PTO Executive Board Nominations
for 2013-2014 School Year

Dear LJES PTO Members,

 

As an LJES PTO member, you are entitled and encouraged to nominate and vote for the 2013-2014 Executive Board Members.  

 

Six Executive Board positions will be vacated at the end of this school year and one new position will be added to the Executive Board (see positions descriptions below). Each position is a 2-year commitment.  

 

The 2012-13 Executive Board is proposing the following nominations:

  • President:  Aimee Lansky
  • VP Volunteers: Tami Rumbaugh
  • VP Communications: Luba Khomskaya
  • VP Programs: Kat Peppers
  • VP Historian/Tidings:  Sharon Miller
  • Auditor: Kathy Grieve
  • VP Room Parents:  Jenna Wittkow (VP Room Parents is a position that is being added to the Executive Board beginning with the 2013-2014 school year) 
 

Other nominations are always encouraged and welcomed. Please email Julie MacDonald at juliemacd@me.com with any nominations. Nominations will also be taken from the floor at our May 9th meeting, at 8am in the LJES library. If there is more than one candidate, a ballot vote will be taken at the meeting. All LJES PTO members have the right to nominate and vote for Executive Board Members.  

 

As always, the LJES PTO meetings are open to all members, and we encourage everyone to attend.

Position Descriptions:

 

President: The President shall preside over meetings of the organization and Executive Board, serve as the primary contact for the principal, represent the organization at meetings outside the organization, serve as an ex-officio member of all committees except the nominating committee, prepare meeting agendas, and coordinate the work of all the officers and committees in order that the purpose of the organization be served.

 

VP Volunteers: VP Volunteers shall be responsible for soliciting and securing volunteers for school needs. He or she shall keep an organized database that is accessible to other committees and ensure that all members that have volunteered are given the opportunity to help. He or she shall coordinate with other committees on an ongoing basis to ensure that the appropriate volunteers are present when needed. He or she will report to the board on needs and progress.

 

VP Communications: VP Communications is in charge of disseminating vital school-related information via e-blasts and the school website. All notices must have prior approval from the Principal.

 

VP Programs: VP Programs shall organize and supervise, or organize and supervise committees that will run all PTO before and after school programs and school events. He or she shall keep clear and detailed records of such programs or assign a committee member to do so, and report the success or failure of such programs at monthly meetings. VP Programs shall also assist the office staff with organizing and supervising the Health and Safety preparedness of the school.

 

VP Historian / Tidings Editor: VP Historian / Tidings Editor assembles and preserves the record of activities and achievements of the PTO. He or she distributes LJES information via school publications. Historian records, like minutes, should be kept forever.

 

Auditor: The Auditor shall audit the books and financial records semi-annually and prepare and present to the Executive Board a mid-year and year-end audit. The outgoing auditor is responsible for conducting the audit at the close of term. The auditor shall also audit the books upon resignation of the treasurer or at any time deemed necessary by the Executive Board.

 

VP Room Parents: VP Room Parents shall be responsible for updating and distributing the Room Parent Handbook, ensuring that each classroom is represented by at least one room parent, and assembling the room parent roster. He or she shall also collect classroom volunteer positions and submit them to the appropriate committee chairs, President and VP Volunteers at the beginning of the year. VP Room Parents shall conduct a room parent orientation in September, and communicate school, PTO, and Friends of LJES communications to the room parents when needed.
