Spring flowers are blooming, the days are longer, the weather is much warmer and still the Northern New Jersey chapter continues to turn up the heat with yet another hot presentation, "Records Management in a Social Media World".

 

Special guest presenter Patricia C. Franks, PhD, CRM defined social media as a term that encompasses a number of emerging technologies.  Where we are most familiar with Facebook and Linked In, most social media encompasses technologies that can facilitate some type of activity between individuals and groups both inside and outside an organization. Social media tools include blogs, wikis, podcasts, social networking sites, and sites to share photos and bookmarks.  Pat discussed how thoroughly social media has influenced groups of individuals in all types of businesses and organizations.

 

"An overwhelming number of marketers consider social media to be integral to their strategies this year, and 70% plan to increase their social media budget by more than 10% this year, according to a poll from Effie Worldwide and Mashable."

What a surprise it was to learn that certain industries use social media solely to inform and influence consumers.  Their primary goal being to increase Facebook "Likes" and to forecast marketing and advertising based on consumer response.

While social media certainly serves its purpose by encouraging and fostering collaboration and socialization, the massive amounts of information being created are a cause of concern for those responsible for managing it.  Pat discussed a number of solutions along with encouraging the use of Social Media Polices & Procedures or Social Media Standards within our organizations.  We all enjoyed the open discussion and walking away with a number of solutions in our tool box.

Records Management - Thriving in Challenging Times. 

 

The role of records management in organizations is rapidly changing.  Depending on one's perspective, these shifts in priority and focus may represent  threats or opportunities for the records management professional.  Mr. Stephenson will draw upon his experiences in records management, information technology, and business consulting to provide his insight into the dynamics of the current market.  He will provide specific examples of best practices, offer guidance for the effective management of digital assets, and discuss real-world examples of both effective and not-so-effective records management practices.  His goal is to share information that will immediately help you become more effective in your career.

Pablo Alonso

Pablo Alonso is a National Sales Executive (NSE) for Recall Corporation.  He has over 5 years of tenure at Recall working on the National Accounts Team negotiating national and global agreements for Global and Fortune 500 corporations headquartered in the Northeast. 

Pablo has extensive experience in sales and account management with over 25 years of tenure in National Sales and Sales Management within the Information Management industry.  Prior to joining Recall, Pablo has had a successful career in sales and account management at Xerox Corporation, dedicating 15 years of service, along with additional sales experience gained at Computer Associates and Applied Theory (now NaviSite) Corporation.

Pablo has earned a B.S., Applied Mathematics and Statistics from State University of New York (SUNY) at Stony Brook.  He enjoys playing golf and collecting sports memorabilia.  He currently resides in Stony Brook and has three children, Amanda, Gregory and Matthew

Mary Hamm

 

Mary Hamm is the National Records Manager for Drinker Biddle & Reath, responsible for records management for the firm's 650+ lawyers in 11 cities. Mary has over 15 years of experience in information management and has worked on a variety conversion and lateral attorney group integration projects during her career. She works in the firm's Florham Park, NJ office and is a member of ARMA and ALA (NJ and NYC chapters).

 

Yusuf Kansay


Yusuf Kansay is a Project Manager in the New York Metro Territory with Iron Mountain. His area of expertise is Records Management, Data Protection, and Secure Document Destruction. Yusuf Kansay is also an expert in logistics and project workflows in helping clients across all industry lines with customized solutions designed to overcome the barriers of specific business challenges in staying compliant, providing litigation support and enhancement of information management programs. Yusuf started his career with Iron Mountain 6 years ago as a courier and since then has held multiple successful leadership roles in coaching and mentoring teams, providing customer satisfaction, improving process efficiencies and is a subject matter expert in safety, security and implementations in enhancing chain of custody. Yusuf currently holds a B.S in Business Management and is a Certified Six Sigma Black Belt.

April 2011 Meeting Presentation:

Records Management in a Social Media World  

Dr. Patricia Franks was the guest speaker for the April meeting presentation entitled, "Records Management in a Social Media World". Social media includes any media for social interaction, using highly accessible and scalable communication techniques.Examples include blogs, wikis, podcasts, social networking sites, and sites to share photos and bookmarks. Dr Franks started the presentation off by explaining why social media is so important now, shared some statistics on popular services and who's using them. She explained some of the unique properties and characteristics of records resulting from social media and the challenges they represent.

 

Social media is a relatively new phenomenon. Government agencies and companies on all levels are exploring ways to capitalize on the popularity. It allows them the ability to interact with citizens or customers and offers individuals the ability to collaborate. An example of one initiative included the Center for Disease Control providing wikis to be re-posted on many websites to distribute product recall information. To show how organizations use social media to inform and influence consumers an example showed companies use blogs to share coupons for products, highlight items of interest and draw interest. Even heavily regulated firms, like those in the financial sector, know social media can help them gain a competitive advantage.  

