SCHOOL SUCCESS WITH DATA CLEANING
by Josh Griffis, Administrative Technology

During the school year, school secretaries and clerks receive a weekly report of errors in their school's Infinite Campus data.  Errors consist of missing or invalid demographic information and problems with attendance, discipline, or special education data among other areas.  Clean data is important because the errors cause a variety of issues.  Some errors impact FTE and result in reduced state or federal funding.  Other errors actually have a negative impact on CCRPI scores (the new accountability system that replaces AYP in Georgia).  Most errors aren't that severe, but still have negative results.

A student that is missing a mailing address in Infinite Campus may not receive a report card or an attendance letter.  A teacher that is missing an email address in Infinite Campus won't be able to login to iSTEEP.  A student-parent relationship that is not setup properly may prevent a parent from seeing their child in the Infinite Campus Parent Portal.  These are but a few examples of the more than 150 errors that may be found on the weekly report.

Many of the errors can be corrected by a secretary or clerk while other errors must be corrected by special ed staff or an administrator.  I keep track of how many errors each school has each week to identify areas that may need additional training, to identify schools that may need additional assistance, and to measure our progress toward being a more reliable organization.  Additional training sessions will be offered during the 2013-14 school year based on the areas that have the most errors.  Staff may register for those training sessions on PDExpress.

The first error report of the 2012-13 school year was sent in late October and we had an average of 8.5% of students with errors.  The last error report was sent May 28 and we had an average of 5.58% of students with errors thanks to the cleanup efforts of our school level office staff.  I would like to recognize the elementary, middle, and high schools with the fewest errors during the 2012-13 school year.  The staff at these schools have done a great job keeping their data clean and we appreciate their outstanding efforts!

Elementary Schools (average - 0.97%):

  • Futral Rd - 0.12%
  • Crescent - 0.16%
  • Moreland Rd - 0.36%
  • Jackson Rd - 0.41%

Middle Schools (average - 2.91%):

  • Cowan Road - 1.29%

High Schools, Mainstay Academy, and AZ Kelsey Achievement Center (average - 32.13%):

  • Spalding HS - 9.85%
  • Griffin HS - 10.72%

HELPFUL HINTS:

EFFECTIVE E-MAILING

  • Keep it short and to the point (if the reader has to scroll down to read entire message, it's probably too long).
  • Place important information first.
  • Determine a reasonable response time and then make sure you respond accordingly.
  • Don't use e-mail as an excuse to avoid a face-to-face or phone conversation. Difficult or uncomfortable conversations deserve a more personal approach.
  • Check grammar and spelling (avoid trendy e-mail abbreviations).
  • Keep all communications appropriate and professional (don't forward jokes and chain letters).
  • Don't use "reply all" unless everyone needs to know your answer.
  • Don't send an e-mail in all upper case (it is electronic equivalent of shouting at someone).
  • Think twice before responding to a colleague's message with a cynical or disrespectful comment that might be misinterpreted.

POSITIVE PHONE PERSONALITY POINTERS

  • Be alert.
  • Be pleasant.
  • Be natural.
  • Speak distinctly.
  • Be expressive.
  • Be considerate.
