Wow! Did April fly by or what? April is always a crazy family, client, and conference month for me anyway, and this year was no exception. Started the month on a road trip w/ the family down to Myrtle Beach -- sis states and back in six days! Then, did client work for MSU (twice), U. Michigan, Iowa Bankers, NALP, and a major hotel firm, and I'm finishing off the month this afternoon back in Ann Arbor again! (Did I mention that I also snuck in five days at Disney w/ the family too?) How is that for time (and life) management?
Because of this, I may have "bit off a bit more than I could chew" when I had you save the date for the Optimizing Outlook webinar on May 15. It actually takes quite a bit of advance prep work to pull one of these together properly, so I have decided to push this back to Tuesday, June 5 (see column to the right). This way, I can make sure to fully and properly prepare this program for oustanding results for you and your team -- look for the e-mail with registration and program info very soon.

Timely Tips April 2012 -- "Quick Steps" -- The Best New E-mail Management Feature in Outlook 2010

Every time Microsoft brings out a new version of their Outlook software, they try to make an enhancement that makes users want to upgrade from the previous version. In Outlook 2007, the enhancement I found most useful was how they elevated the "Signatures" button to the top of any open e-mail, allowing you to quickly change the signature from your "standard" signature to a different, customized signature, thus allowing you to effectively use the Signatures tool as an "automated e-mail tool".
In Outlook 2010, the best new feature/tool I have found yet is the "Quick Steps" tool. This tool "box" appears in the middle of the top banner when you have the "Mail" function open. You'll note that it will have a few "Quick Steps" already in the box -- likely actions you have recently taken with an e-mail.
The nice thing about this feature is that the last option (lower right corner of the Quick Steps box) is to "Create New". This means you can create your own custom Quick Steps. For example, are you very regularly moving e-mails from a particular client or on a particular project to a defined e-mail subfolder? If so, you could create a "Quick Step" to automate the filing of these e-mails into that folder. Simply click "Create New" in the Quick Step box, name the "Quick Step" ("Auto-move to Client B Folder"), and then "Choose Action" (move to folder -- Client B Folder).
You can even make a multi-part quick step -- "Create Task with E-mail Text" and then "Move to Folder". In essence, if you find yourself doing the same basic action(s) again and again when managing your e-mail, this may be the perfect time to create a Quick Step -- then, from this point forward, in one click, you complete that common action. Awesome!!

Universal Password Manager
(UPM)
| UPM -- available on Google Play and ITunes App Store. Not necessary for BlackBerry devices, as they have their own "on board" password manager app built right in.
One of the first apps any smart phone user should get is a solid "password manager" app -- something that can easily yet securely store key account passwords, usernames, log-in credentials, and other private and/or personal data. (I use mine also for all of my travel accounts and some of my banking/credit card accounts.)
I've been using UPM (a free Android app) for several months now, and have found it to be a perfectly capable password manaer. Effectively, it allows you to create unique entries for each of your accounts, with fields to store log-in name, password, URL, and a notes field for additional data. You also have to assign a single "master password" that allows you to log into UPM when you use it, so if you were to lose your phone, the finder would have a very hard time breaking into your password vault.
UPM is available for both Android and IPhone devices, and, after a quick search, I found that they also have versions for Mac OS and PC too (so you could also have a password vault on your preferred computer.)
I personally like having mine on my phone, so that I have all account/log-in info handy whenever and wherever I need it.
My wife has been using My Eyes Only on her IPhone, and reports a very similar experience. UPM is 4.5 star rated on Google Play, with 100,000+ downloads, so it seems to have a very good performance record. |
