How to get more out of Outlook?
The goal of organizing your Outlook is to reduce the amount of unnecessary "noise" in your Inbox and to make the most important items bubble to the top.
Rules help this process by moving messages into folders based on criteria that you set.
Rules filter the messages coming into your Inbox for must-read items only.
It is considered best practice to have the following rules (details on how to set up these rules are at the end of this article):
- Automatic Replies Move all responses to meetings that don't have content to Deleted Items. You can see who has accepted by checking the tracking tab inside the meeting window.
- To: Me Any message sent directly to you or with you on the Cc line is sent to the Inbox and is not processed by other rules, even if it is also sent to a Contact Group.
- Meeting Requests Sent to Inbox All meeting requests, even if sent to a Contact Group, should be sent to the Inbox.
- Defer Sent Items This rule delays sending messages by one minute or longer. When using this rule, make sure that your messages have been sent before you shut down your computer.

- More Work, Less Energy For many people, a computer is the central tool at work. Optimizing the energy settings for computers and other devices can be more than a modest energy saver. Set computers to energy-saving settings and make sure to shut them down when you leave for the day ("standby" settings will continue to draw power even when not in use). By plugging hardware into a power strip with an on/off switch or an energy saving power strip (the Smart Power Strip, for example), the whole desktop setup can be turned off at once (make sure to power down inkjet printers before killing the power--they need to seal their cartridges). Printers, scanners, and other peripherals that are only used occasionally can be unplugged until they're needed. And of course, turn off lights in spaces that are unoccupied.

| The Smart Strip Power Strip |
The Smart Strip monitors power consumption and can sense the difference between when computers and other devices are on or off. Upon figuring this out, it shuts off the power, eliminating the idle current drawn from them. There are a couple different models and options (including fax/modem "extended sensing" and a smaller strip) and they run from US $32 to $43; Smart Strip claims it will pay for itself in as little as six weeks. When you figure the cost of a regular power strip, it really makes sense. |

| Managing E-Mail Messages using Microsoft Outlook's Rules and Alerts
| How would you like a rule that would notify you - perhaps by a chime, bell or a simple TADA! (you pick the sound) - when you receive a particular message? Of course, you could also just make a rule to display mail in the New Item Alert Window the minute it comes in from a specially designated person.
How about a rule that automatically sends an alert to your cell phone when you receive a message from a family member, client or colleague?
Pretty cool, huh?
Then there are always the rules that facilitate organization by helping you file and follow up on messages. For example, you can create a rule that will send all messages from a specific person directly to a folder. This really helps when you're inundated with multiple e-mails from multiple people. If you always seem to find yourself scrolling up and down looking for that one message in your inbox from what's-his-name amid the hundreds of messages, this was tailored for you!
Can I get a halleluyah?
And if that isn't quite enough, you can also create a rule for specific words in the subject line or the body of the message, etc. to be moved directly to a folder. Some people use this to avoid spam that might sneak in, but imagine how much easier this would make things if you happen to be juggling multiple projects. You could create folders for each of your projects and tell everyone to reference the project name in the subject line .
Rules and Alerts would automatically distribute the corresponding e-mail to its correct folder.
You can also create a rule for automatically flagging messages from someone for follow-up or for alerting you to those things that are marked as important, sensitive or action-related. You can create a rule from a template or from scratch, and you can set up a rule to run continually or just periodically. So what are you waiting for? Check it out! |

How do I set up the "automatic replies" rule?
- Click the File tab.
- Click Manage Rules & Alerts.
- In the Rules and Alerts dialog box, click New Rule.
- In the Rules Wizard, under Start from a Blank Rule, select Apply rule on messages I receive, and then click Next.
- Under Step 1, select the Uses the form name form check box. (You might need to scroll down to find this option.)
- Under Step 2, click Form name, and then select Accept Meeting Response and Tentative Meeting Response. After you add the two forms, click Close and then Next in the main Rules Wizard window. Make sure to select Application Forms from the list at the top of the dialog box, or you might miss Accept Meeting Response and Tentative Meeting Response and and then OK.
- Select the following exception: Except if the body contains specific words.
- In Step 2, click Specific words, type a space, and then click Add and then OK.
- Click Finish.

How do I set up the "To: me" rule?

Click the File tab. -
Click Manage Rules & Alerts. -
In the Rules and Alerts dialog box, click New Rule. -
In the Rules Wizard, under Start from a Blank Rule, select Apply rule on messages I receive, and then click Next. -
Select the Where my name is in the To or Cc box check box, and then click Next. -
Select the condition Stop processing more rules (you might need to scroll down to find this option), and then click Finish.
How do I set up the "meeting invitations sent to Inbox" rule?
- Click the File tab.
- Click Manage Rules & Alerts.
- In the Rules and Alerts dialog box, click New Rule.
- In the Rules Wizard, under Start from a Blank Rule, select Apply rule on messages I receive, and then click Next.
- Select the condition Which is a meeting invitation or update (you might need to scroll down to find this option), and then click Next.
- Select the action Stop processing more rules (you might need to scroll down to find this option), and then click Finish.
How do I set up the "defer sent items" rule?
- Click the File tab.
- Click Manage Rules & Alerts.
- In the Rules and Alerts dialog box, click New Rule.
- In the Rules Wizard, under Start from a Blank Rule, select Apply rule on messages I send, and then click Next.
- Click Next again, which will apply this rule to every message you send.
- Select Defer delivery by a number of minutes.
- In Step 2, click A number of and then click OK in the Deferred Delivery dialog box. (The Minutes box displays a default of 1.)
- Click Next.
- Select the following exception: Except if marked as Importance.
- In Step 2, click Importance and then select High importance.
- Click Next and name this rule Sent Items.
- Click Finish.
