6 Virtual Meeting Mistakes... and 6 Easy Fixes

Last week I sat in on meetings held by a manager I'm coaching. She is skilled in many ways, but I was surprised at some of the simple things that escaped her as she led virtual meetings, a necessity for keeping four locations on the same path.

 

I wonder if any of these look familiar to you?

 

1. She conducted her conference calls and video conference meetings exactly the same way as her regular meetings, making no accommodation for the dramatic reduction of communication that happens in virtual meetings.

2. Whenever she spoke for more than two minutes, the sound of multitasking (clicking keyboards, murmured side conversations, etc.) could be heard on phone meetings.

3. Several attendees made uninformed comments, having not seen the meeting agenda, sent the evening before.

4. Half the people in attendance never made a single comment, even though the agenda topics were pertinent to their daily work. The extroverts took over and the quiet ones sat back and let them carry the discussion ball.

5. Many comments were missed or inaudible. Because the microphone function usually takes only one voice at a time, when people talk over each other, words get lost.

6. One participant made a tactless comment that would have long-term effects on relationships in the team, but with the absence of body language cues he was probably unaware of his effect. The meeting leader missed it too.

 

She missed a lot, it appears. The good news is, the fix for most of this is pretty easy.
