In my experience, I have found that clarifying individual roles and responsibilities improves individual performance. When people know the role that they are expected to play in a meeting, they come prepared and they participate. If you want full and balanced participation, limit the people that you invite to your meeting to the specific roles that you cast.
What roles do I suggest? Leader, Facilitator, Recorder, Timekeeper, Parking Lot Manager, Subject Matter Experts, Stakeholders, Devil's Advocate.
Using this process will help you to minimize "agenda hijackers" and maximize the energy level of your meeting participants.
