 Are You Listening or Talking?

Cuts, Cuts, Cuts.  It seems wherever you turn these days, you are getting squeezed from one direction or the other.  The April issue of Aquatics International even ran a cover story titled "Cut Backs".  The pressure is on facility operators and owners to evaluate all aspects of their business and decide where some spending can be trimmed.
 
One of the first areas that is usually scrutinized is spending on recruiting and advertising.  This year, there seem to be more applicants for seasonal positions then in years past, and this is making the advertising and marketing budget an easy target. 
 
As hard as this is, it can be a great opportunity for you to really examine how your marketing is set up, and whether or not it is right for you.  The atmosphere has changed.  The old ways of talking "at" your employees/ customers/ recruits is over.  There is a new era, and now is a time to make sure your message aligns with it.

After a recent conference, AdAge (who is the industry publication that covers marketing and media), came out with its "5 New Rules for Marketing" (
www.AdAge.com ), and while not all five have direct application, it gives an interesting overview of where media and advertising currently is.
 
Here are a few of them:
 
Listening to customers is more important then talking at them
 
For years we have carefully crafted marketing "messages" as we tell our client/customer/ employee what we KNOW they want to hear.  That game is over.  It is a conversation, and a conversation is two way. 
 
You can't separate the corporation from the brand
 
Gary Vaynerchuk has said that the days of multiple personalities are over.  You can no longer have a work personality, a web personality (Facebook, etc), and another for your friends - you are who you are, whether it is at home, at work, or online, and your passions will be transparent.  It is important you believe in what you do.
 
We are all salespeople, whether we sell anything or not.  We - and to a lesser (or greater) extent, our company is judged by how we act and what we do EVERY time we interact with someone.  There are no secrets anymore.  We need to live our lives like everything we do is being recorded and will be posted online - and much of it is. 
 
Social Media is not a strategy
 
I feel strongly that EVERYONE needs to be involved in social media.  That being said, what is important is your product/ business, how it is run, and how you treat people - whether they be customers, recruits, or employees. As CC Chapman said on Managing the Gray, "Social Media will not save a crappy product".  There are many tools out there - Facebook, LinkedIn, Twitter, etc. and they should be part of the many areas you participate in, but they alone are not what is important. 
 
So what is important?  As I mentioned earlier, the "new rules" say a lot of old stuff.  What is important today is what has made businesses successful since the beginning of time.  Whether you look at Making Friends and Influencing People by Carnegie, or stories of how Bank of America was started, the important thing is the relationships, and today, more then ever there are tools to help you cultivate and grow those relationships.

This month, Amy Watson of the Glenview Park District in northern Illinois talks about why they use all of the programs offered by SAI.
One Stop Shopping Attracts Glenview
When the Glenview Park District decided to switch providers approximately six years ago, little did they know that they would be getting a new lifeguard training program, a new swim school instruction program AND a new pool operator certification program.
 
"We were looking for better customer service when we joined SAI," explains Amy Watson, Manager of Aquatic Services for the district for the past eight years. 
 
"We wanted timely answers to our questions, we wanted consistency and we wanted a quality program."
 
SAI was the only agency that provided service at the level desired by Glenview, and with its reputation for risk management expertise, Glenview made the decision to convert its 200+ lifeguards to StarGuard and implement Starfish Swimming for its 3500 swim school students.

"It was a great decision," Amy says.  " You can tell that SAI wants to make a difference, and they are.  They listen to what we say.  They are very proactive in trying to make things work for us individually."
 
Glenview, a suburb of approximately 50,000 residents, is located northwest of the City of Chicago. Incorporated in 1899, the Village covers almost 14 square miles. The park district provides an exhaustive list of services and programs (www.glenviewparkdistrict.org).
  Families (non-single residences) account for almost 80% of the local population, so park and recreation services are very important to this community.
 
Safety is also of prime concern to the residents of Glenview.
 
Glenview receives five combined site reviews (audits) each year at their one indoor and two outdoor aquatic facilities. Their indoor pool also receives two SwimReviews in which its swim school program is audited.
 
