Although October is Archives month, any time of the year is a good time to celebrate the wonderful collection of Archives at your institution.  Your images and manuscript material hold the key to the rich history in your area.  Our "Why Archives Matter" exhibit, like each of our traveling exhibits, is designed to either stand alone, or the depth of the exhibition can be increased by adding objects from your own collection.  This exhibit can provide you with another opportunity to share your collection with your audience, further strengthening the connection of relevancy between your organization and your community.  For the minimal fee of only $150 for an 8 week loan, Call us at 800.895.1648 to rent our traveling exhibit, "Why Archives Matter", which will enhance your exhibition offerings throughout the year.

October is Archives Month! 

Beginning in the 1980's, Archives Month is an annual celebration of the many fascinating, rich, and important historical records that are held in repositories throughout New York State. 

There are many ways to participate in Archives Month, and information and resources are listed below. How are you going to participate?
Archival Fundamentals
Join us at UHA's first Archives Conference
 
The Upstate History Alliance with the Documentary Heritage Program is excited to announce the program for Archival Fundamentals, UHA's first two-day Archives Conference.
 
Our focus will be back-to-basics, providing a new professional development opportunity that will examine and explore the fundamentals of archival care.
 
Archival Fundamentals will be taking place at the Corning Museum of Glass on October 15-16, 2007. Join us for workshops, sessions, and networking activities that will be sure to put the fun back in fundamentals.

How Will You Celebrate Archives Month?
 
Everyone is thinking archives during Archives Month! And if they're not, they should be, and we can help them!

If your institution or group regularly uses historical records as part of your work, Archives Month presents an opportunity to hold public programs that highlight your collections and the importance of historical records. Archives Month is the perfect vehicle to call attention to your role as a records creator and steward of important evidence of the past.
 
The Society of American Archivists has created a wonderful new tool for promoting public awareness of archives. The American Archives Month Public Relations Kit, www.archivists.org/archivesmonth/ArchivesKit.pdf was developed by SAA in its endeavor to coordinate a nationwide effort to promote the value of archives and the importance of archivists. Once you decide which programs you will offer to help celebrate Archive Month, let us know. Your DHP Regional Archivists are ready to help promote your programs. Send an email to your Regional Archivist with information about your event. Be sure to include times, dates, contact information, and a description of the event. Regional Archivists throughout the state are ready to post these announcements on the New York State Archives website.

Archives Month Posters Available
 
Since 2004, the New York State Archives, with funding obtained by the Archives Partnership Trust from the New York Council for the Humanities, has issued a poster to promote Archives Week and now Archives Month.  The poster provides web links with information about Archives Month and where organizations can go to view related events in their area. 
 
These posters are now available to you to help promote Archives Month in your own communities, and even the specific events going on at your organizations. Copies are available through your Regional Archivist and the Upstate History Alliance. To request a poster, simply send an email to your Regional Archivist, and be sure to include your mailing address.

Registration for Online Courses Begins Soon
 
The Upstate History Alliance is adding to its Online Learning Communities beginning this fall.

Many of you have already heard about Collections Management 101 - UHA's first online course. We've made some changes in response to your feedback, and we are developing new online courses for you.

Collections Management 101 will be offered again beginning October 29th. This 12-week course will now be divided into two parts, making it more convenient for you to participate.  The first section will go from October 29th through December 15th.  After a 3 week break the classes will begin again on January 7th for the remaining 6 weeks.  As offered before, the fee for the class will be $150 for members and $250 for non-members.  Registration for this course begins October 1st.

UHA is also excited to announce 4 new online courses that will begin this fall. Thanks to support from the New York State Program for the Conservation and Preservation of Library Research Materials Discretionary Grant, UHA has developed four, 4-week online courses. These shorter online courses will provide more detailed learning on topics that are touched upon in Collections Management 101. The four new courses are:
  • Basic Preservation, Care & Handling of Paper Based Materials - Instructor: Michele Philips     Information will be provided on appropriate techniques for handling and storing collection materials and recommended sources for supplies.  Instruction in basic conservation techniques for surface cleaning and mending paper-based materials will be provided.
  • Conservation & Preservation of Photographs and Albums - Instructor: Gary Albright     The various photographic processes will be reviewed and techniques for identifying each photographic process will be supplied. Appropriate handling and storage materials, as well as sources for supplies will be covered. The course will also address the issue of when the original format or album format can be maintained or when re-housing should be considered.
  • Climate Control for Small Institutions - Instructor: Patricia Ford     Introducing the issues that need to be considered when planning for climate controls including monitoring, testing, environmental analysis assessments, long-range planning, systems design, construction support, and operations training. Low cost-low tech solutions will also be suggested and discussed, providing participants with the background knowledge to assist them in making informed decisions that can be implemented at their own institutions.
  • Introduction to Reformatting - Instructor: Toya Dubin      This on-line course will provide current information for those who are responsible for the management of paper-based, photographic, audio, and video collections that are seeking to create, manage, and preserve digital assets. 

The first of these four courses, Basic Preservation, Care & Handling of Paper Based Materials, will begin October 22nd.  Registration for this course begins October 1st.  Check our website or our list-serve for information on the starting dates for the three other on-line mini courses.

New Traveling Exhibit Available
Diversity Exhibit
The South Central Region of the Documentary Heritage Program, administered by the Upstate History Alliance, is pleased to announce the availability of a traveling exhibition that highlights the diversity of New York State, our communities, and the ways our cultural institutions work to represent that diversity in their collections.

This four-panel exhibit is designed to be used to highlight your own organization's unique collection. Respect for Diversity is now available for an 8-week loan at your institution. The fee for rental is only $150, and includes all shipping and handling.

UHA Helps to Build New Connections in History Day Competition

The Upstate History Alliance has been working with the New York State Historical Association to help bridge the gap between historical records and New York's schools and students.
 
National History Day, a year-long educational program, encourages students in grades six through twelve to explore local, state, national, and world history through research projects that relate to an annual theme.

During their research, students investigate primary and secondary source documents at libraries, museums, and historical societies. After analyzing and interpreting their findings and drawing conclusions about their topics' significance in history, students present a final project in one of five ways:
- a multimedia documentary,
- an imaginative exhibit,
- an interactive web site,
- a scholarly research paper,
- a dramatic performance.

Students have the opportunity to enter their final projects in a series of competitions from the local to the national level.

In 2008, your organization will be allowed to sponsor a student's project for consideration in the History Day competition. In previous years, schools that were involved with History Day were able to encourage their students to take part in the competition. Now you can reach out to students, provide them with a pair of white gloves, and help them to develop their own History Day projects.
