This workshop will clarify the latest about the risks of unhealthy habits, highlight the importance of physical activity and offer specific tips and resources for keeping your family on the right track. Leigh Hafeman, Center Director for the University Children's Center, will present this workshop.

"How to Cope with Today's Stress and Strains" Presented by Maureen Dorgan Clemens, L.C.S.W. Wednesday, December 2nd - Chicago Campus Robert H. Lurie Medical Research Center Gray Seminar Room - Noon to 1:30 p.n. Friday, December 4th - Evanston Campus Norris Center, Big Ten Room - Noon to 1:30 p.m. This workshop provides a roadmap for managing stress and turning toward positive health. There will be a discussion of how stress impacts illness; how sleep is affected by stress; and how our thinking contributes to our stress level. You are welcome to ask personal questions and participate in the discussion.
NU Employee of the Year Nominations
If you have a colleague who consistently goes the extra mile, consider submitting a nomination on his or her behalf.
Starting Monday, November 16, 2009 The Office of Human Resources will be accepting nominations for the NU Employee of the Year Awards. Each year, one staff member from the Chicago campus and one from the Evanston campus (including Doha programs) is recognized for their outstanding contributions.
Who's Eligible? All staff who have been employed for a minimum of three years and have not received an award previously. Last year's finalists are eligible.

| Benefits Briefs - Open Enrollment |
|
Action Required during Open Enrollment Open Enrollment is now underway! Open Enrollment is your one opportunity each year to review your benefit plan selections and determine if your current selections and premiums will fit your needs for the coming year. Further information about the alternative plan to Unicare will be published this week.
Certain changes require action now!
- If you are currently enrolled in a health care or dependent care FSA, HSA, or limited-use FSA and you want to continue participating in 2010, you MUST actively re-enroll in these plans. Make your election online through HRIS Employee Self Service (https://nuhr.northwestern.edu).
- If you are re-enrolling in the dependent care FSA account, and you wish to apply for the University match, you MUST submit a copy of your most recently filed United States income tax form 1040 along with the Dependent Care Match application to the Benefits Division.
- Are you increasing your life insurance for 2010? Any change to your life insurance plans for 2010 requires completion of the Evidence of Insurability Form. This includes Basic Life Insurance increases, Supplemental Life Insurance and Spouse Life.
All forms can be submitted to the Benefits Division at 720 University Place, Evanston. Are you on the Chicago campus? No problem! You may stop in any day during Open Enrollment to speak with a Benefits Representative or to drop off your form(s) at Abbott Hall, 710 N. Lake Shore Drive, on the Chicago campus.

| Faculty and Staff Information System Project Kick Off |
A kick off was held on October 22nd to announce the start of a new system for collecting and reporting on faculty information. This is a university wide endeavor that will include the participation of Central Administration, School Administrators, School IT Staff, and Faculty. Kathy Tessendorf is leading the effort with a team of HRIS Business Analysts, IT, Office of the Provost, and Institutional Research Staff. This project will develop a premier Faculty and Staff Information System, create a central repository and authoritative source for faculty data, and integrate data between Enterprise and School Systems. As briefly stated in last month's HR Review, the Staffing Team has remains focused on client customer service. The Staffing Department is dedicated to providing high quality customer service to the Northwestern community. This critical objective includes supporting departments with varied and diverse recruitment and selection tasks or projects. Last month, an abbreviated list of our services was communicated. Below you will find a broader list of Staffing Department services.
- Develop candidate search profiles
- Design targeted sourcing strategies
- Build and manage candidate pipeline
- Create and conduct behavioral and situational interviews

Policy Corner
Q: Why do I receive emails about how many hours my temporary employees have worked?
A: If you supervise temporary employees, you may receive emails when those employees start approaching 1,000 work hours. The emails are a reminder that the employee is nearing the maximum number of hours they can work in a temporary status, as defined by the Employment Retirement Income Security Act (ERISA). Northwestern's policy, in compliance with ERISA laws, states that temporary employees may not work at the University more than 1,000 hours in a 12 month period. You will start receiving emails when the employee reaches approximately 700 work hours, so you can anticipate when they will reach their limit and plan accordingly. Once you receive the first email, please contact your Staffing Consultant to discuss options for what to do as your temporary employee reaches their 1,000 hour limit. Not sure who to contact? Work/Life Q & A...
Q. What can I do? My sitter needs the day off and my child is off school for a teacher institute day.
A. Did you know that you can contact either the McGaw YMCA Children's Center or the University Children's Center to register for back up care? You take care of the registration and paperwork ahead of time, and when you know you might need care, you contact the center to see if there is an opening at the time you need. Both childcare centers have some NU dedicated back up care slots. They are allotted on a first come, first serve basis, so call as soon as you have a need.
Q. I have an elderly parent who lives in another state and is in need of additional help, where do I start?
A. Did you know that if you have concerns about an elder relative, you can contact Phyllis Ellis within the Office of Work/Life Resources? She can discuss your needs and help you locate resources. Contact Phyllis at 847-467-1460 or p-ellis@northwestern.edu.
Q. I don't have children and I don't need assistance with eldercare issues, what can Work/Life Resources do for me?
A. Work/Life Resources offers programs to help with a variety of concerns.
- Did you know that if you are looking for a pet walker, you can sign up for your free enrollment with Sittercity and gain access to a list pet walkers or sitters? Enter HRIS Self Service (https://nuhr.northwestern.edu). From the main menu, click on Sittercity.
- If you are considering a flexible work arrangement, and want to think it through prior to discussing it with your manager, you can contact the Office of Work/Life Resources at 847-491-3612 to consult confidentially.
- Looking for information about dealing with life transitions, stress management or time management? The Office of Work/Life Resources coordinates workshops to address these topics. | HR Services: Holidays |
With the holidays quickly approaching, now is a good time to review policies regarding the use of holiday pay and the scheduling of vacation and personal floating holidays. Nonexempt employees who are required to work on a holiday receive 1 ½ times their regular hourly rate for hours worked on the holiday. In addition, those employees may choose to schedule an alternate day off for the holiday within 30 days before or after the holiday worked, with management's approval, or they may elect to receive the equivalent of their straight time pay for the holiday. To be paid for a university scheduled holiday, exempt and nonexempt employees must be in paid status for at least 50 percent of the pay period in which the holiday falls. With many employees choosing to take vacation over the holidays, it will be important for management to ensure appropriate coverage. Scheduling of vacation, personal floating holidays, and alternate holidays is always at the mutual convenience of the employee and the employing department, and requires the prior approval of the supervisor. For nonexempt staff, floating holidays earned during the year must be taken by the end of the last full pay period of the year, which for 2009 is December 13th - December 26th. Floating holidays not taken in the year earned are converted to sick time days. For exempt staff, floating holidays unused by year end (December 31) are forfeited.
