morning financial meetingThe topic of discussion for this meeting is to cover any and all financial issues for patients on the current day's schedule.  Meeting time should be immediately following the morning staff meeting. The insurance administrator will indicate all financial issues or dollar amounts to be collected when the patient is checked out including; 
  • Treatment plan payments due
  • Balances due
  • Professional Courtesies
  • Insurance benefit information for patients that have potential treatment to be done will also be available
  • The hygienists will indicate the patients on their schedule in perio therapy returning for perio maintenance, to discern whether or not it's "coverable" or to be collected
Following the meeting, "meeting complete" form will be dated and signed to verify the meeting was executed.
 
Rationale:
Total success is different than financial success. I'm certain there are many practices with impressive gross revenues that are chaotic or frentic.
 
We want financial success - but smooth and calm as well. It comes from planning. This protocol just ensures preparation. It allows the receptionist to confidently and clearly say (because, they already reviewed the relevant information at the meeting): "The balance due today is $1,100.00. How would you like to settle that?" Conversely, it prevents Mrs. Dalsworth (80-plus years old and knows exactly what her prophy costs minus her professional courtesy) from getting her feathers ruffled. Takes a maximum of ten minutes. And the return is huge!
