Email Solutions:
"Help! My Email is out of control..."
If you're like most people, your email inbox probably contains old and new messages with some that you need to reply to and others you might need later. Here are a few ways to cut down on the clutter by clarifying just what's in there.
1. Change the SUBJECT LINES of the emails You can do that in Outlook and Lotus Notes by editing the message (ALT+E in Outlook and CTRL+E in Lotus Notes) and then type in the new subject line.
For example, when you receive an email with: SUBJECT: budget meeting
Edit the subject line to; SUBJECT: Call Kevin re: budget meeting 6/22
When you do this as e-mails show up, you will spend less time opening, closing, and searching for e-mails later.
2. Use smart EMAIL "Etiquette" When you create a new email message, you can increase the likelihood of a quick response by using the 4 fields to your greatest advantage:
TO: Only the person(s) who needs to take action.
CC: People who may be interested or need to be "kept in the loop", no action required though.
BCC: Yourself, your assistant, CYA, or a big group announcement (This way if someone hits "Reply All" only the sender & receiver get the response).
SUBJECT: Clarify the action you need by answering as many of the "who, what, where, why & when" questions as possible!
Example: SUBJECT: Draft proposal for Andrea 7/18 seminar by Monday, 6/25/07
