Here's an update on the Summer Raffle fundraiser.  The Chinese Raffle brought in $679 and the Silent Auction netted $1690 for a total of $2,369.  Thanks to all our members and guests for their generosity.  Kudos to Mary Randall and Kerry Woloszynek for their efforts in organizing this event.

Our July meeting will be held in Geauga County at Pioneer Water Park on July 14th. The cost is $20 per person for everyone 40 inches and taller. Guests under 40 inches are free. This includes admission, parking, all day beverage service and an all you care to eat  picnic lunch in one of their pavilions. The menu will consist of hamburgers, hot dogs, potato salad, macaroni salad, four bean salad and cole slaw. Members are encouraged to bring friends & family to this fun-filled event.
 
Why should the Tour Groups have all the fun with Mystery Trips???
Join us Aug. 11 at 11:30 for our Summer Mystery Meeting! (Punctuality is important for this meeting!)
Dress will be casual and plan to be at the meeting until 2pm!
Meeting location will be disclosed shortly.
 
September 1st we will journey to Wayne County for a meeting at Ramseyer Farms just outside of Smithville. Dan Hostetter & Tiffany Gerber will address the I want to learn topic of  Fam Tours.

Each issue of the Explorer newsletter will feature a "spotlight " on two members, giving them an opportunity to share what's new or upcoming .  Members will be chosen at the monthly luncheons, another good reason to attend meetings for an extra member benefit.

Chalet Debonne 
  
Debonné Vineyards is Ohio's largest estate winery featuring European style wines including Chardonnay, Pinot Gris, Cabernet, Riesling, and Ice Wine.   With over 100   rolling acres of vineyards surrounding the winery location, it offers a picturesque and unique destination for patrons.  The internationally award winning wines can be paired with one of our many appetizers or grilled sandwiches.  Live entertainment is the feature every Wednesday and Friday evening, and Saturday and Sunday afternoons.  Debonné is also home to over 30 special events a year including our Annual Hot Air Balloon Rally, Summer Jazz on the Vine Series, and Classic Car Show just to name a few.

 Ashtabule Cvrd Bridge
 
 
Ashtabula County, covered bridge county of Northeast Ohio, home of the longest covered bridge in the United States - the Smolen Gulf bridge on State Road over scenic Ashtabula River.  Dedicated August 2008 it is 613 feet long and 93 feet above the river. We have a total of 17 covered bridges throughout Ashtabula County that are featured at our Covered Bridge Festival, October 10 & 11, 2009.  We have hand-made crafts, food and live entertainment at the Fairgrounds in Jefferson.  Tour our bridges, meet our citizens, enjoy Ashtabula County!  For more information contact us at 440-576-3769 or www.coveredbridgefestival.org
President's Report
Hello Adventures in Northeast Ohio Members!
 
I hope you all have your towels and sun block ready because we will be headed to Geauga County this month for an "Adventure" at Pioneer Waterland!  This great park will be our host as we kick back and mingle with colleagues and friends.  Remember the summer meetings are more about fun and celebrating our great tourism partners then our more formal meetings the rest of the year.  Please plan to attend and bring family members for this great afternoon of activities.
 
I would also like to formally introduce you all to Amy Kermode our summer intern.  Many of you had the chance to meet Amy at Debonne Vineyards last month, but for those of you who where not there, please introduce yourself this month.  Amy comes to us from Lakewood, OH originally but she is studying Tourism at the University of New Hampshire.  We are very lucky to have Amy with us this summer and please call the office if you have any experiences you can provide.  Amy will be with us all summer and will be traveling around to the different member's locations to get a "flavor" for the tourism industry in N.E. Ohio.  So if you have a project, festival or event you would like to have her at, just call the office and set up the time and date with Mary and Amy.

Back to Basics - Database Tips
 
 
With today's ever-changing economy even the smallest company has to have some degree of automation.  Automation means computers.  As I have experience on only a few computer database programs, I cannot offer a critique on the advantages and disadvantages of particular software.  I can share a few tips on using computer databases.  
 
Databases can be used to keep track of many different aspects of any sales program such as: Client and prospect lists; Booking information including dates, number of guests, income; Contact record which could include direct mail, marketplace appointments, inbound calls, a sales blitz, Visitors Bureau lead, etc.  That's can be a lot of data!  Here are a few suggestions that may help you manage the information in your database.
 
As records in a database get old very quickly I have two mandatory fields for every record - Create Date and Modify Date.  My database automatically places the current date when a new record is created.  When I change information in a particular record I manually update the modify date.  With these two fields I can tell the age of the record and quickly decide if a certain record should be included in an annual mailing, for example.  For records that are not client or good prospects, I usually mail  only those records that are no older than 3 years.  
 
How did a particular client or potential client get in your database?  I have a Lead Source field.  In this field I place information indicating where the lead came from.  For example: Inbound Call; WRTC or American Bus Association; Client; Direct Mail, Group Tour Magazine info request, etc.   I have almost 100  separate categories in this field.  If someone calls to book a visit and this client is in my database, it will tell me my marketing is working!
 
A complimentary field to Lead Source is the Group Code field.  In this field I have some 135 different codes such as: Tour Operator, Senior Citizen, Youth, Group Leader, College or School, Office Group, Church, etc.  In this way I can quickly target a wide range of niche markets for my quarterly custom-made promotions.  In addition to marketing, the Group Code field can be used for my annual review of client make-up.  This information is used to plan next years budget.
 
I also maintain a separate field for Top Clients and top prospects.  With this field I can quickly generate a list of labels and follow-up call sheets for my top client annual mailing.  The records included in this field change annually and throughout the year. 
 
Another field I use is Client By Year.   Although I record create date and modify date, with well over 6000 records, pulling out clients from say the year 2008 can take a bit of time.  With a Client By Year field I only need to deal with those records in that one field.  The information is quite helpful comparing client mix and repeat business one year to another.
 
These few suggestions barely scratch the surface.  I could literally put together a small book on using databases effectively.  These few offerings are perhaps the most helpful for easily improving your database and ultimately your bottom-line.

Adventures in Northeast Ohio is a membership organization and we are in need of new members. The board put together the 2009 budget based on 100 member; to date, we are below that goal. To be able to continue to partner and provide some of the benefits of membership, we need to increase the member count. Do you as a current member know of someone in another organization that would benefit by Adventures regional approach to tourism? Electronic Profile Book
 
As you know, in the past we have published a group tour profile book including all of our motorcoach-friendly members.  We have not produced a recent version of the piece but in order to accommodate a growing interest from tour professionals, we will be publishing an electronic version. Using an electronic format, we can easily publish updated versions of the profile book and make it available online through our website: www.adventuresinnortheastohio.com.
Please submit a PDF version of you company's updated group tour profile to me by email no later than July
20th. Each member may submit one two-sided 8 ˝ x 11 sheet in full color. Only PDF versions will be accepted. Tonja Marshall, Ally Bussey and I will work to incorporate Viewer software on the website to make the profile book user friendly.  Please contact me with any questions at 800-527-3387 or

Adventures Discount Rack Card
Rack Cards
We will be printing an updated version of the Discount Rack Card that will mirror the artwork developed for the organization's pop-up banner stand. The artwork features photos and bold colors as well as bullet points listing major attractions and themes in the region. The back of the card will have copy, discount information and a map as well as logos for Adventures in Northeast Ohio and  the state of Ohio. The purpose of the card is to market the organization's brand and more importantly, drive traffic to the website.
