Understanding Copier & Multifunctional Service Contracts 
 

This month's article deals with Service Contracts on Copiers and Multifunctional Equipment. If you are a medium or high volume user you should always have some type of Service Agreement. By medium volume I mean anyone doing 3,000 copies per month or more. If you are a low volume user a service contract makes sense if you need service more than twice a year.

There are several types of contracts. The most popular are Labor Only & All Inclusive. With a Labor Only Contract Parts and Consumables (Toner, Developer etc.) are additional. The second is an All Inclusive (except for paper) Contract. This contract is generally offered on a unit bought new from a supplier. The supplier knows the approximate yield of the supplies and parts and in this way can offer a Cost Per Copy Program that includes everything to run the unit for a certain amount of copies.

At Dean Office Solutions, LLC we offer All Inclusive Contracts on our New and Reconditioned Kyocera, Konica/Minolta, Ricoh and Canon equipment. We can also customize a service agreement to include only Parts & Labor or Only Labor & Toner.

Often, when we pick up a new service customer a Labor Only or Labor & Toner agreement makes the most sense since we do not know how long the Parts, Developer & Imaging Units will last. Rather than replacing them, to give an All Inclusive Contract, it makes the most sense for the customer to replace them when needed and go with a Labor or Labor & Toner Contract.

Tip of the Month 

In most Copier/Multifunctionals there is a low toner sensor. If you are out of toner removing the cartridge and shaking it gently should allow for extra use. Do it only once as repeated shaking can result in damage to the cartridge.

Always try to call for more toner when the last one is put in.
