Protocol # 57 (Excerpt from "The Protocol Book")
This one calls out to the appointment coordinator. Virtually all appointment coordinators confirm the day before. This protocol challenges this staff member as the schedule is coming together to "step back" and consider "is this going to work?" Is there really enough time to insert the case, prep the teeth or evaluate a newly inserted loose-fitting denture that's had four post-insert adjustments? It's a scheduling responsibility that if overlooked can result in the doctor either twiddling her thumbs or running at full throttle. This protocol is analogous to an early warning system: "This isn't going to work - fix me!"When scheduling an appointment in the doctor's schedule, step back and consider the following: - What exactly will the doctor be doing? (six full-coverage preps versus a single tooth prep)
- What is the patient about? (high-fear versus no-fear)
Although the clinical staff is responsible for written times for the procedure, if you don't think it looks correct because of the above, ask the doctor directly. In an effort to reduce changing a patient's appointment time, this protocol needs to be executed at the time the appointment is made. The last opportunity to use this protocol is during the confirmation of the next day's appointments, which will require having the patient charts at hand. Rationale Common sense is a requisite to a "smooth-running operation." Sometimes, in the haste of checking out a patient, the assistant or doctor will ask for an unrealistic treatment time. This protocol encourages front desk staff members to question what feels like an "off time" request. If the doctor requested two hours to insert a single unit, the mistake would be patently obvious. However, a one-hour request to insert six units might get scheduled. This will result in one of two consequences: If the mistake doesn't get picked up, you'll have chaos (running late, moving patients around - anxiety!) Or, even if you pick the error up in the morning meeting (step no. 8 of the morning meeting is to identify these types of errors), you will still make calls, move patients around and generate inconvenience. This protocol is dedicated to reducing that inconvenience and getting it right at the appointment time. It's a check and balance. It's a little thing that goes a long way.
