Question:
Patient experience may be taking a hit with Epic go-live. Are there any tools to help?

Answer:

Yes. There is a document called "How to Talk with Patients with an EMR in the Room" with a variety of tips. It's useful whether you're using Epic or another system.

We are also continuing to host presentations by experts from our survey vendor, NRC Picker. Following are the dates for the next offerings:
July 8 - Cottage Grove (7-8am)
July 8 - Eugene (2 sessions)
July 9 - Eugene (3 sessions)
July 10 - Florence (1 session)
July 18 - Vancouver (6-7:30 pm)

Video Gives Patients a Peek

A new 30-second video on PeaceHealth's YouTube channel gives patients a quick overview of the Epic-based patient portal. So far, about 2,100 patients have activated their account on the new PatientConnection.

Congratulations to the providers in Oregon, Henry Veldman, Chris Miles, Mary Anne McMurren, Dr. Lyle Torguson and your teams on the successful Epic go-live this past week. It's a huge feat and you're off to a great start. (See below.)

Clinics in Longview introduced same-day primary care earlier this week. They have also been working with the revenue cycle team on an initiative to reduce rejections and write-offs, which we hope to replicate in other communities. (Look for more on this in the future.)

For those of you in Washington, we continue to trust that we will come to agreeable terms with United and Regence by June 30. PeaceHealth has sent letters to our patients. If you or your staff need help answering calls, please direct patients to the hotline (l-866-706-1367).

Finally, I'm excited to report that last month PHMG met three of our four VISTA measures (see below). You and your colleagues have been working very hard so it's great to see your collective efforts are paying off. This is your success. Congratulations!

Epic Go-live Report
Congratulations to Oregon West on Success!
Clinics in Eugene/Springfield and Cottage Grove-area communities have been successfully using the new Epic ambulatory system for almost a week.

PeaceHealth's second Epic go-live encompassed 190 providers and 640+ caregivers in more than 40 practice locations and 25 specialties. The group had a stellar 98.9% compliance rate for Epic education.

Dr. Mike Geist, co-lead for the project, encouraged staff to keep in mind there will be an ebb and flow in the days ahead. "The first few days you tend to run on adrenalin, then the excitement wanes and the 'fatigue factor' can set in until you get back into a good rhythm."

As anticipated, the larger go-live has also revealed many more questions and needs. The Epic team is working hard to resolve all issues as quickly as possible.

They are also flexing levels of support to the need. Epic provided additional on-the-ground staffing. PHMG's physician champions have played a critical role with at-the-elbow support, though this type of support is not long-term as the physicians return to their own practices. And super users and educators will continue to be integral.

Even with the challenges, morale and cooperation are very high. In an email to the leadership team this week, John Hill, Oregon West network CEO, noted the "outstanding effort and enduring attitudes of our physicians, providers and caregivers."