 

Challenges in controlling social media information for organizations include identifying records, applying retention and educating users on appropriate use. Some best practices that can be put into use includes updating RIM policies and training course to include social media, defining and applying controls, and updating records retention schedules if necessary to better define social media records. Recommendations for controlling an organizations appropriate use of social media includes supervision of sites, restrictions on personnel access, using disclaimers for proper use and monitoring posts. Additional RIM responsibilities include keeping backups for preservation, classifying information with retention and applying policies and procedures with supporting education. Dr Franks pointed out ANSI / ARMA Standards were published in January 2011 providing guidance for RIM professionals using web based collaborative technologies for records management purposes.

Dr . Patricia C Franks is a certified records manager and coordinator of the Master of Archives and Records Administration (MARA) degree offered through the School of Library & Information Science at San Jose University, San Jose, CA.  Pat was the Project Leader for the ARMA/ANSI standard on the Implications of Collaborative, Web-based Technologies in Records Management.  She is the author of a number of articles, including Understanding Web 2.0 and Challenges for the Records Manager.  Her most recent research project resulted in a report for the IBM Center for the Business of Government titled How Federal Agencies Can Effectively Manage Records Created Using New Social Media Tools.

Jim MullanA Conversation with a Reluctant Jedi: Mr. James P. Mullan 

Chapter-2, Contributions of a Reluctant Jedi:

This is the second chapter of a series of articles that brings to play what we are about as a Local Chapter of ARMA International. Mr. James P. Mullan has been an ARMANNJ for over 20 years. He shares his thoughts, passion, interest and accomplishments with you.  

Tony: "How was Jim to contribute to the continuing success of the ARMANNJ?"

 

When the Reluctant Jedi Jim finally joined the ARMANNJ Chapter of ARMA International he became well aware that the Chapter had accomplished much and was positioning to accomplish much more. How was Jim to contribute to the continuing success of the ARMANNJ? From the lessons Jim learned from his first Jedi Masters, Jim scanned the Chapter and the evolving technology environment around it as well as for our culture and society. In Jim's early membership years Jim began to see changes that include: the emergence of Electronic Imaging 1992 and in 1993 the imaging technology really started to get everyone's attention.  

 

As a new and developing Jedi, Jim was lucky enough to become a member of the ARMANNJ Chapter with a Jedi Council of some marvelous and exceptional people who embraced the vision and mission of Records and Information Management (RIM). The Jedi council was known for their passion and expertise. The Jedi Council consisted of Joan Gallagher, Michael F. Zampella, William F. Lynch III, Diane M. Gunia, Scott Bowker, CRM, H. Curt Vogt, Cynthia M. Sheward, and Fred A. Pulzello.  These members were the heart and soul of the association for many years.  Mike Zampella was the Chapter's first Webmaster and IT Technologist, and Michael is known as the Chapter's "Pin Man": he collected Chapter pins from each ARMA International Conferences he attended! Scott Bowker who brought life back into the Chapter by building the foundation for members to successfully complete the CRM exam and of course igniting the renaissance of the ARMANNJ Library.  All of this began to make sense. The Reluctant Jedi, Jim, realized that you only get out of something what you put into it: the lesson learned was service and participation in order to foster passion and excellence in all that we do. These lessons transformed individuals and the membership. Jim ran for and was accepted as "Director at Large" and following that assignment Jim became the Chapter's Treasurer. By the way, this was done the old fashion way with ledger books (Jim was able to use pen and ink as the quills were retired). There was no software such as Quicken available in these early years.  

 

After this assignment which lasted about two years Jim was not able to run for other positions due to career changes. However, Because of what Jim learned Jim was able to make tangential contributions serving as an IAC (Industry Action Committee) Chairperson for the Transportation Industry for a couple of years. (Today it is called the ISG (Industry Service Groups). You can see that with any chance Jim had to get involved, Jim did get involved. As a RIM Jedi, Jim recommends that we do the same. Jim the Jedi asks us to remember, that we only get out of something what WE put in it. The bottom line is to volunteer and to serve on the National and Local Boards and, to serve on committees. In this way we continue to enhance the association and enable the Chapter to grow, develop and prosper.  Jim, the RIM Jedi, instructs us to help others in the same way that Chapter helped him and reminds us that in doing this we are helping ourselves and our Chapter. This is the contribution of the Reluctant Jedi. Jim illuminating guidance is summarized in one of his lessons learned: "...do not let GOOD prevent you from being GREAT"!

