My vision for the Northern New Jersey Chapter of ARMA coincides with all of our board members. We envision an active chapter with members that not only attend our presentations, but also freely participate. They reach out to one another forming a highly qualified network of Information and Records Managers. We envision our members assisting in mentoring others and encouraging one another to attend monthly meetings to ensure they benefit from the instruction of our speakers and the networking benefits of learning along side our sponsoring vendors. This is just a little of what we envision for the 2011 - 2012 season.  

 

We also realize that there will be many challenges to membership this season. We have all been affected by the current economy and most are directly affected by the high percentage of unemployment; However we feel that this is the time to sharpen our professional skills with the information and training provided by attending our monthly sessions and to take full advantage of the networking opportunities available through our peer relations.

 

We encourage you to join us in our vision. Come and take part in what we feel will be a season of change, growth and inspiration.

ARMA NNJ BOARD TRANSITIONS

V I S I O N 

 

"The first step toward creating an inspired future is developing the ability to

envision it."

 

Every year the ARMA NNJ Board of Directors (BOD) meets to discuss the prior year and begin planning our goals and objectives for the next fiscal year. We take a look back at what we accomplished or what we can do better. Then we look forward, brainstorm and develop improvements and plan new initiatives. This year the BOD, including incoming and outgoing officers met on Thursday, July 29th at the Honeywell Learning Center in Morristown. 
 

Our president, Lori Green kicked the meeting off by sharing her vision for the Chapter's upcoming year. She laid out her thoughts on what she hoped we as a whole would accomplish and offered some new initiatives she wanted to see take shape. The rest of the BOD also included their visions, thoughts and ideas for improvements. These ideas were recorded and will be expanded and further discussed in future meetings. Some will require committees to implement plans in order to realize the goal or objective. The BOD's focus was on providing improved value to our members that include: a community project, membership surveys to obtain their input, CRM study workshops and refreshing our By-laws and the Chapter's Retention Schedule to name just a few.
 
 

To better set the stage for the leadership; we reviewed the BOD Code of Conduct, we discussed the traits that will make us an effective BOD to serve our members effectively in all areas of RIM, personal support and development; and, we laid out the requirements and expectations as to how the BOD will function. Each Board member shared their ideas and offered suggestions to consider as some of our plans were developed. New members of the Board then broke into groups with the transitioning Board member to discuss individual position responsibilities and to transition any information or resources such as files, supplies and proposed changes to existing processes.
 
 

Towards the end of the day, the Board member's individual visions were coupled with the President's to form a unified vision. During the course of the year, we will work to make this vision a reality. Everyone left the meeting inspired and motivated to start the new year off and make it better than ever. We plan to offer even more to our members and make our chapter one that all of our members will be proud to be a part of and get as much value out of it as they possibly can.

ARMA NNJ First Chapter Meeting of the Season  September 21, 2011 Meeting

  

We are looking forward to seeing you at our first chapter meeting of the season. Please join us on September 21'st for special guest speaker Dr. William Saffady as he presents; Managing Email as Records.   

 

Email management in all of its aspects-retention, legal ande-discovery issues, storage and archiving of messages, backup, indexing tracking, email security-is arguably today's most significant and widely acknowledged records management problem.   According to ANSI/ARMA TR-02, Procedures and Issues for Managing Electronic Messages as Records, policies for retention of email messages and their associated metadata are essential for compliance with legal/regulatory requirements and to support the continuing conduct of an organization's business. An organization must identify email messages that are considered official copies and preserve them in a reliable, secure manner that will ensure accessibility throughout the retention periods. This presentation will review issues and concerns associated with email retention and will discuss practical solutions for addressing these concerns.

 

 

William Saffady is a professor at the Palmer School of Library william saffadyand Information Science, Long Island University. He is the author of over three dozen books and many articles on information management topics, including records management, digital document management, information storage technologies, and library automation.    

His latest books are Records and Information Management: Fundamentals of Professional Practice, Second Edition, which is the most widely used textbook on records management, and Cost Analysis Concepts and Methods for Records Management Projects, Second Edition. Both titles were published by ARMA International (the Association of Records Managers and Administrators) in 2011. Other recent books include Managing Electronic Records, Fourth Edition, which was published by ARMA International in 2009, and Digital Document Management, which was published by ARMA International in 2007. In addition to teaching and writing, Dr. Saffady serves as an information management consultant providing analytical services and training to corporations, government agencies, and other organizations. Dr. Saffady is a Fellow of ARMA International

Jacki Cheslow is the Senior Manager of Corporate Compliance at Avis Budget Group with primary responsibility for the record managements program; policy creation and management; and compliance and ethics training. A Certified Compliance & Ethics Professional (CCEP) and a candidate for Certified Record Manager, she hopes to complete her CRM in the very near future.

With more than two decades of experience in RIM, Jacki's background includes stints as Manager, Corporate Records & Global Information Security at Avis Budget Group and Manager Business Compliance at Actavis Inc., a generic pharmaceutical manufacturer in New Jersey.

