It's time to get serious.  With 30 days until everyone must use ICD-10, it is time to start.  Luckily, 4 steps to success in four weeks is what we have for you in this issue, and in our Daily Dose of ICD-10 preparation email.

No industry experts are forecasting an ICD-10 delay. October 1, 2015, will dawn with all payers using ICD-10 codes for billing purposes. Your practice needs to do so as well.
 
Everyone in the practice has a role to play in implementing ICD-10. The clinicians must document as accurately as possible the nature of the patient conditions and services done to maintain or improve those conditions. The coding professional must assure that coding is consistent with the documentation. The role of the business manager is to assure that all billing is accurately coded and supported by the documented facts.
  
For the next four weeks, take these four steps to be sure your ICD-10 transition is successful.
  • Focus on what you have done to get ready. Review with all staff the work that has been done; the training they have taken, the adjustments made to superbills and other forms, and the templates in the EHR, and any practice activities you have done.
  • Commit to the coming implementation, and start. Act like ICD-10 is reality. At your regular staff interactions be sure they are doing what they need to do for this task/procedure under ICD-10. Phase in new forms, procedures, workflows, and documentation standards. Providers, document like it's ICD-10, and coders, code like its ICD-10. Start now, with one encounter a day. Next week, do even more.
  • Educate staff. Each problem that surfaces is an opportunity. Identify the solution to the problem, and share it with those who need to know.  Managers, Perform one simple chart review a day- would this documentation have supported billing in ICD-10? If the answer to this question is no, find what is needed, create a cheat sheet, and train everybody so it doesn't happen again.

 

  • Bring your technology along. Work with vendors so that your IT and EHR systems are set up to accommodate new needs in the medical documentation and coding systems. Make sure upgrades happen and are working.