We have made several new additions to the Chapter Library recently. Kathleen Timothy, Immediate Past President, has donated Microsoft Office SharePoint Server 2007 Best Practices and we added the winning scholarship paper by Clare Hilliard. On behalf of the chapter, I want to thank Kathleen and congratulate Clare.

 

We currently have 285 publications in our Library. Now I just need more people to make use of the collection. I'm sad to report that no one has borrowed anything in 2011. Please take advantage of this valuable (and free!) resource.library

 

As a reminder, the Chapter Library page is located in a new area of the Chapter Website. Click on the Member Benefits button on the left side of the page and you are presented with some additional buttons. Click on Chapter Library and you get all the information you need on how to borrow a book, including the complete listing and an order form.

Congratulations to Clare Hilliard, Scholarship Winner 

Rutgers University New Brunswick Campus, New Jersey!

 

As the ARMA NNJ Scholarship Chair, I am pleased to announce that Clare Hilliard is the recipient of our 2010 - 2011 Scholarship Fund. Clare has received her $500.00 scholarship check several weeks ago.  She submitted her subject paper on "The Records and Information Management Profession" that answered our question on the Records Manager's role in an organization, including the reasoning and importance of key competencies and skill sets that are needed for success. Her paper included citations from key textbooks, Information Management and the ARMA and ICRM websites.

 

Clare attends Rutgers University in New Brunswick and took Steve Dalina's graduate records management course in the Fall 2010 semester. Clare was one of three students who submitted a paper for the scholarship.

 

Normally, we announce the scholarship winner at the June meeting but Clare will not be able to make it do to an important family commitment - the 60th wedding anniversary of her grandparents. We opted to do some earlier publicity - please check out the Scholarship webpage where you can access Clare's paper. The paper will also be included as part of the Chapter Library and Chapter Archives.

 

On a final note, I want to thank this year's judges:  Seth Beim (MetLife), Frank Menci (J&J Health Care Systems) and Carol Mullen (Barclays Capital). I appreciate their efforts in reading the three papers and making the decision on which paper was the most worthy of the scholarship.

LinkedIn.com is the largest professional networking website on the web with over 100 million users. In some aspects it's similar to social media websites like Facebook but there are many differences that set it apart. LinkedIn is designed specifically for professional business networking. It connects you to trusted contacts and introduces you to new colleagues. In some ways LinkedIn is like handing out your business card at a meeting, only your business card in this case is an online profile. Your profile allows you to share details about your professional identity including your work experience, professional RIM expertise, accomplishments and more.

After your profile is created you can create "connections" with other individuals you work or worked with as well as many professional connections you may not yet know but can be introduced to.  You can search for specific individuals by name or find new connections by company, industry, affiliations and browsing your colleagues' connections. One example of using the site occurred after I had recently read a section of a RIM related book on email management. I had a few questions so I searched for the author on LinkedIn. I was able to contact him and asked my questions directly which he responded to the same day. After using the site for even an hour or two you will be bound to have a number of connections which will grow to many in just a short time.

One of the features LinkedIn provides is the ability to join "group profiles". Groups include college and corporate alumni, RIM related groups including ARMA International and Society of American Archivists and hundreds of thousands of other organizations. Group members can access a group's profile in order to share ideas, start discussions on topics, pose questions or request assistance. Several years ago ARMA NNJ created a LinkedIn.com group profile page. In the beginning, only a few board members were included as contacts.  Today, we have over 60 members and more are joining regularly. ARMA NNJ group members are able to stay current on chapter updates often before they are announced elsewhere. Most importantly, group members can show their support for the chapter by having the chapter logo and a link displayed on their personal profile pages. This is a great way to show your affiliation with our chapter and helps increase our visibility on the web.  

If you haven't already used LinkedIn I encourage you to try it out. If you are already using the site be sure to join the ARMA NNJ group profile!

The Nominating Committee is preparing a slate of candidates for positions on the 2011-2012 ARMA NNJ Board of Directors.

 

The Board of Directors is comprised of a diverse group of Records Management professionals whose mission is to support the ARMA NNJ Chapter's membership and is elected by via an open ballot vote.

 

The conduct of the Board of Directors is governed by the Bylaws of ARMA NNJ Chapter.

 

The terms of office are:

  1. Officers are elected for one (1) year
  2. Directors are elected for one (1) and two (2) years

The Board of Directors serves three (3) primary functions:

  1. To serve the membership of the ARMA NNJ Chapter by setting meaningful objectives that will produce results that are of value to our membership, serve the community and to enhance professional growth and development in the discipline of Records and Information Management.
  2. To advance the principles and practices of Records and Information Management.
  3. To liaise between ARMA International and the North East Region Leadership serving the membership of the ARMA NNJ Chapter.