"Having those outside 'eyes' evaluate our programs is extremely helpful," Amy explains.  "It keeps our lifeguards and our swim instructors on their toes at all times.  It helps us do things better, and is very valuable in helping direct our inservice training program."
 
Glenview markets the fact that it is reviewed by an outside agency when promoting its facilities in the community.  According to Amy, it is a strong selling point and helps account for the high level of satisfaction with the Glenview aquatic programs.
 
"Having reviews gives us credibility with our patrons," Amy describes.
 
"It shows that we really do care how our lifeguards and how our swim instructors are performing."
 
SAI's experiential approach to learning appealed to Glenview when it recently elected to go with SAI's AquaTech pool certification program, as well.
 
"It's a very 'hands on' course," Amy says.  "It's a great way to learn, and it is much more 'real life' than any other program."
 
She attributes the quality of the online course, the photographs in the book and the ability to get into the actual operations of the facility as the factors which render it such a great course.  Both Amy and Mitch Forney, Supervisor of Aquatics Facilities, completed the AquaTech training course when they attended SAI's Leadership Council in Charleston, SC last February. 
 
While getting into the filter room with all of its "beastly" operations can be daunting, Amy attributes her experience to her confidence in the certification she received. She describes the course as a great learning tool.

NEWS & FEATURES
 May is National Water Safety Month

watersafetymonthThe Association of Pool and Spa Professionals (APSP), the World Waterpark Association, and the National Recreation & Park Association have joined together to promote water safety.  We urge all SAI Providers to check out the APSP website for more information on how to promote water safety in your area (www.apsp.org).  These organizations have posted many resources, such as water safety month posters, newspaper ads, press releases, a proclamation, and a school lesson plan guide.
 
SAI participated in the first National Drowning Prevention Summit in February, 2009.  Over 30 national organizations were invited and encouraged to collaborate and develop a single message for national drowning prevention efforts. The group established as its mission: "To prevent injury and death due to drowning. The group established as its goal:  "Through national collaboration of organizations we will develop a strategy and implementation plan to produce behavioral change that will help prevent injury and death due to drowning."  Many organizations have already begun collaborative efforts and are establishing methods for working together to promote the same message next year.

SAI also has programs and products available to help promote water safety.  All Starfish Swimming Providers have access to the Water Safety Day Curriculum.  The Chatham County Aquatic Center in Savannah, GA has once again partnered with "Make A Splash" and "Safe Kids Savannah" to host its second annual Make A Splash Water Safety Event on May 16, 2009.  Look for a full report in our next newsletter.  Other products available include child watcher badges, a water safety rhymes book, and Danger Ranger materials.  
 
Drowning is still a leading cause of death and SAI Providers must encourage and educate parents in the importance of proper supervision.  Many of you have attended backyard birthday parties where you somehow became the lifeguard on duty.  You've witnessed parents "check out" the minute they entered the pool, because they knew there were lifeguards on duty.  There are many cases where the parent assumes that someone else has taken responsibility for his or her own child and don't realize the inherent danger of the water.  Please enforce the Child Watcher Program for large groups and birthday parties.  Consider instituting the Child Watcher Program during swim lessons and assigning a parent one day during the lesson session where they must take on the responsibility of supervising the children in the swim lesson group and making sure that they stay safe.  Remember, parents very seldom receive information on water safety concepts and therefore, it is extremely important that swimming pools educate the parent on proper behaviors when in, on, or near the water.  
 
The Can Starfish Make A Wish? book is a great resource for parents to use to educate their young children on many water safety concepts such as asking permission to enter the water, wearing a lifejacket, " reach or throw don't go", and the prevalence of germs in the water.  The Danger Ranger materials are also excellent resources for educating children on water safety concepts.  Consider having storybooks or water safety videos available in the facility lobby.  Hold a coloring contest during water safety month using one of the Danger Ranger Coloring Sheets.  Have the story and activity books available for purchase.

Meet Sara Poe 

I am the point of contact for most general client inquiries, and most of you have probably talked to me (some on a daily basis) over the last few years. 

