The big tent was full to overflowing at the ITS annual picnic at Drumlins Country Club on Tuesday, August 3. More than 110 attendees from groups all across campus enjoyed fabulous food and beverages, and most stuck around for an afternoon of fun.

Croad and Bob Davis defeated Myra Daly and Alex Corsello, last year's champs, in the annual Trivial Pursuit contest. 
 
A field of 44 competed in the golf tournament. Taking first place with a score of three under par was team 5, consisting of Scott Nadzan, Nasser Masouri, Dan Kirkpatrick and Chris Finkle. Longest Drive honors went to Wade Stringer and Anne Barker, with Mike Schftic getting closest to the pin.

Colleen Van Camp completed IST-195 Information Technologies which covered state-of-the-art technologies in the field, including computer architectures, telecommunication networks, software design and application, issues in information management and technology use.
 
Neal Coffey completed the Certified Manager program through SU's HR department, achieving the Certified Managers designation from the Institute of Certified Professional Managers (ICPM). The Certified Manager designation identifies those who have met requirements in the areas of education and experience and have passed a comprehensive exam covering managerial theories, analytical skills and decision-making skills.  In addition, Certified Managers accept the commitment for ongoing professional development through annual recertification requirements.
 
Tia Hardee attended training June 16-18, 2010 on Conflict Mediation. The three day program was designed by the Maxwell School's PARCC (Program for the Advancement and Research on Conflict and Collaboration) for the University's Employee Relations team. The training focused on facilitative mediation as a problem solving tool for individuals and groups experiencing conflict in addition to important mediation strategies and techniques. 
 
Conferences & Forums
 
Chris Sedore participated in and made a presentation entitled "Green Computing - Data Centers and Beyond" at the Ninth Annual NYS Higher Education CIO Conference held at the University at Buffalo July 14-16, 2010.  He also participated as a panelist on the subject "The Evolving Role of the CIO."  This conference specifically for IT leaders across New York State was co-hosted by the University at Buffalo and Buffalo State College and was sponsored by Marist College, Syracuse University and NYSERNet.

Susan Watts achieved the Toastmasters International Competent Communicator Award and is President of the Orange Orators Toastmasters chapter here on campus.  Under her leadership, the group has earned Toastmasters International's highest honor, the President's Distinguished award. This honor is bestowed on a club based on a set of 10 criteria established by Toastmasters International, and is achieved by fewer than 15% of Toastmasters Clubs worldwide.

New iSchool Course Will Help Your Faculty Get Started Teaching Online
This fall, the iSchool is offering Tools and Techniques for Teaching Online, a 10-week online course aimed at preparing faculty to effectively design and facilitate online courses.

Participants will develop a course, which will be packaged and ready to teach upon completion, and will be introduced to the resources available across campus for online education.  The 2-credit graduate level course begins on 9/17/10.  It will be hosted on the SU Blackboard 9 system and will be asynchronous except for a face-to-face orientation session on Friday, September 17 and a synchronous online session in Adobe Connect midway through the semester. Remitted tuition benefits apply.

On the Street: Ensemble Brings SU a Campus Innovators Award
As mentioned in our June edition, Syracuse University has been named a recipient of a 2010 Campus Technology Innovators Award for Ensemble Video and its automated media workflow systems. The winning projects are described in detail in the current issue of Campus Technology magazine. Scott Nadzan accepted the award at the Campus Technology 2010 conference, July 19-22 at the Seaport World Trade Center in Boston. 
   
 
Orange Tracker LogoOrange Tracker Update
In late July, Orange Tracker (OT) had 43 projects in production. More than 150 issues per day are typically created during the workweek (Monday through Friday). Law started using OT in a big way in July, which pushed the new issue created count over the 700 mark.  See https://answers.syr.edu/x/upQ7.  Last year the weekly new request totals in Service Desk (SD) were in the 650 range.
 
While significant strides have been made, the process of onboarding current SD users is not complete. There are a few Service Desk queues that have not been migrated into OT, and still some in production are not currently in use. There are more than six projects in production for groups that were not SD users.
 
The OT upgrade on 7/6/2010 went well with no problems. The most noticeable change due to the upgrade was the look and feel of the issues. Overwhelmingly, feedback has been that navigating the issues is much easier now that the workflow actions and other operations are listed across the top of the issue.
 
Decommissioning of Service Desk will begin September 15, 2010, with setting queues to the inactive state. Setting a queue to inactive does not prevent access to the requests in that queue. Rather, it prevents new issues from being created or moved into that queue. If users would like to have their queue set to inactive sooner than that, please contact Chris Dranchek at dranchek@syr.edu or x 2133.  
 
