Treasurer Report
Bill Pollard provided the treasurer report. Any community member who would like to see the treasurer report may do so by request.
OSU Concessions
The Board had a Called Meeting on Saturday, August 2, 9:30AM. We were informed on Friday, August 1st per our request for a smaller booth that they had two carts available. The two carts would require 10 individuals and our current booth requires 17 minimum to run. After much discussion on the pros/cons for the OSU Concessions fundraising it was decided that Chrysalis effective immediately would no longer participate in the OSU Concessions. The main points for discontinuing are listed below:
- Effort vs. Funds Raised
- Current Account Status (Checking/Savings)
- Youth Involvement
- Outreach Opportunity (Non-existent)
Old Business
Air Conditioners
Members discussed possibility of donating or selling portable air conditioners. It was suggested that we give one to Stonybrook's custodian Bill McKenzie. Discussion was held about whether to sell or donate the other two units. Craig made a motion that we give one unit to Bill McKenzie and decide at a future time what to do with the other two, after more information about possible places for donation is gathered. Chris seconded the motion and it was approved.
Candle Purchase
Ron England will be placing the order for the agreed 4 case order prior to the next Board Meeting. It was confirmed that there are enough candles for the upcoming flights.
Newark Gathering Update
Newark Gathering Update - How did it go?" Several youth spoke and provided music. Chrysalis was well received and the community wants to be kept informed about Chrysalis.
Book Table
Chrysalis National: We have not heard back from them yet as to if we will receive the sample books
Technology Needs · Laptop Computer: The idea is for the Community LD to use a laptop for the newsletter and maintaining the database. The media team member would use the laptop during flight weekends. This is not an immediate need, but Bill Pollard will look into the cost. · Portable Video Projector: This is not an immediate need, but Bill Pollard will look into the cost. · Portable Sound System: Ron England and Jeff Rone got estimates from two companies. After comparing products and pricing, both Ron and Jeff recommend Sound Ideas. As a result of much discussion, Ron will inquire about "try to buy" programs with both companies, Ron will find out about using Stonybrook's sound/video system for this boys' flight, and Ron will work with both companies to get the best deal. This motion was approved.
New Business
Fall Training Session
It was suggested that we hold a fall training session to include these areas: clowns, media, music, sponsors, and roles of team members.
General Discussion
- A question was raised about possibly restructuring the team selection process. One idea is to add birthdates to the database so we know if someone is a "youth" or "adult". It was also suggested that we gather input from the Board via email when suggesting possible team members.
- We need extra help after closing for clean up as several of our "regulars" are on the team.
- The kitchen crew got "kudos" from the girls' flight and from Stonybrook UMW
