Changing Refresh Settings for Excel Reports

How to change refresh settings for an Excel Report

 

Once you have a refreshable Excel report created, you have a number of different settings to choose from when it comes to how the report data gets refreshed.

 

To access these settings, open the Excel file, click somewhere in the table of results, then navigate to the Data tab on the menu and click Properties. On the External Data Properties window, click on the Connection Properties icon - that's the one to the right of the connection name that looks like a piece of paper with a hand.

 

Here there are two different areas where you can control how the report is refreshed:

  • On the Usage tab you have a Refresh control section. I think the most important setting here is the option of whether or not to refresh the data when opening the file. Typically this will be checked. However, consider situations where the report might take some time to refresh and where you know you will be changing the parameters as soon as you open the report. In that case, you might opt to not have the data refresh when the file is opened and instead make sure that the parameter changes cause the report to refresh. Which brings us to the next area:
  • If your Excel report has parameters, you can selectively choose what parameter changes cause the data to refresh. To do this, on the Connection Properties window open the Definition tab, then click the Parameters button on the bottom. This will open a window with all your parameters listed so you can go through each one and select or deselect the checkbox to 'Refresh automatically when cell value changes'. While it may seem like you always want this checked for every parameter, consider a report where you have a date range. If the report refreshes in seconds, it might not hurt anything to have it refresh on each parameter. But if it takes a little more time to refresh, you might want to consider only having the refresh selected on the second date (the end of the date range) to save users the effort of having to wait for two refreshes each time they change the date range.

I am often asked to make the column headers on SSRS reports "stick" when scrolling or going to a new page. For some reason I find this not intuitive at all and often the tablix options for this in SSRS just do not work properly.


 

When searching for a solution one day, I came across this little blog post with an alternative to using the tablix property options that seems to work quite well. While written for SSRS 2008, in my experience it also works great for SSRS 2008 R2 and SSRS 2012.
