The December edition of the Key Communicator Newsletter will be dedicated to making sure that your school is ready for the winter and spring 2015 registration, including a NEW lottery registration model that we will be piloting based on your feedback regarding the registration process.

How To Register in Using the NEW Lottery System

The DC Collaborative is piloting a new lottery registration model in response to teacher feedback regarding registration.

  

The DC Collaborative is excited to offer our winter and spring 2015 programming for students and teachers across the District. In preparation for the Arts for Every Student (AFES) offerings, we are pleased to share a new pilot registration model for that is designed to better serve each school and ensure that there is an equitable and streamlined registration process this year. You asked and we listened!

 

This new approach is in response to teacher feedback and surveys   we have received  regarding registration. This new registration model will ensure that our key communicators in each school have a seamless process and that each school has the opportunity to reserve valuable tickets to performances and programs throughout the city.  To make sure this new pilot process is effective, we will evaluate this new approach in 2015 to garner your feedback.  

 

Here's how it works:

  1. Now - Thursday, December 4: Review the winter and spring 2015 offerings online at using the Arts for Every Student and Professional Development Catalogue.  A PDF template of the AFES online lottery will be available Thursday, December 4 so you can familiarize yourself with the template.                                                                                  
  2. Friday, December 5: Teachers may attend our open office hours on Friday, December 5th from 10:00 a.m. to 1 p.m. and 4:30 p.m. to 5:30 p.m.  Please the call 202.587.1627 or email tracey@dccollaborative.org to reach us during these times.                                                                                               
  3. Monday, December 8 - Friday, December 12: Complete the online survey detailing the AFES trips that you would like to request for winter and spring 2015 between December 8 and December 12.  This will be located on the AFES Registration Page.  Please submit one application per school, filled out by the Key Communicator.                    
  4. First Round Lottery - On December 15: each school will receive their registrations for January and February.  Schools that did not receive the requested trips will be placed on a waiting list.  If your school has the capability to provide transportation for the AFES learning experiences and did not receive the requested trips, contact us!  We may be able to accommodate your schedule, pending availability at the venue.                            
  5. Second Round Lottery - On February 3: the March and April lottery winners will be notified of their AFES learning experiences.   Schools that did not receive the requested trips will be placed on a waiting list.  If your school has the capability to provide transportation for the AFES learning experiences and did not receive the requested trips, contact us!  We may be able to accommodate your schedule, pending availability at the venue.                              
  6. Third Round LotteryOn April 3:  The May and June lottery winners will be be notified of their  AFES learning experiences.   Schools that did not receive the requested trips will be placed on a waiting list.  If your school has the capability to provide transportation for the AFES learning experiences and did not receive the requested trips, contact us!  We may be able to accommodate your schedule, pending availability at the venue.                           
  7. In June: surveys will be distributed asking for input from each key communicator.   The Collaborative will also host a teacher focus group at the end of the year to address this new registration process.

AFES Policy Reminders

  • Key Communicators (indicated on the Partnership Agreements) ONLY may sign up their school for AFES learning experiences.
  • There are 100 tickets per grade grouping for the entire year. Kids Euro Festival do not count as part of the ticket limit. Grade Groupings: PreK-K, 1st-2nd, 3rd, 4th, 5th, 6th-7th, 8th, 9th-12th.
  • If your school has its own transportation please let our staff know. We can reach more students at other schools that do not have the transportation funds.
  • Please call 202.587.1627 (office line) or 202.787.9086 (cell phone) if you have any questions.
  • All transportation and tickets are covered by the DC Collaborative. We will assign metro to grades 3 and up if your school and the venue location is located within .3 miles of a metro stop.
  • Cancellations: All cancellations (including ticket reductions greater than 10 students) must be submitted in writing to
    info@dccollaborative.org; You may also call 202.587.1627 if you have not received confirmation of the cancellation. If the cancellation occurs within 30 days of the event your school will be invoiced for any transportation/ticket costs incurred.
