Many have noticed our new look. We've updated our logo and website. The new "look" precedes some additional services and new conveniences that you will see introduced over the next couple of months.  Please stay tuned for more information. In the meantime, we hope that you find this newsletter helpful as you go about your business.

Keep your business working this FLU season.
This year the flu season is predicted to be tougher than ever.  Flu ShotDon't let the flu season take its toll on your business.  A high level of employee absences can really impact your operations.   Here are some recommended steps that can keep your employees healthy and keep your business running. 
  • Encourage hand hygiene by providing education and reminders about washing their hands for 20 seconds and using alcohol-based hand cleaners.
  • Encourage respiratory etiquette by providing reminders about covering coughs and sneezes with tissues and providing easy access to tissues and trash cans. Routinely clean surfaces. The virus can live on hard surface (keyboards, phones, doorknobs, etc.) for up to 8 hours.
  • Advise all employees to stay home if they are sick until at least 24 hours after they no longer have a fever (100 degress Fahrenheit) or signs of a fever (chills, feel warm, has flushed appearance or is sweating). 
  • Suggest to the employees that they go home if they start for feel ill at work.  The signs are runny nose, body aches, headache, tiredness, diarrhea, or vomiting.
  • Prepare for employees to stay home from work and plan ways for essential business functions to continue.   Cross-train staff to perform essential functions so that the business can continue operating.
  • Encourage all employees who want protection from the flu to get vaccinated for the seasonal flu.  Also, encourage employees who are at higher risk to get the 2009 H1N1 vaccine when it becomes available mid-October. 
The CDC recommends that the following priority groups receive the 2009 H1N1 influenza vaccine:
  • Pregnant women
  • Household contacts and caregivers of children less than 6 months of age
  • Healthcare and EMS workers
  • All people from 6 months through 24 years of age
  • Persons 25 through 64 years of age with health problems

Once the demand for vaccine for the prioritized groups has been met, the CDC recommends that providers should begin vaccinating everyone. The new H1N1 vaccine will not protect against seasonal flu.

Continued compliance...I-9 Audit
In our ongoing effort to keep our clients compliant with Federal and state regulations, Omni Resource will be conducting an I-9 Audit to check for expired documentation. Please inform your employees that an Omni Representative will be contacting the manager of individuals who will need to provide updated proof of employment eligibility. Call our office with any questions.

Income Tax Withholding - Exempt Status
Dollar SignWhen Should an Employee Claim "Exemption" from Withholding Tax? 
Sometimes Omni receives improperly completed withholding certificates from employees who believe they are 'exempt' from federal and/or state withholding tax. Here is a simple explanation of the 'exempt' filing status that will help keep you and your employees "happy" at tax time.
 
"Exempt" means no federal and/or state income tax will be withheld from the employees' paycheck.
 
Following are general guidelines for employees who wish to claim exemption from federal and/or state withholding tax from their paycheck:
     1. They had no tax liability in the prior year
                                AND 
     2. They do not expect to have tax liability for the
          current year
 
If BOTH of these conditions are met, then the employee should complete the appropriate withholding certificate as follows:
     Federal W-4 - Line 7 - Write "Exempt"
     MD-MW-507 - Line 3 - Check boxes a and b and
                         write "Exempt"
     VA-VA-4 - Line 3 - Check Box
 
There are other conditions that could cause an employee to be 'exempt' from state withholding. We recommend the employee consult the instructions that accompany the state withholding certificate or contact their tax advisor for additional guidance.
 
Employees must complete a new federal and/or state withholding certificate EACH year they claim exemption from withholding tax. These are due no later than February 15th of each calendar year.      
Change in CareFirst Dental Plan

Dental Implants 

Effective September 1, 2009, a change was implemented to the Carefirst Traditional Dental plan that eliminates the requirement for dental implants to be covered only "as an alternative benefit to a fixed bridge". This means that if a covered member has a medically required need for an implant to repair or replace a missing tooth, the plan will now cover that procedure as part of the "Major Services-Restorative" benefit.

Consult with your dentist first when considering any related procedure to ensure that the work will be covered by CareFirst. If you have any further questions, please contact Stewart Rawley at Omni Resource.
