In this issue I will discuss year end procedures to follow in PrintSmith. Please read them an follow them. They are very quit simple.

PUSH continues to do well as I have many users signing up each week. PUSH is another way to get support from me without coming out to your location, although I do encourage an onsite visit, as we can do alot more in a day or two then we can on the phone!

Year End procedures within PrintSmith
Technically speaking, there is NO year end closeouts or anything "special" to do in PrintSmith for the end of the year (calendar or fiscal). PrintSmith just requires your normal daily and then monthly closeouts. However, I have put together some additional procedures that should be done at year end.
1) After your daily and monthly closeouts (do them on the last working day of December, preferably before you leave the shop), I would print an aging of all your accounts. I would hit the button that says "save report" in the reports tab. This is very valuable as your accountant will definitely need to see your AR balances and he may wish to see them by customer.
 
2) I would then do a ranking of all my customers and save this as well. You may wish to print them out for future references.
 
3) Do a backup as usual, and then do another backup on a separate CD or Flash Drive. Store this one separate and label it year end 2010. You may have to go back to 12/31/10 and see some information when your accountant does your taxes.
 
4) At this time, I recommend that you do a restore of one of your backup. Backing up PrintSmith (and other data) is essential, but it is a good idea to check and restore the backup to make sure you indeed are backing up correctly. If you are unsure of how to restore your PrintSmith data, please call me or email me for further assistance.

Bar Code Scanners available
 
I sell the traditional bar code scanners that are hand held and plug (USB) into a workstation. One bar code scanner per workstation.

I also sell the wireless type, with a range of about 100 yards. They also plug into a workstation, but with the range, they can be used by multiple employees. If you go out of range, you can still scan, and when you are back in range, they "sink" with PrintSmith.

These scanners are really nice, and although alittle expensive, they save money by eliminating a few scanners and also by utilizing them, you keep track of where every job is in your shop!