To optimize the Orange Tracker experience, the OT Team encourages users to participate in the JIRA project to develop the new issue tracking system, and submit feedback and vote on issues that are important to them. The Orange Tracker Blog is used to post tips, upgrades, reminders, training times, etc. You can read and comment on the blog: http://blogs.syr.edu/ot.

SU Hosts Contingency Planners
Professionals from across NYS learn about preparations for the NCAA tourney, and the Green Data Center
 
On July 21st, Syracuse University hosted a chapter meeting of the Eastern Great Lakes Association of Contingency Planners (EGLACP) for 18 members. The meeting included a presentation by Dale Currier, SU's Manager of Emergency Management and Business Continuity Planning.  Dale presented an overview and results of the recent tabletop exercise in preparation for the NCAA Men's Basketball Tournament.  During the remainder of the meeting, Jim Pampinella provided the group with a tour of the Green Data Center.
 
EGLACP is a dedicated workgroup of business continuity and disaster management professionals in upstate NY, who come together to share, explore, develop and improve disaster recovery and business continuity strategies and methodologies for the advancement of business management in business and corporate industries.  EGLACP is an affiliated chapter of the Association of Contingency Planners (ACP) - the largest, most established organization of its kind in North America.  ACP has become a unifying force for practitioners in the rapidly evolving field of business continuity.
 
Membership includes representatives from Buffalo, Rochester and Syracuse companies and is open to any professional engaged in Business Continuity Management in upstate New York. Meetings are held bi-monthly at the business offices of members and feature presentation topics & open forum exchanges to share information about the discipline of business continuity planning.

A Few Steps Closer to the
Next Generation Desktop
Windows 7 creates opportunities for Enhanced Desktop Access and Wireless Active Directory

Infrastructure Services (CIS) provided a comprehensive overview of his group's efforts to develop the framework for Enhanced Desktop Access (EDA), wireless Active Directory (WAD), and application virtualization. These are key elements to forming the vision of the Next Generation Desktop at Syracuse University.
 
EDA leverages Window 7's auditing and User Access Control (UAC) features to provide expanded administrator access to faculty who need it, while retaining security and minimizing support issues.  While the technical pieces to configure and audit EDA are largely complete, usage restrictions under EDA are primarily based on policy, and so depend on user compliance, and support staff vigilance.  EDA documentation is in progress, and will be published soon.
 
With its improved support for 802.1X, Windows 7 allows better experience for wireless computers on Active Directory, and enables machine authentication onto the network, while picking up AD settings, policies, and generally connecting seamlessly with the AD desktop. Using WAD, wireless computers will be able to function similarly to wired computers, with simplified offline and transitioning connectivity behavior. Ultimately, this technology should reduce the number of laptops that are not managed within AD (estimates are currently 1000+).  Testing is ramping up, with WAD deployment targeted for this Fall.
 
Eric also addressed CIS research into Application Virtualization.  The team has determined that in all but a few niche areas this technology is not ready for use as a primary application deployment method at SU.  Several approaches were tested and all have drawbacks including less than optimal user experience.  The team will continue to monitor developments in the application virtualization field.

ITS enhances leadership and support of technology for teaching, learning and research
 
At the Technology Leadership Council (TLC) meeting of July 22, 2010, Michael Morrison announced formation of Online Learning Services (OLS), a new unit within Information Technology Services at Syracuse University.
 
"Our primary mission is to provide leadership and support in the appropriate use of technology for teaching, learning, and research," Morrison said. 
 
OLS will work to achieve that mission by:
  • Creating opportunities to engage faculty to further their use of technology for teaching and learning
  • Supporting technology innovation and adoption to support teaching and learning
  • Participating in research opportunities to better educate faculty, staff, and students in the use of emerging technologies as they relate to teaching and learning
  • Managing University-wide technology implementations that are designed to support teaching, learning, and research
  • Hosting both physical and virtual events that are designed to bring members of the teaching and learning community together to engage in meaningful activities.
In addition to Morrison, who is Manager of Online Learning Services, staff includes Tom Downes, Samantha Duncan and Jeff Fouts. Online Learning Services is located at 1-205 CST.

New Software Licenses Site is Ready
Upgraded section of ITS web site has updated and new information
 
On July 19, Cindy Barry announced completion of the upgrade to the ITS Software Licenses web pages at http://its.syr.edu/licenses/.  This upgrade included 22 new pages, along with: 
  • A license template used to enter software license information and display it in a consistent manner 
  • Updating of all license information as well as providing additional information not formerly available 
  • Indexing all license pages to create dynamic navigation 
  • Total revamp of SAS pages to simplify and clarify information 
  • A new Frevvo SAS form with advanced functions such as internal calculations based on field selections
 
"We were able to get this out in time for the new SAS licensing," said Cindy. "Thanks to David Hoalcraft and Anna Hermann for their great work in making this possible."

