Teens and preteens are becoming more involved with potential threats from the use of interactive technology. Our presenter will describe the most common threats and who engages in them. She will also provide information about how young people can protect themselves. This workshop is presented for members of the faculty and staff who are interested in educating themselves and their children about cyber safety. Time will be provided for questions and general discussion.

Tuition Reimbursement Information Sessions
 
Northwestern University School of Continuing Studies (SCS) and the Northwestern Human Resources Benefits Division will host an Information Session for benefits eligible Northwestern employees on May 4th and 6th.

 

These sessions will explain how you can advance your career and take advantage of tuition benefits through the part-time, evening, and weekend undergraduate, graduate and post-baccalaureate programs available through the School of Continuing Studies. New Web Site Features Major Northwestern Policies 
 
So many policies at NU, and so many places to find them.  Not any longer.  A new top-level page brings together links to all the University's major administrative policies in one easy-to-navigate place. The new Web site, www.policies.northwestern.edu, also features a standard policy template. For the first time, the template offers a consistent framework for clearly articulating the information faculty and staff need to know to adhere to a particular administrative policy.
 
Links to policies are listed in two ways: under categories --- academic, financial management, human resources, information technologies and research --- and under audiences, either faculty or staff. Or if, say, "discrimination" is typed in the Web site's search box, all links to related policies will appear.
"The idea is that a person can go to one Web site to know how to do University business -- whether related to purchasing, firewall technology, hiring, religious holidays, faculty effort reports or whatever," said Provost Daniel Linzer.
 
A University administrative policy is one with broad applications throughout the University. Such policies help to ensure coordinated compliance with applicable laws and regulations, promote operational efficiency, enhance the University's mission and reduce institutional risk.

Did you know that you can establish online access to view your 403b Retirement plan contributions?  You can also establish and make changes to your beneficiary elections.  To get started, log in to your investment company's website and review your personal profile information.  For the TIAA CREF website logon on to: www.tiaa-cref.org    For the Fidelity website logon to: http://mysavingsatwork.com.  If you need assistance you may give them a call directly at 1-800-842-2776 for TIAA CREF   or 1-800-343-0860 for Fidelity.

 
Dependent Children over Age 19
 
Recent  changes within both state and federal law have had significant implications for dependent children and taxability issues surrounding the plans. For example, a new law introduced on October 7, 2008 and enacted in 2009 tightened the definition of "qualifying child" to require that the child generally must be unmarried and younger than the employee. The state of Illinois subsequently introduced a law last year that stated all fully insured plans must cover dependent children through age 25 - however, these children may or may not qualify for pre-tax benefits under the definition of a Federal Tax Dependent.
 
In other words, all unmarried dependents up to age 26 are eligible to be enrolled in the employee's health, dental and vision plans - however, some unmarried dependents may not be eligible to receive the pre-tax benefit for his or her portion of the premium. You will be responsible for determining the the tax status of your dependent(s) and notifying the University if there is any change in dependent status.
 
There are many different definitions of a Federal Tax Dependent - far too many to list here. The Benefits Division will, however, be sending a packet to all participants who currently cover a dependent child over the age of 19. Please take the time to read through this information carefully, and to understand what this means for you and your family. You will be required to return the form to the Benefits Division indicating the tax status of your dependent(s). If you have dependent children covered under the plan, and don't receive a packet by May 1, 2010, please contact Kirsten Williams at 847-491-2075 or kirsten-williams@northwestern.edu.
 

Same Sex Domestic Partners

Our health plans provide coverage for same sex domestic partners subject to the tax laws applicable to domestic partners.  In some rare instances, a same sex domestic partner may be eligible for pre-tax benefits if they meet certain support and dependency tests to qualify as a  'tax dependent' under the Internal Revenue Code.

If you currently cover a same sex domestic partner under the health, dental, or vision plan at Northwestern, you will receive a packet in the mail outlining how to proceed. 

If you currently do not cover your same sex domestic partner, but may choose to at some point in the future, please keep this in mind as you complete your Declaration of Domestic Partnership form.  We have updated our form to include a portion specific to the taxability of domestic partners and their covered dependents.  Please remember that Northwestern University does not offer insurance benefits to domestic partners of the opposite sex.

Striving for a Healthy Balance:
The Northwestern University Office of Work/Life Resources provides programs, services and consultation to enable staff and faculty to effectively balance the competing demands of work and home.     
 
What's New?
The Office of Work/Life Resources has been working with the community to increase the capacity for quality, affordable childcare for Northwestern families. Three new arrangements have been made to expand childcare availability for NU. 
 
