Everyone has email pet peeves. One of mine is when someone sends me an email with a vague subject line or no subject line at all. Grrrr!! When this happens to you do you find yourself reading the email and at a later time, re-reading the email because you can't tell from the subject line what it's about. One quick solution to this problem is to change the subject line once you've opened it. In my Outlook training class I show people how to do this and people always love it.
But why not do everyone a favor and write an effective email subject line right out of the gate? I get a chuckle from audience members when they realize the reason why others aren't responding to their emails may be the fact that their own subject lines are poorly written.
If your email is requesting a response or an action from someone, you can easily allude to that by creating a clear and concise subject line. For example: Action required: 4Q budgets due on 15th.
When writing your email's subject line, ask yourself these two questions:
- Will the recipient know at-a-glance what my email is pertaining to?
- If I were receiving this email, would I open it?
