A Closet Full of To Do's

People have one of two responses when they see my lists for the first time.

Either they murmer a soft, "Wow... it's all in there." Or, they burst out with "Oh my...! Did you write all that stuff down at one time?" The latter group stresses about the sheer volume of what I'm managing in one place.

Here's how the conversation can go:

Me: (after their outburst) "Did you buy all the clothes in your closet all in one day?"

Them: "No, of course not. That's crazy."

Me: "Do you tend to keep all of your clothes in one place or spread out all over your home and work?"

Them: "I have one big closet, and a few little places where I keep stuff I don't use often...

Think of my lists like your closets. It's a lifetime's accumulation of all my stuff, and it's all consolidated into one place.

What's the benefit to consolidating your To Do's?

How "clean" can you get your system? I tell clients productivity means doing what you said you'd do in the time you said you'd do it in.

So what aren't you doing? What's not  getting finished on time? If you thought of answers to these questions, then there's room to improve your system. That's the value of personal productivity.

  • Collect all of your "systems" in 1 place to review (calendars, notepads, binders, pda's, cell phone, all of it.) Make sure each one is relevant, current and neccessary. You may be able to combine tools or delete some of the systems that aren't working for you.
Here are some prompts to guide you:
  • Eliminate double entry whenever possible
  • Identify the "holes" in your system & plug them
  • Schedule regular backups (these must be reliable)
  • Make hard copy back ups of the really important info
  • Is the system working flawlessly in its current state?
  • If not, what do you wish it did?