I welcome new clients into the SAI family and set them up internally.  I also process orders, handle CMS inquries, process registrations, and answer questions regarding training classes and instructor development. SaraNewsletterPhoto

I grew up in Harrisonville, Missouri, about 30 miles south of Kansas City, and graduated Summa Cum Laude from SIU Carbondale with a BA in English Literature.  In addition to teaching, I spent several years as a pharmaceutical sales representative for Eli Lily prior to coming to SAI, and I much prefer working with SAI clients in the aquatics field to waiting in doctors' offices and pushing drugs.  I do, however, miss the company car and all of the free pens!

I live in St. Joseph, Illinois with my husband of 16 years, Gregory, and our two boys, Nicholas, age 11, and Eric, age 7.  Additional family members include four cats and a dog, although my husband refuses to acknowledge my cats as family members.  When not attending soccer or football games, I can usually be found reading (legal and spy drama, historical fiction, and horror, primarily).  I also thoroughly enjoy movies, fishing, singing (Illinois State Fair finalist), and spending time with family and friends.

Most Embarrassing Professional Moment:  There have been so many, unfortunately, but one that sticks out prominently in my memory occurred at the national staff meeting in Chicago nearly three years ago. My youngest son burst into the formal conference room in the middle of our meeting, and boldly announced  "Mommy!  I just went number two! Come see!"

StarReview Update
 
The Review Staff is busy planning for this year's season, and we thank everyone who has submitted their online Facility Registration and Risk Management Self Assessment Evaluation forms on our intranet site for the StarReview program.  If you have not completed this important documentation, please do so immediately, as this is how we prepare for and assign our visits to your facilities. We are moving toward becoming "paperless" and appreciate the extra time you may have to spend this season getting your information online.  Please complete a form for each facility. The online format will save you time in future years, as you will only have to verify accuracy of existing information. The online Facility Registration and Self Evaluation forms for the SwimReview program will be available very soon. 
 
In general, the implementation of the 2009 StarReviews and SwimReviews will remain the same as last year with a few modifications to the 'paperwork,' which will be available on our intranet site for your review. Please review the following with your staff during an in-service before the season begins:
 
1.  A StarReview or SwimReview may be performed at ANY time your facility is open.
2.  The Reviewer will evaluate the lifeguards or swim instructors in the performance of their duties through visual and/or video observations.  Lifeguards will also participate in skill scenarios. The SwimReview will also consist of a review of on onsite management of the swim lesson program. 
3.  The Reviewer will randomly observe and document facility risk management.
4.  An Inclement Weather Policy will be in place.
5.  The video film will be downloaded to a DVD, generally on property, the same day as the Review, and left with the individual who was 'debriefed.'  The 'paperwork' will be formatted into a PDF file and either:
     a.   transferred directly to a computer on site
     b.   emailed to the name and address listed as the 'contact' on the Facility Registration
 
In addition, consider the following:
 
1.   It is not necessary for someone from the facility staff to sit with the Reviewer the entire time that the video and computer work is being transferred.  The evaluation can be discussed in a timely debriefing at the conclusion of the process, and we know you are busy.
2.   Lifeguards and swim instructors strive to earn '5 Stars,' but this means demonstrating professional, pro-active behaviors that consistently surpass national standards.
3.   The Reviewers are trained annually, and are highly experienced in observational techniques used to evaluate thousands of lifeguards, swim instructors, and facilities nationwide.  They are your consultant for the time they are on your property, so please feel free to discuss any risk management issue with them during their visit.

The State of Illinois requires Human Kinetics to charge sales tax on merchandise ordered in conjunction with SAI services.

Please Remember...
 
A friendly reminder from the Headquarters Office in Champaign:  Please remember to do the following on a timely basis (your lives will be easier, and so will ours):
 
  1. Enter lifeguard and swim instructor CAP data into the Class Management System (CMS) upon the completion of each course.
  2. Enter monthly rescue reports on the Aquatic Incident Database (AID).
  3. Order the required student book packages and CAP packs for lifeguards and swim instructors a minimum of one week in advance.  Remember that each lifeguard is required to have his or her own personal copy of the course textbooks.
