Lean in the Office:
Want to Increase Your Productivity?
Take more breaks!
It's no secret that phone calls and email interruptions are consuming our days. Studies show that it takes the average worker 4 minutes to recover from the interruption. If you're interrupted 30 times per day, you've lost two hours of your workday!! So, what's the answer?
One way that managers can reduce this waste for themselves and their staff is to give everyone permission to schedule blocks of time where calls go to voice mail and the in box is closed. Each worker has time to concentrate on their tasks, minimizing errors and increasing personal productivity. By staggering the "down" time for team members, customer service doesn't have to suffer and lost time can be minimized.
How much could you accomplish with an extra five hours per week?

Greetings!
How would you like to go home on time everyday? How would you like to gain an hour of productivity each day, an extra five hours per week? How would you like to reduce the lead time to fulfill your customers' orders?
By applying the Toyota Production System to your workplace, you can make major improvements such as these for little or no cost. I'll give you solid tools to accomplish these goals (and more) in my one day workshop, but here are some ideas you can implement immediately!

Think Lean!
Do you have clear goals and objectives for yourself and your department? Do you have clearly defined action steps with deadlines for completion? By defining specific and measurable goals and developing action plans, you and your staff never waste a moment wondering what to work on next. Once you establish these plans and hold your team accountable for results, you'll find that motivation levels will soar and you will easily achieve the desired results. Work Lean!
What does your doctor know that can improve your business?Have you've been to the doctor's office lately? If so, you may have noticed that your doctor has implemented a number of mistake proofing processes. I went in for a routine check-up recently. I was quite impressed with the steps my doctor and his staff have taken to ensure that they they perform the right procedure on the right patient. During my visit, staff members asked me for verification of my name, address, and birth date before proceeding with any treatment. I quickly realized that they were employing Lean mistake proofing methods to ensure perfect quality and elimination of costly (and potentially harmful) waste. What processes and work steps could you mistake proof to eliminate waste for your company and improve service to your customers?

Continuously Improve!
An easy application of Kaizen in any environment is to consistently seek the feedback of your customers. By asking customers for their evaluation of your product or service, you gain access to information that your competition would love to have. Once you know what your customer wants, you no longer have to guess, you can concentrate your efforts and resources on meeting or exceeding their expectations.
So consider customer feedback, even complaints, as a gift, and go to work to leverage the feedback information with continuous improvement steps that will vault you ahead of your competition.
Good Luck!
