Wrapping it up!
Here's a Top 10 list for ending your PTA year.

1)
Send your incoming board's contact information to
council or PTA district right away! That information is needed for the state
PTA annual service mailing this summer.
2)
Send forward to council or district:
a.
Annual
Report, to share your volunteer hours and successful events.
Toolkit, Forms section, page 373-374.
b. Annual
Financial Report, a simple, year-end review of your financial
activities. Toolkit, Forms section, page 310.
c.
Final membership submission
3)
Reports due for any California State PTA grants
received. See Toolkit Programs section 7.17, page 259, for available grants and
reporting requirements.
4)
Order membership envelopes now from your council or
PTA district for next year for a minimal fee. Request 2010-2011 membership
cards, free, based on this year's final membership, at the same time.
5)
At your final association meeting, make motions to
pay upcoming summer bills.
6)
Be sure the incoming president has registered
for the National PTA's annual box mailing, which has PTA Quick-Reference Guides, membership materials and many other
resources. This year, units must register and select a preferred shipping
address and date.
7)
Prepare procedure books (binders of handy
information for each position) for the incoming board. Offer training or
assistance if requested. Incoming officers take office on the date set in your
bylaws, usually July 1.
8) Have the
treasurer start preparing the books for audit as soon as the PTA year is done.
This year's auditor will audit the
books. Tip: After the audit is a good
time to fill out tax
forms. IRS 990 filing is now required of every PTA.
9)
The incoming board should begin planning for next
year, including working with the principal on a proposed calendar of activities
and developing a budget.
10)
High-fives and thank-yous for those who helped this
year. Celebrate all your PTA does for children!
