Messy desk owners, REJOICE!!!!  I'm about to share with you the reason why your desk is messy and why you can be proud of it!

Messy DeskOn any given day, my own desk looks like the aftermath of the Mount St. Helens explosion.  Mostly that's because I have a policy about paper - I only handle it once.  Therefore, unless I am ready to take action on something, it sits in chaotic piles.  Ergo - my desk is usually a disaster.

As it turns out, our minds can only handle seven different tasks at a time. When we allow our desks to get messy, it's like we're offloading some of our mental tasks from our working memory.  That means our desks become an extension of our mind.

 

brain powerThe process of taking information out of your mind and placing it into the environment is known as a cognitive artifact and expands our capacity to think because we've removed some of the information and created more space (brain power) to think about new tasks.

 

When you use cognitive artifacts, your brain understands and accepts that you won't forget things and releases them from consciousness. Later, going through the piles reminds us of their intent, thus reinforcing the extension of our working memory. 

string fingerThink of it like this:  When someone ties a string bow around their finger to remind themselves of something, the bow is a cognitive artifact.  When we look at the bow, we remember whatever it is intended to represent.  So in this metaphor, bow = messy desk piles; looking at the bow = remembering tasks we still need to do.

When it comes to our desks, all of us have different working styles.  Some people make piles, some use folders, some create lists, some stack from left to right while others from right to left or top to bottom.  Still other people have desks that appear to have no organization whatsoever and yet, they know exactly where everything is.  Those piles (however we create them) act as triggers to remind us what needs to be done.

paper pilesThe logical conclusion then is this:  People who have messy desks are able to multi-task more effectively and are more likely to accomplish far more tasks than someone who works linearly (i.e. one task at a time) and cleans their desk completely every day.

While extending our working memory via cognitive artifacts is a great way to multi-task, we should use care not to keep clutter on our desks for no good reason other than we simply can't bear to discard it.  As it turns out there are studies that indicate we don't use 60% of the things on our desk or 80% of the things we file.  So do your best to restrict your piles to those things that truly reflect necessary and productive work.

No ClutterUnnecessary clutter not only takes up physical space, but it can totally overwhelm your mental space which ultimately leads to stress.  So get yourself organized, stop feeling guilty about having a messy desk and try not to be freaked out by the concept that a full desk is a reflection of what's going on in your mind. 

Benjamin Franklin once said 'A place for everything, everything in its place'.  He just didn't say it had to be neat or tidy.

Spring Cleaning
A General Check List
 
orange blossomsIt must be that time of year again as my orange tree is full of blooms - yep, it's Spring and with Spring comes the reminder that it's time to do our bi-yearly maintenance, clear out clutter and kick the year off to a fresh start.
 
The tradition of Spring Cleaning is rooted in various cultural and religious traditions where a home was cleaned from top to bottom in anticipation of special events including other Countries' New Year celebrations (those that occur other than Jan 1) as well as several religious holidays. 
 
Eventually, the practice of Spring Cleaning evolved into a general tradition where the warmer weather inspires us to clean or maintain areas that are not part of a standard house cleaning effort.
 
checklistHere is a whole house checklist of items you might want to include in your Spring Cleaning project:
 
Kitchen - Have your tile & grout cleaned and repair grout if needed.  Blinds and shutters in the kitchen and throughout the home should be cleaned and, if needed, repaired.
 
Livingroom - have your upholstery, draperies and rugs cleaned.  Desert sand creeps into the fabric and may reduce lifespan.
 
Bedrooms - flip or rotate your mattress for even wear and clean or replace pillows.  Dust mites, mold, bacteria and odors can be a health hazard.
 
First AidBathrooms & Garages - update your first aid and earthquake kits - especially if you live here seasonally.  Both kits have products with a shelf-life so be sure to check and replace any that are expired.
 
Closets - donate any clothes you haven't worn in more than a year and if there is clutter - sort into piles: Keep, Sell, Donate - then do it.
 
Windows - clean your windows and screens - repair screens as necessary
 
Outdoor SpaceWe spend more time outside than many other areas of the Country.  Therefore we should expand Spring Cleaning to include not only the house, but also our outdoor living spaces
 
Pressure wash your decks and patios, clean patio furniture, check cushions for wear, inspect/clean outdoor light fixtures - is your outdoor barbecue gas line secure? Have you checked inside the barbecue for pests or rodents? When was the last time you cleaned inside that outside refrigerator?
 
Preventative Maintenance - Don't forget to have your AC serviced and change or clean your filters.  Sand and dust clogs up your filters quicker than one might think
 
CleanersGeneral - BATTERIES - we change an amazing amount of batteries and they are like car headlamps - if one goes, change them all.  And don't forget pest control - if you don't already have a service provider - let us know.  We have rates you'll appreciate!

Mentoring for Entrepreneurs
 
MentorOnce upon a time, someone would take you under his or her wing and share their experience, encourage your accomplishments, challenge you to 'go for it' and give you a safe platform upon which you could brainstorm - in effect mentoring you.
 
This arrangement was satisfying for both parties.  The mentor enjoyed seeing his/her protege prosper and the protege was able to gain valuable information and experience he or she might otherwise take years to learn, if ever.
 
These days, constant downsizing has left many employees with so much work to do, there is no time to mentor anyone.  And if you are an entrepreneur - well, that is a completely different situation.
 
IndecisionEntrepreneurs are constantly challenged to stay motivated.  Often, because they work in such isolation, entrepreneurs may get stuck in a vacuum.  Brainstorming, action plans and goal setting suffer and they can find themselves mired in a sea of indecision.
