Dear Key Communicators,

 

With Spring Registration right around the corner, (beginning Monday December 9th at 8 a.m.) we wanted to send an update regarding signup procedures and the new trips that are available!  We've also included a new member feature and an article to remind you of members that only offer trips in the Spring.  There is still professional development available on our website, including a great one from the Museum of American History on 12/16.  This event rescheduled due to the government shutdown.  Register Here!

 Registration Tips

 

Below are some tips for registration.  Please contact Tracey if you have any questions or if you would like to schedule a conference call to go over registration.

 

To Register:

  • Go to our website www.dccollaborative.org 
  • Click on 'AFES and PD Registration'  
  • Click the date of the performance that you are interested in.
  • Indicate the TOTAL QUANTITY (students and chaperons) 
    from the drop-down menu on the first EventBrite page (DO NOT FILL IN JUST ONE TICKET).
  • Fill in the order form.  Note: If you select multiple grade levels please fill in the amount of tickets per grade level.

Policy/ Procedure Tips:

  • Key Communicators (indicated on the Partnership Agreements) ONLY may sign up their school for AFES learning experiences. 
  • There are 100 tickets per grade grouping for the entire year.  Kids Euro Festival do not count as part of the ticket limit.  Grade Groupings: PreK-K, 1st-2nd, 3rd, 4th, 5th, 6th-7th, 8th, 9th-12th. 
  • Buses are scheduled  to arrive 1 hour prior to the performance at your school.  If you need extra time, please let me know.  
  • If your school has its own transportation please let Tracey know.  We can reach more students that way.  
  • Please call 202.879.9327 (office line) or the cell phone at 973.800.5513 (day of trip issues/ weekend) if you have any questions.
  • All transportation and tickets are covered by the DC Collaborative.  We will assign metro to grades 3 and up if your school and the venue location is located within .3 miles of a metro stop.  
  • Cancellations:  All cancellations (including ticket reductions greater than 10 students) must be submitted in writing to info@dccollaborative.org; You may also call 202.879.9327 if you have not received confirmation of the cancellation.  If the cancellation occurs within 30 days of the event your school will be invoiced for any transportation/ ticket costs incurred.

Interactive Journey Through American History and Behind the Scenes Seminar Workshop

Presented by: Madame Tussauds Washington, DC

Madame Tussauds Washington, DC will take children on an interactive journey through American history. Students will learn in a fun and engaging environment. Students will meet all 44 presidents, sports stars, and media icons. The event will also include complimentary behind the scenes seminars for all groups that will include an oratory exercise utilizing the exemplar speeches of Martin Luther King Jr.

The DC Collaborative will be sending out surveys for each AFES experience, rather than a single end of year survey.  If you have already taken a trip this year please answer the survey linked here.  

 

A member of the AFES team will also contact those that already attended an AFES experience individually.

Arts for Every Student

 

Key Communicators ONLY may register their school for field trips.

 

How many reservations is each school eligible for?

There are 100 tickets per grade grouping for the entire year. Kids Euro Festival is not included in the 100 ticket limit. Grade Groupings: PreK-K, 1st-2nd, 3rd, 4th, 5th, 6th-7th, 8th, 9th-12th. 

 

If I only need 65 tickets, should I ask for 100?

NO.  As we have a limited number of tickets for every event, we ask that schools only request what they need.

 

Does the 100 ticket limitation include chaperones?  Yes.

 

What if I have less students attend the event than I requested?

Schools must notify our office of ticket reductions 30 days in advance in writing.  Schools will be invoiced for the cost of the unused tickets and transportation if there are costs incurred.

 

How do I cancel a trip?

Trips must be cancelled 30 days in advance. To cancel a trip, contact the AFES Program Manager at  info@dccollaborative.org. All cancellations must be made in writing.

NOTE: Your school will be invoiced for the cost of the tickets and transportation if fees are incurred.

 

 

What if the bus does not arrive on time?

If the bus is more than 15 minutes late please call the DC Collaborative offices at 202.879.9327.  Make sure that you check for the bus all entrances at your school.

 

May students eat on the bus, or after a trip?

No. Please arrange for your students to eat prior to the trip, and/or notify the school cafeteria that students will be eating after the trip. Schools may not ask bus drivers to take them anywhere for lunch.

 

Professional Development

 
How much does the Registration Cost?
All DCPS and DCPCS teachers receive three free professional development workshops per year.
 
How do teachers register?
Teachers should register themselves for the events.  If Key Communicators register multiple teachers, they must pass the contact information along of those that will be in attendance with them.
 
What is the cancellation policy?
Teachers that do not attend and do not give advance notice in writing to the DC Collaborative at info@dccollaborative.org will be invoiced for $20 for the cost of the ticket.
