NonStock Items 

 

From time to time, our support team gets calls regarding NonStock items.  Often, the setting up of these NonStock items results in costing/system problems.  What are the issues? 

 

A NonStock item is something that you don't normally stock; perhaps it's an item that you special order for a customer.  If you create a single item code called NONSTOCK, and the Valuation method is FIFO or Average, this can result in very strange, often horrible results, in your inventory reports or cost of goods sold calculations.

We have two suggestions for managing NonStock items.
  • Set up the item as a Miscellaneous Item (using Common Information | Main | Miscellaneous Item Maintenance) rather than in Item Maintenance.  Miscellaneous items are normally set up without costs so there will be no Valuation or COGS issues.  This method gives you much better control over how costs are posted.  This approach is often used when you don't receive the goods into inventory, but somehow they magically appear for you to sell them.  Since Miscellaneous Items do not track a Quantity on Hand, you don't have to worry about the quantity on hand becoming negative 
  • Set up the item in Item Maintenance (Inventory Management | Main | Item Maintenance), but make the valuation method Serial or Lot.  To use this method, you'll have to receive the goods before you can sell them, therefore negative inventory or negative/incorrect average costs will not occur.  When you sell the item in Sales Order, you will select the specific Serial or Lot number, therefore the correct COGS will be posted.  Using this method will also allow you to run a Valuation Report to see if you have any NonStock items in inventory that you forgot to bill your customer  

You can use your test company to test these two options to see how this will impact your business.  We're available to discuss further, if needed!
