Recent CMS regulations for the MDS 3.0 have created new challenges for long term care facilities, specifically the need to review rehab RUG scores every 7 days, and if necessary, complete a Change of Therapy (COT) assessment to report a new RUG for billing.

 

Hi-Tech Software's Rehab Therapy application can assist therapists in scheduling and documenting residents' physical, occupational and speech therapy. It can also help them analyze the 7-day look back to determine the need for a COT assessment.

Hi-One: Use 100 Day Scheduling to Manage Therapy

You can build templates for specific RUGs or types of rehab (i.e., for a knee-replacement) which allocate the number of days and minutes required to meet a therapy goal. When you schedule a resident's therapy you can choose a template that will meet this resident's therapy needs. Override this default schedule at the resident level when necessary.

 

You can assign therapy to specific therapists, or leave therapy unassigned for distribution to the team on the day of therapy. Print therapy schedules by resident or by therapist.

 

Therapists can immediately input completed therapy time into the therapy system. You can also print worksheets on which therapists manually record completed therapy for later entry into the computer.

 

As you record therapy minutes, review the amount of therapy that can be reported by a specific MDS ARD. Adjust the ARD if necessary to capture the maximum amount of therapy within the defined observation period.

 

Print 30- and 100-day Reviews that detail completed and scheduled therapy, as well as the RUGs that have been and will be achieved based on the resident's therapy schedule.

 

Rollover uncompleted therapy minutes to the next day so that therapy goals are met.

 

Hi-Two: Record Completed Therapy

To record therapy, you can access all HCPC-coded therapies in the Facility Profile. To reduce input time, you can sort the therapies by those used most frequently.

 

As you record completed therapies, the System will warn you if:

  • Therapy time is being entered after the therapy charges have been posted for that day.
  • Residents are approaching or have exceeded their Medicare B Therapy limits.
  • Medicare A residents have fewer than 15 Medicare days remaining, or if their days are exhausted.

Use reporting features to review and verify accuracy of recorded therapy and charges.

 

Use the Part B Statistics report to track the PT, OT and ST therapy caps by resident.

 

Hi-Three: Track Residents' RUGs and the Need for COT Assessments  

Print the COT Assessment Alert to identify residents whose changes in therapy levels require a COT MDS. The Alert will indicate if the required COT must be combined with a scheduled MDS.

 

After the COT is complete, the system will report new RUGs to the resident's Stay Table so your accounting department can submit it for payment.

 

 
Hi-FourIntegrate Recorded Therapy with the MDS 3.0  

Recorded therapy time will automatically update Section O0400 Therapies in the MDS 3.0

The system will warn you if:

  • You enter therapy time after the MDS Therapy section has been completed.
  • There are discrepancies between recorded therapy and therapy minutes reported on the MDS.

During month-end procedures, print and review the Rehab Register. When it is accurate, create the rehab charges, and print and post the residents' detail.
