How to get more out of Outlook?

 

All your mail, your contacts, your calendars, and almost every other detail of your life is in Outlook. To make sure you don't lose all this in case of a hard disk crash or some other disaster, you can create backup copies of your Personal Folders (.pst) files - that's where Outlook stores all the essential data.

Back Up or Copy Your Outlook Mail, Contacts and Other DataTo create a copy of your mail, contacts, calendar and other data in Outlook for backup or copying:

  • Go to your Outlook folder in Windows Explorer.
  • Highlight all files ending in ".pst".

  • Make sure in particular your selection includes "outlook.pst" and "archive.pst".
  • If you have Windows Explorer configured not to show file extensions for known formats, look for Microsoft Office Outlook Personal Folders files.
  • Select Edit | Copy from the menu to copy the selected files.
  • Open the folder where you want to put your backup copies in Windows Explorer.
  • Ideally, this will be on another computer, on a removable disk stored far away from your home, somewhere on the Internet, or at least on a different hard disk.
  • Select Edit | Paste from the menu to paste your .pst files to the backup location

Your backup copy of Outlook data is now in place, ready to be restored when you need it.

Offer a Free Second Opinion

This form of marketing is very easy and effective. You can mention in your advertising that you will provide a free second opinion. When a client comes in for that second opinion such as "whether the product they are looking at is a good deal or not", you have two chances to generate business. The first one is that the item they are looking at IS a good deal and you probably won't be able to beat that price. However, you can offer to customize the item. 

 

The other option is that the product isn't a good deal and you can do better for cheaper and possibly get a new sale out of it.

Because of the disaster in Japan and with the recent flooding here in California (two of clients affected by the last weekend flood), many of our clients are asking us what they can do to protect their businesses from what would be devastating consequences resulting from the loss of data.  I have researched this extensively and recommending the following  affordable solutions for Disaster Recovery and Business Continuity:

Option 1- Barracuda Backup device

This unit will back up your server and automatically stores a backup online (in the Cloud).  In the case of total disaster (everything has been destroyed, including the Backup device), the company will send you a new backup device already loaded so  you can restore your information and you data is available online at anytime.

Option 2- Symantec Backup and disaster recovery,

Symantec Corporation has come out with the Backup Exec. System Recovery (BESR) as part of backup and disaster recovery for the small businesses.  This package is a very valuable augmentation to your existing Backup Exec software that is installed on your server.  It takes an image of your server and data and copies it to an External drive.  I would recommend a two-drive rotation, where we backup to two separate drives, one stored at home (for example), and the other, at the office. In case of a disaster, the information can be loaded onto another server within a few hours. No online availability, but fast recovery.  Your current tape backup does the backup file by file and takes a lot longer to restore you data.

Every business should have a business continuity plan in place.

 

 Not an idea, but a well articulated and detailed course of action to ensure that their business can get through a disaster and continue on in the aftermath. This plan includes crisis management, business procedures/processes and work area management to name a few considerations.

Disaster Recovery Terms
 
Business Continuity (BC): Includes planning to ensure the continuity of business critical functions in the event of a major unplanned service failure or disaster-including key aspects such as personnel, facilities, crisis communication, project management and change control. A BC strategy includes a Disaster Recovery Plan (DRP) for IT related infrastructure recovery.

Disaster Recovery (DR): Part of a larger Business Continuity plan that includes processes and solutions to restore business critical applications, data, hardware, communications (such as networking) and other IT infrastructure. Can also include measures to protect against other unplanned events such as the failure of an individual server or shorter service interruptions.

Mission-critical: Systems or applications that are essential to the functioning of your business and its processes.

Redundancy: Systematically using multiple sources, devices or connections to eliminate single points of failure that could completely stop the flow of information.

High Availability (HA): A system or component that is continuously operational for a desirably long length of time.

 

Recovery Point Objective (RPO):

The age of files that must be recovered for normal operations to resume if a system goes down as a result of a failure.

 

Recovery Time Objective (RTO):

 The maximum tolerable length of time that a computer, system, network or application can be down after a failure or disaster occurs.

 

 

Hotsite:

A DR facility fully equipped with the equipment, network connections and environmental conditions necessary for restoring your data and getting your systems up and running instantly. (unlike coldsites and warmsites, which are not ready to go in an instant)