Jacki is a member of ARMA International, ARMA NNJ and SCCE - Society of Corporate Compliance & Ethics. She holds a degree in Business Assurance and Security from Kaplan University.

Paul Silva has been a Sales Executive at GRM Information Management Services since 2007 and is responsible for developing new business opportunities in the areas of Records Management, Electronic Document Management, Data Protection and Certified Destruction through a consultative approach. Prior to joining GRM, Paul was a Sales Executive at Verizon Information Services and R.H. Donnelley. Paul attended Montclair State University and received a certification in computer programming from Chubb Institute. Paul resides in Wayne, NJ with his wife and son. 

 

Lucy Rieger

Lucy Rieger, CRM, MLS, is an information professional of 35 years. She is a principal of Records Update and Library Update, providing information management consulting, administration and support services to corporations, law firms, accounting firms, universities, government agencies, and not-for-profit organizations. Lucy served as the President of the New Jersey Law Librarians Association and has been a presenter at the national conference for the American Association of Law Librarians. She has written articles for professional journals and newspapers such as Spectrum and the New Jersey Law Journal.  Additionally she writes articles for Patch.com, minds her garden, kyacks, walks, takes pictures and blogs.

June 23, 2011 Summer Celebration Event and Mini Presentation: A New Approach to Proactive Information Governance for Shared Drives and Desktops 

 

Great way to end the season! Scott McLaren from NextPage presented A New Approach to Proactive Information Governance for Shared Drives and Desktops.

 

Studies show that over 80% of stored unstructured content has no business value - nor legal need for retention. Migrating these huge volumes to a centralized repository is cost-prohibitive and operationally impractical. Scott discussed a "managing in-place" strategy that dramatically reduces the volume of unstructured content - and why organizations should re-think its information governance strategy regarding unstructured content.
 

The presentation was followed by member appreciation awards, delicious dinner, a fun segment called RIM Anonymous, networking and lots of laughs.

I would like to echo Lori's comments ... the meeting on the 23rd was GREAT! Anyone that knows me knows I love to network and socialize which I got the opportunity to do easily ... I got to see some old friends and made some new ones. The games were a great way to get everyone to interact, fun and entertaining, and the mini-presentation was quite informative (I remember ... DNA!). All the folks that attended indeed had a great time and stayed late, I know because I was one of them ... The music by Chris Reilly is always on beat! Enjoyed it and most definitely looking forward to next season! Great job and Kudos to all the NNJ Board Members for another great year!

This is chapter three of a series of articles that brings to play what we are about as a Local Chapter of ARMA International. Mr. James P. Mullan has been an ARMANNJ for over 20 years. He shares his thoughts, passion, interest and accomplishments with you.  

 

The Reluctant Jedi is now approached by the Master Jedi who states, "Well you have done my young apprentice; but tell me, now, and how you sense your growth and development on the path of becoming an ARMA NNJ Jedi?"

 

With a little pride in hearing that he did well in the eyes of the Master Jedi the Reluctant Jedi felt compelled to clear his mind and his soul of something that had stopped far too many times. The dark force had created a barrier bondage within the young Jedi forcing him to accept his self imposed limitations compounded by the fact that the young Jedi was without the high academic credentials from the Jedi academy having not even attempting to gain the galaxies esteemed CRM certification.

 

However, the young Jedi gains some strength and answers the Master Jedi. Master Jedi, with the aid of ARMA NNJ and its members I was able to accept the power of the force that freed me from the ties of the dark side and showed me a way to demonstrate my skills as I attained new knowledge and skills through self learning and attaining certifications in every new category that my employment presented. The force enlightened me and gave me confidence. I became the "can do" person and as my responsibilities increased I was able to share what I learned to everyone who worked on my teams. It is this experience Master Jedi that enables me to demonstrate what I have learned and how the alignment with ARMA NNJ has helped me grow and develop. As these experiences enabled me to gain more and more confidence I was again humbled when the very organization that gave me so much, gave me more than anything I could have imagined. I was awarded Chapter Member of the Year in 1996! My growth and development reflects what learned and what I put into action. It is getting involved and participating: that is what it is all about! The result of your effort is the catalyst. It makes you self aware: you find yourself. It gives you the ability to pay forward by helping others. This is how I know I have grown and developed. The Master Jedi smiled and said, "well you have done my young apprentice: indeed well done"!

Annoucement!

New Qualification Standards 

 

The ICRM recently announced, that after a unanimous vote of the Board of Regents, it has reduced and simplified its exam qualifications in order to eliminate administrative hurdles previously faced by CRM prospects.  Applicants who properly demonstrate achievement of a four-year (bachelor's) degree from an accredited institution of higher education must also demonstrate one year of professional Records and Information Management (RIM) experience. Alternatively, one year of professional Records and Information Management (RIM) experience can be substituted for each year of college education.

