Protocol # 07 (Excerpt from "The Protocol Book")
This states that each day - not once in a while - your front desk team will meet for five minutes to "regroup".
- Where are we at with the schedule?
- Did we collect what we were supposed to collect?
- Do we understand all remaining co-pays and balances due?
- Are there any major gaps in tomorrow's schedule that someone needs help with?
- Have I returned all my calls?
Hold the meeting midday - around 1 pm for most offices. Sign off in a daily log that you did, in fact, meet. This isn't elective. It's mandatory.
Rationale
Gotta get paid. That simple. Few offices I know can obtain the magical fifty percent net. Thirty to forty percent is way closer to what I hear. Want to know the number-one "Pac-Man" to your profits? It's those little uncollected balances: the fifty-dollar deductible, the co-pay on the direct composites you just did, the final third of the lower denture you inserted - and you better get the final payment on that service!
Things will happen in the course of a day to interrupt the focus of your front desk: broken appointments, a collapse of tomorrow's hygiene schedule, even personal issues - they
just happen.
This very necessary meeting is the neutralizer - the tool you need to refocus a front desk and maximize daily efficiency and collections.
