Dear Friends and PrintSmith Users,

 

 As in your business, you  sometimes realize your customers don't know what you can do nor do they know all of your qualifications. This is very much my case. I try to give everyone who hires me a sense of what I know, where I have been and what I can do for them. However, many users are reading this newsletter and may only know that I am a PrintSmith Consultant.

 
I have been in printing for over 32 years now, owning my own companies. I have a BS degree in Management with a minor in Accounting. As such, I not only know PrintSmith very well, I know your business as well. Please see my enclosed resume for all of my qualifications.
 
I will produce one more newsletter before the end of the year, and in that one I will discuss year end procedures in PrintSmith. Please look for it in your in box in the next couple of weeks.

PrintSmith and QuickBooks
As some may know, I am in the process of being a Certified QuickBooks Pro-Advisor. This means that I am offering PrintSmith users discounts on all QuickBooks products, please I can answer any QuickBooks questions.
 
In setting up "my" QuickBooks with PrintSmith I noticed and revisited on how PrintSmith handles deposits made by customers. The behind the scene of deposits in PrintSmith is that a deposit is actually put into an escrow account in PrintSmith and taken out once the invoice is posted. You, the users, never know or care what is happening, however it is critical on how QuickBooks is set up.
 
The escrow part means that a deposit a customer made is not really your money until the job gets posted. This is true because prior to delivery, the customer can cancel/change the job and part or all of the deposit must be returned. That is why it really isn't your money and in QuickBooks it need to reflect this.
 
I gave "deposits on invoices" a separate GL number in PrintSmith and also in QuickBooks. Below you will please see what I did.

Now  you can see the $1,000.00 was added to my bank account balance, but was actually deleted to give me a smaller "actual balance". The $1,000.00 will become positive and my bank account will actually be correct once the invoice with the $1,000.00 deposit is posted in PrintSmith.
 
All the other accounting programs supported by PrintSmith will work this way. It is a PrintSmith function on how PrintSmith handles deposits.
