The annual Blood Drive for members of the Northwestern faculty and staff will be held on Thursday, July 22nd from 9:00 a.m. to 3:00 p.m. in Norris Center, Louis Room.  For the past several years Northwestern has placed in the Top 20 Donor Group.
We encourage your participation in this much needed resource to our community.  Appointments may be made by email.

A Reminder - Exempt Staff Leave Accruals 
 
With only two months remaining in the fiscal year, exempt staff should begin to enter their accrual usage in HRIS Self Service . All vacation, sick, and personal time used during the fiscal year (September 1, 2009 through August 31, 2010) must be entered by Friday, September 10, 2010.
 
In the new fiscal year, leave accrual tracking for exempt staff will be managed in Kronos. Your available balance will be transferred from Self Service into Kronos by mid to late September. An announcement will be sent to exempt staff when Kronos is available for use.

HRIS 9.1 Upgrade 
 
HRIS has begun work on upgrading the HRIS system from the current version 8.9 to 9.1. The Upgrade project is scheduled to run throughout 2010, and HRIS plans to go live with the upgraded 9.1 system in early 2011. Regular project updates will be communicated.

Helping new employees to "hit the ground running" 
 
In the late summer and early fall, many departments and centers at Northwestern are hiring and onboarding new staff members, thus, making it a good time to review the comprehensive onboarding process that has been designed to help new employees feel comfortable and confident during their first days and weeks on the job. 
 
The NU onboarding process has been developed based on research, respect for employees, and common sense.   Here are some of the tools to make onboarding new employees a smooth, effective, and positive experience:
 
Two Orientation Sessions  
  • New Employee Orientation Part 1 is the best way for newcomers to get acquainted with the University in a very short amount of time.  They receive crucial information about benefits and logistics, as well as an overview of the University's structure and the many resources that are available to employees.  New Employee Orientation Part 1 is offered weekly, alternating between the Chicago and Evanston campuses. 
  • New Employee Orientation Part 2 is designed for employees who have been at the University for a few months and are more settled in their positions.   Participants have the opportunity to interact with and hear a senior administrative leader speak on the University's mission and vision.  There are interactive workshops focusing on major business processes and policies, goal-setting and communication, as well as a networking lunch.  This session is offered quarterly on both campuses.

  •  "A better understanding of the mission of NU,  and the way in which communication occurs."

FAQ's
 
The following is a short list of questions that applicants and hiring managers often ask of the Staffing Consultants.
 
Internal Applicants
      
Q. What is the NU policy on internal transfers and promotions?
A. To be eligible for a transfer or promotion, a staff member must be in his or her current position for at least one year. However, there is no length of service requirement to transfer within your own department. To be eligible for transfer or promotion, you must be in "good standing", which means that you are not on any type of performance action plan and that you are meeting all of the expectations of your current position.

Q. As part of the interview process, what information will hiring managers be considering?
A. Hiring managers consider a number of factors when assessing candidates for employment including but not limited to: current position and responsibilities; professional and academic accomplishments; relevant skills and/or training; relevant work experiences; transferable skills; candidate's performance in the interview, etc. Additionally, managers may review an internal candidate's most recent performance evaluation and perform a reference check with the internal candidate's current supervisor. 
 
Q. When will my current manager be contacted regarding a reference in the hiring process?
A. We will not contact your current manager/supervisor unless you are the final candidate of choice, and we will notify you before doing so. 
     
Q. Is there a "probation" period for transfers or promotions?
A. Yes, there is a 6-month orientation and review period after any transfer or promotion.

 
Hiring Manager

Q. In the e-Recruit system, who is responsible for entering the rejection codes for applicants?
A. It is the responsibility of the hiring manager and/or designated departmental staff supporting the process to enter the rejection codes for all of the applicants.
 
Q.How long does my position need to be posted?
A. Any staff position graded EXS 9 or below is posted for at least 5 business days. Any staff position that is above the EXS 9 grade level is posted for at least 10 business days.
 
Q. How long does a background check take to come back?
A. Typically a background check takes 3-5 business days, though if someone has lived in many different areas it may take longer.
 
Q. Can I advertise/post a job opening in other places besides the NU Website?
A. Yes, the Staffing Department has several advertising options in addition to posting on our website. Advertising options include: Careerbuilder.com, Higheredjobs.com, NPO.net (non-profit jobs), various association websites, various diversity associations and websites, etc. We also work with the "Graystone Group", recruitment advertising specialists in academia, to explore other advertising options. Many of our vendors provide us with incentives and special pricing. so please partner with your Staffing Consultant for more information.
 
Q. How can I best utilize my Staffing Consultant?
A. You should consider your Staffing Consultant as a partner and a resource as you work to fill your position. They can support you by doing the following: exploring advertising and posting options; screening candidate resumes and routing qualified candidates; phone screening qualified candidates; conducting in-person interviews with top candidates; conducting background and reference checks; extending offer / generating offer letter; etc. Call your Staffing Consultant directly to discuss ways that they can support your search for the qualified candidates.

Benefits Briefs - Portable Tuition Benefits
 
Important Notice:  New Administration Guidelines for Portable Tuition Benefits
Effective July 1, 2010, the Benefits Division will make an important administrative change to the Portable Tuition Plan.   On July 1st, we will require proof of dependent eligibility for the Plan.  Proof of Eligibility may include a copy of the dependent's birth certificate or redacted 2009 tax return in which the dependent was listed as a dependent. (Redacted means that financial information and Social Security numbers should be blacked out.)

The Benefits Division will require this information for every new application. Tuition payments will not be paid until proof of dependent status is validated.  Enrollment of dependents in University-sponsored health plans is not considered acceptable proof of dependent status.

FAQ's
 
 Q. Why can't I validate proof of dependent status by the fact my dependent is on my health plan?
 A. Currently Northwestern does not validate every dependent on the health plan; therefore, it is not evident proof that the dependent is in fact a legitimate dependent.
 
 Q. What if I don't have either of the documents listed?
 A. The Benefits Division requires either of the documents listed above in order to process the portable tuition payment for unmarried natural dependents. See below for exceptions to adopted dependents.

 Q. My child is adopted.  I don't have the birth certificate.  Now what?
 A. Natural unmarried children, adopted children and step children are eligible for tuition benefits. 
 
The following outlines which documents should be presented for each:
 
  • Natural: Birth Certificate or Redacted tax form where the child is listed as a dependent.
  • Adopted: Legal Adoption Pages.
  • Step Child: Birth Certificate with biological parents' names AND employee's marriage certificate.

E-Verify Update
 
Northwestern Completes Employment Verification of Active Population
 
On January 26, 2010 Northwestern started using a new electronic Form I-9 system to comply with E-Verify Federal contractor regulations. The E-Verify program is the best way employers can ensure that individuals are legally authorized to work in the United States.
 
As part of Northwestern's participation, all existing paid individuals were required to submit a one-time electronic Form I-9 by July 25, 2010. Over the past several months, the Office of Human Resources Payroll Division partnered with Schools/Areas across campus to complete this initiative. To date, over 17,500 I-9s were completed.  We are pleased to announce that we are in compliance and would like to thank everyone for their participation. 
 
As a reminder, all new hires will continue verifying their work eligibility within three business days of the date of hire. Paper Form I-9s are no longer being accepted.
