Bryan Warne, R.N., receives April DAISY Award

Bryan Warne, R.N., received the DAISY Award in recognition for his compassionate and caring nursing skills.

Bryan Warne, R.N., received the DAISY Award in recognition for his compassionate and caring nursing skills as a night shift nurse in the Med-Surg float pool. The DAISY Award was established by the DAISY Foundation in memory of J. Patrick Barnes who died at age 33 of ITP, an auto-immune disease.

Warne was nominated for the DAISY Award by a former patient. In the nomination she wrote, "We talked each time he came in and I explained some of my past with him in which he listened intently. I also told him that my sister had passed with cancer and that was the biggest fear in my life. He assured me everything could be looked at and not to worry. He took care of me with the highest regards to my fears, my thoughts, and my care while I was here."

Warne first obtained a degree in mass communications from Kansas State University, and then obtained his B.S.N. from the accelerated nursing program at William Jewell College. His favorite time with his patients is the time right before they go to sleep because he believes in that window of time he can focus on them and share a common ground.

On April 10, the Nursing Recruitment and Retention Committee and the float pool staff surprised Warne with the DAISY Award and a breakfast that included Cinnabon® Cinnamon Rolls. He also received the Healer's Touch sculpture, award certificate, DAISY pin, and parking spot.

Congratulations to Bryan Warne, who like so many Saint Luke's Hospital nurses, deserve a big thank you for his extraordinary and compassionate nursing care.

Do you know a nurse deserving of the DAISY Award? Send an email to daisyaward@saint-lukes.org or pick up a nomination form located in most SLH waiting rooms.

Pill drill

Employees in Saint Luke's hospitals participated in a two-day full-scale drill involving an anthrax bioterrorism event on April 9 and 10. Metro hospitals exercised their mass prophylaxis plans by opening Point of Distribution (POD) centers where "medications" were dispensed to patients, employees, and family members.

"These PODs are critical in emergencies because they reduce demand on public dispensing sites and increase the likelihood that staff will be able to continue working, improving our ability to serve patients," said David Schemenauer, system director of Safety, Security, and Emergency Preparedness. The drill also tested the system's ability to mobilize access to materials from the Strategic National Stockpile. The exercise involved the Missouri Department of Health and Senior Services, Kansas City area public health departments, Mid America Regional Council, Centers for Disease Control, and local law enforcement.

Epic project moves forward, assigns two teams of subject matter experts

Epic and IS teams continue to evaluate the hundreds of Epic system workflow items that were marked as red or "parking lot" issues identified during the 96 validation sessions completed over the past three months. Subject Matter Experts (SMEs) will be asked to participate in additional discussions focused on these specific topics to make final decisions and identify where to adjust the model system in a process called "re-engineering."

"The Epic model system is configured with clinical content derived from organizations successfully using Epic's clinical applications. We will need to build some additional content into the system to meet the needs of our Saint Luke's patient populations. Just as validation sessions looked at workflow compared to the Epic model system, clinical content sessions will focus on validating the content in the Epic model system," said Diane Trimble, system director of Nursing Informatics, and a member of the Epic project leadership team. She added that physician documentation design will occur later in the project timeline.

Regardless of the source of our documentation content (i.e. from the Epic model system, what is currently in HED or third-party content such as Krames) the content must be validated with end-users. To accomplish this task, the Epic project will use two teams of SMEs:

The Interdisciplinary Core Design Group (CDG)

The interdisciplinary CDG will develop the core content that will provide the foundation for the specialty groups to build upon. The CDG group will make decisions regarding the core data content that will be standardized across the system. These core elements will include content such as vital signs, assessments, flow sheets, notes, care plans, patient education templates, and smart sets.

The Clinical Content Build Out (CCBO) Groups

The 26 interdisciplinary CCBO groups will review the content developed by the CDG, then design content documentation for their specialty area. This documentation will be standardized across the system.

Epic staff will be onsite about every two weeks over the next few months. They will partner with the IS Department and participate in meetings with the SMEs while concurrently working with IS staff on the build inside the model system. IS has set the go-live date for Phase 1 of Epic implementation as March 28, 2014.

"We are very excited to be moving into this next phase of the Epic implementation," said Trimble. "Thank you to all of the SMEs who continue to participate in the design and build."

ICD-10 project kicks off

A major change is coming in the area of coding for diagnoses and medical procedures as the United States moves to the new ICD-10 system on Oct. 1, 2014. While it has been in the planning stages for several years, the establishment of the deadline is causing all health care facilities, including Saint Luke's Health System, to prepare for and implement specific plans.

"ICD-10 will be much more complex than the current ICD-9 system," said Trina Wright, ICD-10 project manager and manager of Health Information Management (HIM). "As an example, we will move to more than 150,000 codes from just 17,000 in the current system."

Wright explained that numerous departments at Saint Luke's will be impacted by the change to ICD-10 and that communication and training will take place in both clinical and non-clinical departments. "Our team has already spent a great deal of time learning and preparing for ICD-10. Now, we will begin the process of working with clinicians and other support departments who are part of the revenue stream. For instance, physicians and care team personnel will need to use more specific documentation based on the new requirements. Clinic administrators will have new documentation practices to learn."

A cross-functional steering committee has been formed from several of the departments that will be impacted. That team will direct much of the communication and training that will begin soon. The pre-planning already accomplished by the HIM Department will help make for a smoother transition.

"Our team has been hard at work for over a year and has begun the process of assessing our clinical documentation to learn where we will have to provide more detail under the new system," Wright said. "It's important that employees understand that, more than likely, they will be affected in some way by ICD-10 and that their support and effort will be crucial to helping us make this important transition as we continue on the path to be the best place to get care and the best place to give care."

About Cabot

Cabot Westside Medical and Dental Center strives to create healthier families and a stronger community. The clinic provides a full range of dental and health services to more than 7,900 patients through 23,000 visits each year. Nearly half of these patients are children.

As a not-for-profit health clinic, Cabot treats anyone who comes to the facility, regardless of ability to pay. For those without adequate insurance, services are provided on a sliding fee scale.

Cabot is unique among area community health clinics in that it is one of the few that offers dental care. It is also one of the few - and perhaps the only - with a fully bilingual staff. As such, our Spanish-speaking patients feel at home and can communicate directly and comfortably with their health care providers.