The revised qualification requirements will go into effect on August 31, 2011.  Applications currently under consideration, as well as those received prior to August 31, 2011, will be judged under the new qualifications.

Vision and Mission

The ICRM has a new vision and mission.

 

Vision: The Institute of Certified Records Managers (ICRM) is the certifying body for Records and Information Management (RIM) professional, recognized and valued by employers and RIM practitioners world-wide.

 

Mission: To certify RIM professionals as Certified Records Managers (CRM) and administer a certification maintain program.

 

Debra Gearhart, CRM, FAI and the current ICRM President believes that "the key words in this statement 'recognized and valued' are so very important. I'm confident that our current certified records managers indeed value their designation. What's maybe more important is that their employers understand and recognize the value of certification."

 

Strategic Plan

The ICRM Strategic Plan, developed in the fall of 2010, was focused on Opportunities for Growth, Increased Recognition, and Business Process Improvement. To assist with this, the ICRM has done the following:

  • Dynamic branding - the new logo is just one piece of this.
  • Formalized and licensed the CRM Examination Preparation product that will be launched in January.
  • Created a brand new website - check out www.icrm.org!!
  • Revised the CRM Exam outline.
  • Exploring new revenue streams.

 

CRM Exam

For those who are interested, the registration for the Fall CRM exams is now open. Registration closes on November 3. The exams for Parts 1 to 5 are available on November 7 to 11 and part 6 can be taken on November 17.

 

During the last meeting of the CRM Exam Development Committee, 47 new questions were added to Parts 1 to 5 and 7 questions were removed. In addition, 2 new Part 6 essay questions were added. The Committee also reviewed and updated the Exam Outline for Parts 1 to 5. The revised Outline will be effective beginning January 2012.

 

Certification Credits

For active CRMs, please note that the 2011 ARMA International Annual Conference has been pre-approved for 14.5 hours. I know I'll be submitting these hours as soon as I return from the conference in mid-October. The conference attendance goes a long way in helping reach the recommended 20 hours a year over a 5-year period to keep your certification.

A Foundation for Responding to Litigation

   

The Electronic Discovery Reference Model (EDRM) begins with a node titled Information Management, which recognizes the relationship between the normal information handling practices of an organization, and the impact those practices have on the electronic discovery process. Yet, it falls short of describing standards or best practices that can be applied to the complex issues surrounding the creation, management and governance of electronic information.

A new white paper authored by former United States Magistrate Judge Ronald J. Hedges, addresses the topic of how the Generally Accepted Recordkeeping Principles® (GARP®) Information Governance Maturity Model can provide guidance in both investigations and litigation.
 

ARMA International's GARP® framework is designed specifically to provide a scalable, broadly applicable framework to address information management issues as they pertain to litigation and recovery. The information handling practices of any organization (regardless of size, industry sector, private or public ownership, etc) has a direct impact on its ability to adequately support and defend its actions.
 

"The relationship between an organization's information-handling practices and the impact those practices have on its ability to respond to electronic discovery is recognized in the EDRM. But, the EDRM falls short of describing standards or best practices that can be applied to the complex issues surrounding the creation, management and governance of electronic information," said Hedges.  "ARMA International's Generally Accepted Recordkeeping Principles® and its Information Governance Maturity Model are designed specifically to provide a salable, broadly applicable framework to address these issues."
 

By focusing on the internal needs of organizations, including their obligation to respond to government investigations and to engage in litigation, the Information Governance Maturity Model offers an invaluable approach to records management that may be of assistance to any organization interested in protecting itself in the use of its information assets by complying with legislative and regulatory mandates and designing and implementing effective records management programs. Hedges white paper looks to the model in the context of both investigations and litigation.
 

One of the benefits of The Information Maturity Model is that it speaks to the GARP Principles® and in each, establishes levels that an organization may aspire to reach. The Principles are:

  • Accountability
  • Transparency
  • Integrity
  • Protection
  • Compliance
  • Availability
  • Retention
  • Disposition

Within each principles fall 5 Levels:

  • Level 1 (Sub-Standard)
    Sub where no clear definition of the records the organization is obligated to keep and no central oversight.
     
  • Level 2 (In Development)
    The organization has identified the rules and regulations that govern its business and has introduced some compliance policies. However, policies are not complete and there is no apparent or well-defined accountability.
     
  • Level 3 (Essential)
    The organization had identified all relevant compliance laws and regulations and has systematically carried out its creation and capture of records.
     
  • Level 4 (Proactive)
    Organizations should take comfort in that systems have been implemented to capture and protect records. Metadata is available to demonstrate and measure compliance. Regular audits and training occur.
  • Level 5 (Transformational)
    The importance of compliance and the role of records and information are clearly recognized at the senior management and board levels. In addition, the roles and process for information management and discovery are integrated.

Hedges' white paper further explores the interplay between records management and litigations or government investigations. It advocates the application of the Information Governance Maturity Model from a perspective that recognizes that the best information management policies anticipate the demands of litigation and investigations.