ITS Web Site Available To Go  
Now accessible on mobile devices
 
The ITS web site is now available for mobile devices. Eric Mumpton modified the server to identify mobile devices that access the main site (http://its.syr.edu) and automatically redirects the visitor to the mobile version. The new mobile version uses special CSS and Cascade blocks to format handheld-friendly pages. You can view the new version any time at http://its.syr.edu/mobile or click on the 'Mobile Version' link in the footer section of the HTML pages.

ITS To Go Screen ShotLeveraging the Cascade Web Content Management System's capabilities, mobile pages are generated from Cascade whenever an HTML page is created or modified. Existing content is re-used to create the mobile page. Every HTML page has a corresponding mobile page, but only select content blocks are used in the mobile version to reduce the amount of information displayed.
 
"Use of existing Cascade navigation blocks avoids duplication of effort, and ensures content is always identical between the main site and the mobile version," said Cindy Barry, developer of the site. "All links are generated as relative links so they work for both site versions."
 
The mobile site features:
 
  • Most Frequently Used links for students, faculty and staff are on the home page
  • 'Email Help' button that offers instant emailing capability
  • System Status and News that are current and updated dynamically
  • Searching that functions just like the HTML version

Campus Collaboration Creates Informational Site for New Students

First-year and transfer students starting their first semester need a lot of information to successfully transition to SU. From registering for the right courses to knowing where to eat, new students have a lot of ground to cover before they arrive on campus. To help them prepare and get excited for the road ahead, Syracuse University introduced the online readySET this summer. A collaboration of Syracuse University's Division of Student Affairs (DSA), Advancement and External Affairs (AEA) and Information Technology and Services (ITS) departments, the readySET site was created with efficiency, sustainability, and accessibility in mind.

"We are very excited about the improvements we have made to the readySET this year," says Thomas V. Wolfe, senior vice president and dean of Student Affairs. "Not only is this method of sharing the readySET more efficient and sustainable, it's responsive to the needs of our students, who have been asking for a useful online resource for this information."
 
Taking the once-print publication to an online format dramatically reduced the paper use and expense associated with previous editions of the readySET. The site is also compliant with the Section 508 Amendment to the Rehabilitation Act of 1973, making it accessible to people with disabilities. The new format also solved the problem of misdirected or delayed packets, which frustrated students, especially students living outside the US, and those travelling throughout the summer. The expense of printed publications limited readySETs, to one-per-student, which posed a challenge to non-custodial parents, who did not receive a copy of their own.

"The readySET site effectively resolved a variety of large and small challenges for our office," says Greg Victory, director of the Office of First-Year and Transfer Programs. "Though students grew to depend on their physical readySETs in the past, we had to deal with mail delays, lost copies, and printer delays that slowed down our production schedule. Being able to make instantaneous changes and additions to the site has made a huge difference in our ability to get students the best up-to-the minute information. Students are discussing topics covered on the readySET site on Facebook, sharing links and answering each other's questions; that's an early indicator of success."
 
Work on the site began with rigorous planning between DSA's units (Office of First-Year and Transfer Programs, Technical Services, and Communications), AEA's Technology & Systems Support group and ITS's Academic Applications and Service Centers (AASC). The team designed the site based on priorities and needs reported by the Office of First-Year and Transfer Programs: a checklist, easy navigation, and a clear organizational scheme. "And photos," said a student tester. "Lots of photos." Features of the site include a checklist, distinct topic areas, a video feature, student-to-student advice, and a photo gallery.

In 2007, the Division of Student Affairs teamed up with units from across campus, including the offices of Admissions, Academic Affairs, Publications, and Word Processing and Bulk Mail Distribution to create the first readySET, a series of organized, comprehensive publications mailed in phases to matriculated students. It replaced an unstructured and heavy stream of disparate mailings that left students and their families feeling confused and overwhelmed. The following year, readySET expanded to include a packet dedicated to academic matters, including course registration and the University Shared Reading book. Last year, readySET was streamlined in response to students' requests for more focused, concise information, all at once. This year's transition to an online version was a logical next step.
 
"Taking readySET online is another example of our efforts to leverage online capabilities in the service of our students and a good example of how well-planned collaboration can yield great results," says Jenny Gluck, ITS Director of AASC. "This collaboration was so successful that we are now working jointly on the Study Abroad site with Enrollment Management."  
 
Marcello Prattico, Senior Web developer at AEA brought essential experience to the effort. "The readySET site is integrated with and based on SU's Orientation site, which we built in the Cascade web content management system," he says. "Using Cascade streamlined the production process while preserving the look and feel of the University's web site."
 
The readySET site will remain active throughout the summer and part of the fall semester, and plans are in the works for a modified winter readySET site, for students who will enroll at SU in the spring semester.
