Old Business
Candle Purchase Ron hasn't heard back from the company about purchasing candles and will follow up before the next meeting.
Safe Sanctuary
Kathi reported there isn't a detailed Safe Sanctuary policy for Chrysalis weekends from Nashville. We need to have something on the records to say that team members are clear to work with youth as a protection measure. Under our conference we need to have a team statement put together. We will be drawing one up to have ready for the summer flights/journeys.
Technology Needs
Laptop - Has been purchased and is currently in transit.
Projector - Bill Pollard is working to have a projector donated. It was agreed there is currently not a need to purchase.
Chrysalis Board Youth Recruitment: Members of the board were reminded to be recruiting a youth to the board to support their position if applicable. There is a great opportunity to talk with youth during the upcoming Chrysalis weekends.
New Business
Safe Sanctuary Policy
We don't have any particular policy. Kathi will check with Nashville to see if there is a national policy for Chrysalis. In the meantime, we will ask team to attest to no convictions or discipline by local church, also to affirm there is no reason for them not to work with youth. We continue to remind team members to make sure they are not alone with participants.
Agreement Letter
The 2009 letter of agreement for the Upper Room was passed around and signed by all board members present. Team Updates- Girl's Weekend
- Set-up Friday at 4:30PM, several volunteers needed
- We have a sound system from Stonybrook to use for the weekend. It's isn't idea but will work for the time being. Per request from the church we cannont change the set-up. Rob may be able to borrow a sound system and speakers from his church. In the future we may need to reinvestigate a sound system purchase.
- Sleeping rooms - there are several allergies in the pre-school so no food will be permitted in the downstairs sleeping rooms during the weekend.
- Ron will lead the parents meeting
- Boy's Weekend
- Question was raised concerning the age and if we would consider making an exception for a group of Freshman. The Board upheld the current age restricitons defined by the model.
T-Shirts
Mike Scott is willing to do our T-Shirts and will likely have them in time for the weekends. Lily will check for our artwork.
Hoots
Robproposed new ideas for fellowship and Hoots
- Hold a Bible study on night a month for Chrysalis participants and their friends.
- Hod a co-ed lock-in twice a year (One month after flights), hopefully at Stonybrook
- Invite the community to Steak N Shake following Candlelight services for fellowship.
