As you will see in this newsletter, the Galilee Beach Club "family" does not take the winter off. Many of our members have been hard at work on our committees.

President's Ponderings

 

We are heading into tax season, so do you know what that means? Summer is right behind that. The four seasons in my world are "The Holidays" - "Tax Season" - "SUMMER!!!" and "Fall Conference Travel", so we are heading in the right direction. We are also heading in the right direction for our club's future with all the plans being made by our task forces, working as a part of our Strategic Planning Committee. This issue is pretty much dedicated to updating the members about the plans of the task forces. 

 

Remember, if at any time you have any questions, need clarification about what we are doing, or heard, dare I say, a rumor about something that doesn't make sense, please send me an email, and I will do what I can to help provide clarity.

Treasurer's Tallies
  

As of December 31st, it looks like 37 of our members took advantage of the membership discount because they paid in full with the first installment. This will help our cash flow tremendously.

 

A fixed asset inventory was conducted and completed at the end of December. All of our new Dugout equipment has been tagged, photographed, and reconciled to the general ledger. Capital spending needs to be monitored and integrated as a part of the club's overall operating plan.

 

Our 2014 annual budget has been loaded into the club's accounting system and will be used in current forecasts and to facilitate the board in future planning.

 

We are still submitting "Hurricane Sandy" invoices to our insurance carrier and are very hopeful that this reimbursement process will be finalized very shortly.

Board's Briefs
 

The last board meeting was held on January 2, 2014, at the club. Items discussed were:

  • Board made the decision to join the RI Hospitality Association.
  • Bylaws are ready to be registered with the State.
  • The Treasurer and Bookkeeper are preparing to close our books for the February 15th tax filing.
  • A physical inventory was conducted and included photographs of new equipment.
  • As a result in a staffing change on the underwriting side, the insurance claims for Project Sandy will be reopened to make sure all projects will be included and reimbursed.
  • Approved the new Mission and Vision Statements presented by the Who We Are Task Force of the Strategic Planning Committee.
  • The search for Manager and Concessionaire is ongoing.
  • The new dining room rug will be ordered shortly.
  • The heat should be installed in the Dugout shortly.

Remember to stay on top of your payments. Shareholder discounts, cabanas, and bathhouses may be lost if payments are not sent in on time. Members may access their account through the website. Strategic Sessions
 

The strategic planning committees are continuing to work to create our futures plans. The summary of each committees work is below.

 

Who We Are - Marcia Harrop

The committee finalized the revised Mission as well as developed a Vision Statement and Core Values. All were approved by the Board and are proudly presented here:

  

MISSION STATEMENT:

To preserve a multi-generational family oriented beach club that provides a quality, casual, social experience and protects our natural resources.

  

VISION STATEMENT:

We are a private beach club that fosters a welcoming, safe community environment and is dedicated to preserving and improving our beach and its facilities, while promoting their use for the enjoyment of present and future generations of members and guests. We will accomplish this by promoting a quality function venue, superior dining and services, social events, and operational excellence while being fiscally responsible and good stewards of our most precious asset, our beach.

  

CORE VALUES:

 

QUALITY:

    • Continually exceed member expectations in all areas of operations.
    • Consistently provide outstanding dining, food service, and entertainment with family appropriate pricing.
    • Consistently improve our beach, dining facilities, bathhouses, cabanas, apartments, parking areas, and grounds and their supporting systems and infrastructures.

 PEOPLE:

    • Promote a sense of pride through policies that encourage open communication, respect, and collaborative responsibility between the Board, the Staff, and our entire membership.
    • Encourage all members to be involved in the various committees and bring their new ideas and energy to them.
    • Attract, retain, and motivate a courteous well-trained and knowledgeable concessionaire, club manager, and staff.

PRESERVATION:

    • Provide a welcoming, safe community environment.
    • Protect and enhance our natural resources and facilities.
    • Employ sound fiscal policies and promote new sources of revenue to ensure the maintenance and protection of the club into the future.

Many, many thanks to this task force and their hard work so far. Next, this task force needs determine if the vision is in already in place or if more work is needed to fulfill it and crafting ideas related to Board Development and Leadership Succession. 

 

Other current members of this task force are Kara Bell, Mick Coppolino. Kristin Fraser, Lisa Fuest, Suzanne Hassan, and Ray Tomasso.

 

 

Food and Beverage Operation - Chris O'Brien

This task force has been researching similar establishments with respect to how they handle functions and researching club operations, as well. Soon, there will be a whole library of materials that we will have for future reference.

 

The task force has also provided a draft of an operational proposal to Gene D'Onofrio, Chair of the Strategic Planning Committee, for review. The proposal will be reviewed and feedback provided. At the same time, the committee is gathering additional information for the draft and final proposal.

 

A big thank you to this task force for agreeing to shorten their planning time frame to see if it can encompass current hiring needs and working diligently to complete this process much sooner than was expected. More information is to follow about this proposal after it is finalized and discussed at the board level.

 

Other current members of this task force are Kara Bell, Donna Carlson, Jay Chelo, Kerri Chelo, Gera DiSanto, Brian Forrest, Robert Fuest, David Hann, Tracy Kubricky, Zac Schwarzbach, and Paula Viau-Hann.

 

 

Master Plan Task Force - Lisa Fiore

This involves the study of the existing buildings and grounds in support of our club's mission statement and has rolled in the current building and grounds committee.

 

The plans to merge the lots have been submitted to the Narragansett Planning Department. Unfortunately, because some changes were requested by the town and the town's holiday hours, the plans were not recorded on December 31, 2013. The plans are currently being reviewed, and we hope to have them recorded within the next month. We will then realize our tax savings in calendar 2015.

 

This task force, while waiting for the finalized plans from the other two task forces, will be reviewing our current facilities - cabanas, apartments, and bathhouses to make sure that we are using and pricing them in the appropriate manner and developing a capital/maintenance plan for those assets, as well as procedures to review them more frequently, since this is something that hasn't been done in a long while. Now, before anyone panics, it doesn't mean that the pricing of everything will double, or we are going to build a members only restaurant in the apartments (apparently that's one of the stories out and about), but as fiduciaries of the club we need to make sure that we are using our facilities in a way appropriate to our mission and as an appropriate revenue source to maintain reasonable membership fees.

The next steps in our strategic planning process are establishing the club's strategic direction and priorities; identifying the goals and milestones to achieve these priorities; then, crafting objectives designed to meet these goals.
