developed and externally proven projects that impact pain points (difficulties and obstacles) for the practice as we strive to provide the best possible care for our patients. Closely listening to the practice and working with the practice to test ideas will be key to rapidly spreading ideas that work across our sites. Each project selected will go through a rigorous and structured process: collecting ideas, doing background research, and full testing before launching in the practice followed by spreading successful projects throughout the sites. The innovation team will support activities that help the practice to bring forth their ideas for improving their work and supporting our organizational goals.

 

Dr. Karen Dasilva to Lead Innovation Center
We are delighted that Dr. Karen Dasilva has accepted the position of Vice President, Innovation Center, and we will build a strong team to support her. Dr. DaSilva had previously been Deputy Chief Medical Officer and Director of Internal Medicine at Harvard Vanguard. In that role, she was responsible for oversight for all aspects of primary care model work, including coordinating Pioneer ACO work, completing work on the adult Patient-Centered Medical Home (PCMH), overseeing the development of a new geriatric care model, overseeing disease management programs, and integrating the primary care practice with home care models. Dr. DaSilva joined the Chelmsford practice in 1994 as a staff physician in both internal medicine and hematology and continues her clinical practice there. She also held the position of Chief of Internal Medicine for the Chelmsford practice. Dr. DaSilva received her medical degree from Albany Medical College and completed her internship and residency at Albany Medical Center Hospital. She is board certified in internal medicine.


Informed by the work of the specialty integration subcommittee, there will be a search that will include both internal and external candidates for the Director of Internal Medicine position. Karen's responsibilities as Deputy CMO will transfer to Steve Lampert, MD, Chief Clinical Officer.


How You Can Share Your Ideas
The innovation team wants to hear your thoughts on current and future challenges facing Atrius Health and creative ways we can address them. Clinicians and staff can share their ideas both at regional town hall meetings scheduled at several practices in the coming months. All ideas will be considered and those with the greatest potential impact will be chosen for the Innovation Center's portfolio of future projects and initiatives.


Innovation Center Advisory Board
The Innovation Center will be an independent business unit that reports to the CEO of Atrius Health. In addition, it is overseen by an Advisory Board which has membership from the Atrius Health Board and Senior Leadership. Members of the Advisory Board are:
 

  • Carl Isihara, MD, Advisory Board Chair, Atrius Health Physician Trustee and Braintree internist
  • Joe Kimura, MD, Deputy Chief Medical Officer
  • Mary Ann O'Connor, RN, BSN, MBA, CEO, VNA Care Network Foundation

  • Bud Stacy, Chief Financial Officer

  • This launch of the Atrius Health Innovation Center represents a significant strategic step towards to a more successful future in which we can provide the highest quality, best experience, and affordable care for our community.     TV and Radio Personality Billy Costa to emcee auction at 21st annual Dine Around benefit for VNA Hospice Care

     


    The Winchester Friends of VNA Hospice Care's 21st annual Dine Around on Friday, May 1, at 7 p.m. in the Winchester Country Club will feature TV and radio personality Billy Costa as live auction emcee.

     

    Costa's co-hosted the Matty in the Morning show with Matt Siegel on KISS 108 for the past 15 years and hosts the KISS Top 30 Countdown of Today's Hit Music.

     

    In addition to the live auction, Dine Around guests can try their luck in the "casino" with table games and money wheel as well as and enjoy dinner, dessert, silent auction and dancing.

    HIPAA 

    Happy Birthday HIPAA!

    Health Insurance Portability and Accountability Act Turned 12 on April 14, 2015!

    The HIPAA Privacy Rules were the first comprehensive federal rules to protect the privacy and confidentiality of an Individual's health and medical information. In addition, the privacy Rules give Individuals certain rights (including access, accounting and amendment, to list a few) with respect to their health and medical information.

     

    New technologies have brought new changes to the HIPAA Rule; e.g. social media and the proliferation of mobile devices.  Many of these risks were not even on our radar screens back in the "good old days" when mis-directed faxes and failure to shred paper medical or helath plan enrollee records were key HIPAA areas.

     

    It is all of our responsibility to keep our patients Health Information private and confidential.  Here are four suggestions that are very simple:

    1. Protect workstations - A computer should always be minimized when the person who uses it is away from the desk.
    2. Protect papers - Documents like medical claims, bills, and records should be turned face down when the person who is responsible for them is away from the desk.  The files must be kept in secure containers where they can't be read by someone passing by.
    3. Use HIPAA compliant waste baskets and shredders. All our offices have secure bins for confidential information to be shredded weekly.
    4. Speaking - do not speak of specific patients while in elevators, kitchens or any other public place.
