Meaninful Meetings with Clients

In the next several weeks you will be (or should be) meeting with your clients to discuss any issues and opportunities that have arisen from their tax returns.

An effectively run meeting is vital for proper communication, establishing rapport with clients and, potentially uncovering value added work. Having a meeting is one of the best forms of communication because 55% of communication is non-verbal signals and facial expressions.  In other words, if you had a choice of a meeting over the phone or via emails which carries a less than 10% chance of communicating the true meaning or feeling you want; clearly you would have a meeting.  One way to ensure a great meeting is to have an agenda. Be prepared. Try to anticipate some of the concerns and questions regarding the return.  Identify areas you believe need to be addressed and areas where you can provide solutions to their problems.

1. Greet clients

2. Start and end on time

3. Stick to the agenda as much as possible

4. Encourage and facilitate questions and discussion by clients. In many cases you may uncover more opportunities for work with your clients.

5. As the leader, listen carefully, show interest and appreciation in clients.

Please click on the attached agenda template which should be completed for each meeting.

Another Personal Tax Season is over!

I hope you're not feeling like the tube but rather that you got everything you could out of the tax season, with processes in place, great use of technology and getting more work from your clients in the upcoming months.

If you didn't make it everything you wanted, we are here to help with ideas and suggestions on technology and processes and maybe some marketing strategies that will help you get where you want to be.

In our upcoming Members' Morning, we'll be looking at a couple of technologies some of our members are using: ThinDesk Virtual Servers (Cloud Computing) and Voice Recognition Software by Nuance. In a recent survey by the AICPA, 25% of firms were using some form of cloud computing (10% didn't know what it was).

Also, we are presenting Dan Condon, a legal expert in the area of human resource issues, on Ontario's new Harassment and Violence Policies that affect every employer in the province and requires posted polices in those places with 5 or more employees. This initiative by the Ontario government has not widely been publicised, so knowing what the new requirements are will help both your firm and your clients stay onside.

As you plan for the coming months we wish you the "Great Quotes from Great Leaders' please click on the link to enjoy our new inspirational movie.

Great Quotes from Great Leaders

Four Practices of a Visionary Leader
John C. Maxwell

In February 1895, brothers Louis and Auguste Lumiere patented the cinematograph, an all-in-one film camera, projector, and printer. With the use of their invention, the two Frenchmen created the concept of a motion picture. Their public screening in March 1895 was history's first. Later on that year the Lumieres reached another milestone, as a showing of their work became the earliest instance of an audience paying admission to watch a film.

Initially the brothers made a splash, producing thousands of short films in a span of less than two years. Their footage, shot at a variety of exotic locations, is widely considered to be the forebear of the modern documentary. However, despite their pioneering work in cinematography, the brothers failed to foresee the broad appeal of motion pictures. Within five years, the Lumieres had given up filmmaking to return to their previous work developing still photographs. "The cinema is an invention without a future," Louis Lumiere allegedly remarked.

For all of their inventiveness, the Lumiere's demonstrated a surprising lack of vision. Shortly after they stopped making films, the movie industry exploded. Crowds have been flocking to the theaters ever since. According to the Motion Picture Association of America, U.S. box offices took in 9.79 billion dollars in 2008.

The Lumieres missed out on the benefits of vision, but you don't have to. As a leader, you can keep sight of your vision and use it to influence others by following the four practices of a visionary leader.

1. Realize things will change.
2. Consider other people's perspective
3. Display courage when others are insecure
4. Prepare today to win tomorrow

The Future of Computing - Thin Client Computing
Thindesk
As of late there has been a lot of talk about virtualization, cloud and utility computing and the increased advantages of thin client or server-based computing. Here we discuss the history, future and benefits of this technology.

In simplest terms, the phrase "Thin Client/Server Based Computing" describes a shift back toward centralized computing while maintaining the benefits offered by the PC revolution. Whereas each PC requires a dedicated hard drive, display, and it's own set of software applications, a Thin Client is display-only. A Thin Client does not have a hard drive, it needs no software loaded on it locally, and, it stores no data. Instead, applications are executed on powerful servers inside a world-class TELUS data centre. Thin Clients are very simple devices, you simply plug them in, log into the TELUS data centre and start working. A Thin Client only needs to have sufficient power to render the display of your user session, therefore it does not need to be replaced or upgraded as new software and hardware versions are released.

Think of how much simpler it is to have all of your applications and data in one place, and, to allow any number of people to share them by simply plugging in a thin client. With Thin Client/Server Based computing you get all of the productivity gains of modern software while at the same time reducing the complexity and cost of delivering them to users in your organization. In formal terms, the benefits are as follows:

1) Lower cost of ownership and maintenance
2) Better reliability
3) Better Security
4) Remote access to all applications and data with high performance
5) Simplified end user experience

The 2020 Group has continued to encourage accountants to engage in Type 2 services.  These are services that influence the future of your clients be it consulting, wealth management or simply goal setting.  This newsletter has provided you with some practical examples on how you can assist both your staff and clients in anticipating the future.   Recognizing the four practices of a visionary leader you can influence your clients by being prepared for each and every client meeting.  Anticipate questions, encourage questions and look for opportunities to do more work.

Consider your technology budget in your vision:
  • Should you be moving to cloud computing?
  • Should you be implementing voice recognition software?
  • Should you be paperless (if you aren't already)?
Looking forward to seeing many of you at our Member's Morning on May 27 at the Old Mill and hearing about your plans for 2010.

Sincerely,

Peggy Tyers
