How to Get Your Message Through Email Filters

Greetings!


Email can be a very effective communications medium for candidates and organizations.  But, with the increasing use of email filters by individuals and ISPs (Internet Service Providers), just delivering your message is increasingly complicated.

 

Here are a few tips to help get your message to your audience.

  1. Develop and maintain an opt-in email list.  This is tip number one because someone that has asked to receive information from you is more likely to add your address to their personal "white list".  This is the best way to ensure delivery.  Developing a good opt-in list is time consuming, but will always far out-perform any other list, including lists you may rent or purchase.
  2. Use an email service provider that maintains "white list" status with as many ISPs as possible, and certainly with the big players like AOL, Hotmail, MSN, Yahoo and Gmail (Google).
  3. Pay attention to the HTML formatting.  Things like broken or empty html tags, a large image with very limited text or embedded scripts are all things that can trigger filters to block your message.  And, whatever you do, don't send attachments.  Most people won't open them anyway for fear of downloading a virus and attachments are another tip-off to email filters.
  4. Choice of subject line words matter.  Do you know the top 100 words likely to divert your message to the junk folder?  Find the list here.  Just including one of these words won't necessarily send your message into the junk folder, but combined with other criteria, it may.  So, if possible, it's best to avoid these words in the subject line of your message.
Totally confused?  This is just the tip of the iceberg.  Email deliverability is becoming more of a mysterious combination of art and science every day.  While, short of paying for delivery (certified email), there is no such thing as being able to guarantee email deliverability.  But, with the right knowledge of good practices, you can achieve excellent results.  This is one area of expertise that we offer our clients.  We'd be happy to develop and implement an effective email program for you!
