Work / Life Balance Some Suggestions

Richard and I had the privilege of attending the Management Summit convention Las Vegas in January.  Many of the top mid sized accounting firms from United States and Canada were in attendance.  Sadly only two Canadian firms were represented. 

One of the guest speakers was Sam Allred, CPA, a partner of Anderson ZurMuehlen & Co., Helena, Montana and the director of UpstreamAcademy.  His topic was time management or as he preferred to call it Work/Life Balance.  The title of his presentation was "Taking Your Life Back".

 

I suspect as you head into tax season the Work/Life balance is really unbalanced with the scale tipping heavier on the work side.  To achieve any sense of balance it is going to take some careful planning now and willingness to stick to your goals for balance during this busy time.  Sam provided a number of ideas for effective time management for leaders.  I believe those principles can be applied now to your practice whether you are a sole practitioner or a multi partner firm.

 

Sam has personally given me his permission to share part of his presentation with you.

  1. Change your thinking about interruptions; eliminate those you can, and control those you can't.  Establish a culture of morning productive time.  i.e. leave meetings to the afternoon.
  2. Calendar blocks of time to accomplish specific tasks and treat those times as the most important appointments of your day.
  3. Take control of your telephone and learn how to use your voice mail greeting more effectively.  Avoid telephone tag, i.e.  Leave specific times when you will return calls, ask for detailed information on your voicemail not just name and phone number.
  4.  Avoid Time wasters i.e.

·         Crisis management

·         Doing too much-or at least trying to

·         Procrastination

·         Poor organization

·         Work space clutter

·         Reluctance to say "no"

·         Telephone tag

·         Poor planning for engagements

·         Interruptions

·         Lack of discipline to complete tasks

·         Unexpected visitors

 
Manage your email effectively.  Your goal should be to develop a system that allows you to stay in control of    your emails and voice mail.  Sam suggested the book Take Back Your Life! by Sally McGhee to help design your personal system.
Technology Tip:
Get clearer fonts on your LCD screen
There's an easy way to boost the clarity of text on your flat screen when using Windows XP or Vista. Right-click an empty area of your desktop and click Properties. Click the Appearance tab and then the Effects button. If it's not checked already, check the second option ("Use the following method to smooth edges of screen fonts") in this window, and set the pull-down menu to ClearType. On-screen text will now appear considerably sharper, very helpful for long days in front of the screen.

Client Help Sheet System
 
The 2020 Group surveyed over 11,000 "top 50" accountant's clients.  One of the questions on the survey asked "other than reduce fees, what can your accountants do to improve the 'value for money' of their services?"

 

42% of the clients responded "Be Proactive"! 

 

2020 has developed a system of "Client Help Sheets" to enable you to be more proactive by:

  • Identifying clients' key concerns
  • Educating them on the additional services you can provide
  • Offering them a solution to those concerns

How does this work?

 

We suggest that when your client arrives, for instance, to pick up their tax return they are greeted by the receptionist, offered a beverage if available, and presented with a clip board with a list of Help Sheets.  The client then ticks off the Help Sheets that they are interested in.  The receptionist then puts together the list of Help Sheets requested and provides them to you during your meeting with the client.  You then have in your hand their request for more services you can provide and charge for.

 

It is strongly recommended that the list of items not exceed nine items.

Here is a list of topics for which we have Help Sheets available.  You may want to alter the list and put in your own ideas.  You should include your firm's name, phone number, fax, website and logo on the sheet

Please pass this list back to _________________ our receptionist and he/she will print you off a list of those Help Sheets you have requested.
