    Well it's almost the end of the 1st Quarter 2006. How time flys. If you used OTTER last year to do your Oregon Payroll Quarterlies you should have received a new CD with the 2006 updates.

    Once you've installed the program you will need to restart your computer. Then go into OTTER and first create a new year under 'File'. Then 'Copy a Quarter' from 4th Qtr 2005 to 1st Qtr 2006. This will move all of your existing employee's over for you.

    To get the information you need, in QuickBooks go to Reports - Employee Summary. Change the dates to Last Calendar Quarter (1/1/06-3/31/06). You can eliminate the Rate under modify. Everything you need is on this one report.

    In Peachtree, Reports - Employee's - Payroll Register for last quarter. Make sure that the hours are shown.

    Once you've completed the report you can simply e- mail it to the state. There are some systems that will not let you e-mail directly from OTTER. In these cases the file is automatically saved in C:\program files\Otter32\ the file you want to attach in a separate e-mail is the OTTERTFR.ZIP

    If you manually prepared your Oregon Quarterlies this is the year to start using OTTER. It is a software program given to you FREE from the Oregon Department of Revenue to prepare your OQ Reports. There is a link at the bottom of this newsletter to take you to the web site where you can download the program.

    Once you've e-mailed the report you should received a confirmation e-mail with 24-48hrs. Make sure and print it out and attach it to your file copy.

    QuickBooks 2006

    If you have upgraded to any version of QuickBooks 2006, PLEASE make sure that you have downloaded the latest maintanence release. You should be in R5P. If you're not sure, press the F2 key and look at the far right on the top line.

    If you are not on R5P, go to Help - Update QuickBooks. Remember - if you are on a server you MUST update the server first, then all of the work stations.

    You may have heard that there have been more problems with the new QuickBooks 2006 than any previous upgrade. The reason is, it's the first version that the program had to be installed on the server as well as the data file. It also needs to be open FIRST by the Server before any of the work stations can access the file. This has caused a great deal of confusion!

    There are still a few bugs being worked out, especially on the Enterprise Version, but I have faith all the issues will be resolved soon.

    Tricks for QuickBooks 2006

    There are a lot of new tricks available in 2006 that may or may not help make things easier. I've listed just of few of them below.

    Customer & Vendor Centers Did you know? When looking at the full view (click on the arrow next to View) that you can Right-Click on the title bar and choose which fields of information are displayed by Customizing the Columns?

    When looking at the Customer/Vendor view that displays all of their information, when you select only 1 type of transaction (the bottom of the screen), the system will give you a total. For example, if you wanted to see how much you have invoiced a certain customer, Click on their name from the list. Change 'Show' (bottom right) to Invoices. You now see a list of all of their invoices and the total. This screen combines the Customer List, The Edit Customer Information and a Quick Report into one at a glance screen. Nice!

    That Under 'View' you can filter the list of shown customers/vendors to fit almost any criteria. For example, you could filter it for only customers/vendors in the state OR, or with certain information in a custom field. This is one yu need to play around with. Just select View - Customer Filter and then select the filter you want.

    Item List Right Click on the grey title bar and Customize the Columns that you want displayed


    Vacation

    Just a "Heads Up". My husband & I are going on my dream vacation to Europe. I will be "Out of the Country" from May 24th thru June 8th.

    I will have someone taking messages and scheduling appointments while I'm gone and there will be backup support for any emergencies. Just call the office and someone will get back to you.

    We're going on a 15-day WWII Memorial Tour. We start in Amsterdam, then Belguim, Germany, Austria & France. It's been my dream to visit Europe and my husband wants to visit WWII sites so we're combining the two.


    EFTPS

    Are you still taking your coupons to the bank to make your Federal Payroll Deposits? Use the link at the right to sign up for the "Free" EFTPS online payment.

    All you need in internet access. You can set it up so that your bank transfers the money to the IRS (they don't have access to your bank account). You can also set a limit as to how much can be transferred at one time. It's safe and it's easy. It also takes the stress out of having to get to the bank all the time.