  • Harkness House for Children, 10 minutes north of Evanston, now has some dedicated childcare spaces for NU families. These spaces are available on a first come, first served basis. Please contact Kellye Bryant at 847-501-2549 for additional information.
  • Infant Welfare Society of Evanston, now has some dedicated infant spaces for Northwestern families. These spaces are available on a first come, first served basis. Please contact Pamela Staples at 847-491-9650.
  • Chiaravalle Montessori, Evanston, now has some dedicated spaces for children ages 3 and 4. These spaces are available on a first come, first served basis. Please contact Nancy Syburg at 847-864-2190 to determine availability. 
 
In Need of Back-up Childcare? The McGaw YMCA Children's Center now has dedicated spaces to accommodate Northwestern families on a first come, first served basis. For details, contact Rebecca Slenk at 847-475-8580.
 
In Chicago, the University Children's Center also has dedicated spaces to assist Northwestern families with back-up care. For additional information, contact Leigh Hafeman at 312-867-7056.
 
Tips:
  • Pre-Register well in advance of your need for back-up care.
  • Take a tour with your child before you actually need care.
  • Contact the center to determine availability as soon as you know you will need care.

Gearing Up for Summer Recruiting: Hiring Temporary Employees
 
Summer at Northwestern University is a busy time for hiring new talent.  Whether you need a temporary employee to help cover for vacations or a regular staff member for your department, HR Staffing can help.  Over the next two months, we will give you some tips for getting ready to make effective hires during this busy time.  In addition, next month will cover hiring regular staff members.
 

The NU Temporary Staffing Center:  Making It Easy to Hire a Temporary Employee!

Did you know that NU has its own internal temporary pool?  This pool provides the same services that an outside staffing firm would provide but at a reduced cost.  Alexis Wisniewski manages this talent pool and has been staffing specifically for NU for approximately four years.  Alexis is an extension of the HR Staffing team and works regularly with the staffing consultants to fill various positions on both the Chicago and Evanston campuses.  Whether you have a short term project or need long term coverage in your department, the Temp Center can provide someone, in some cases as soon as the next day.  Any temporary employee provided by the Temp Center has already been screened and interviewed by Alexis, and has completed skills evaluations for MS Office programs.  The Temp Center most commonly staffs for administrative/clerical positions but may often have candidates with accounting, financial and IT backgrounds.  If you currently work with an outside staffing vendor, give the Temp Center a try the next time you have a temporary need! 

If you have a full time vacancy in your department, you can have a temporary employee start and, in some circumstances, hire that individual full time if he/she meets the qualifications of the position.   This is a great way to try someone out in the role before making the full time employment commitment. Check with your staffing consultant to determine if this is an appropriate process for filling your vacancy. If you do decide to move forward with hiring the temporary employee into a regular staff position, please note that temporary employees hired through the Temp Center must remain in temporary status for a minimum of 320 hours or approximately eight weeks before they can be hired into a regular position. At that time, Alexis would partner with your staffing consultant to convert the temporary employee to full time.  Call Alexis at 312-503-1234 or email her at alexis-wisniewski@northwestern.edu the next time you have any type of temporary need and she will be happy to help!

City of Evanston's Summer Youth Employment Program

The Summer Youth Employment Program (SYEP) is a nine-week paid summer work experience for Evanston students ages 14 to 18. The City and local businesses employ SYEP participants to perform a variety of full and part-time entry-level tasks to include bank tellers, office assistance, computer/software installation and maintenance, data entry, reception, camp counselors, building maintenance/custodial, painting, food service, and grounds maintenance.  For more details, please visit the program's website at www.cityofevanston.org/departments/humanrelations/youth.shtml.

HR Staffing is participating in this program by attending the SYEP Job Fair on April 17th to recruit students for summer jobs.  If you would like to hire a student for nine weeks during the summer through this program, please contact Beth McDonald at 7-0324 or eamcdonald@northwestern.edu.

Policy Corner

Why do I receive emails about how many hours my temporary employees have worked?

If you supervise temporary employees, you may receive emails when those employees start approaching 1000 work hours.  The emails are a reminder that the employee is nearing the maximum number of hours they can work in a temporary status, as defined by the Employment Retirement Income Security Act (ERISA).  Northwestern's policy, in compliance with ERISA laws, states that temporary employees may not work at the University more than 1000 hours in a 12 month period.  You will start receiving emails when the employee reaches approximately 700 work hours, so you can anticipate when they will reach their limit and plan accordingly.  Once you receive the first email, please contact your Staffing Consultant to discuss options for what to do as your temporary employee reaches their 1000 hour limit.  Unfortunately moving the temporary employee to the payroll of an outside staffing vendor is not an option, so if you cannot hire the individual full time, a replacement most likely will need to be found. For more information, call 312-503-0611 for the Chicago campus or 847-467-0324 for the Evanston campus to be directed to the Staffing Consultant for your department.
