Why use the Procurement Module? |
|
The Procurement module is a relatively new module that first appeared in version 10 of Primavera Contract Manager. This module has some very power functions that can help make managing a project easier.
First, estimates that were developed outside of Primavera Contract Manager can be imported into the Procurement log. Coordination between the estimator and level of detail needed by the person buying-out and recording contracts and purchase orders in Primavera Contract Manager is an important first step. Estimates can also be manually entered into the Procurement log as well.
Once the Procurement Items are entered, they can be broken into more detail. Dates can be assigned to the Procurement Items for required buyout dates and tracked via the Primavera Control Center. The dates can be manually entered or linked to activities in a Primavera schedule.
Bidders are entered into Procurement Items either from the project's Company contact log, another project log or from the Group or master list of contacts for the database. This is a major time saver when building a project's contact log.
Bids can be analyzed and tracked using reports from the report library, an Unawarded Procurement Item alert or HTML reports available from the Select an Action... drop-down list in the Procurement log. Bids can be reviewed and compared against other bidders for the same item(s). A quick decision can be made as to whether to award individual Procurement Items to individual bidders or group items together for better costs.
Contracts and purchase orders can be generated from Procurement Items containing successful bidders. Cost codes from the Procurement Items are rolled into the generated contract or purchase order to maintain continuity of cost history in the cost worksheet. Contact information for unsuccessful bidders can be inactivated in the Company module so as to eliminate them from the Select Contact popup window.
There are many advantages to using the Procurement module as outline in this article. Try it to see if it works for your company. Keep in mind though that a balance must be maintained between the amount of detail entered versus the information needing to be tracked.

Working with Log Layouts... |
What is a log layout? A log layout is the way information is grouped, sorted, filtered and organized in a log. Every log in Primavera Contract Manager has this functionality. Users can change a log layout simply by choosing Customize layouts... from the Layout drop-down list in the upper right-hand corner of any log, then click the Go button to initiate the action. Users assign a unique name to the layout then add or create new filters, sorts or groupings as needed. Columns can be added, removed, re-ordered and resized as needed.
To display the layout, simple select it from the Layout drop-down list after saving it. Layouts can be exported to Microsoft Excel, modified further, then printed. |

Security and User Accounts |
User Accounts are used to establish login profiles for each user that will be working in a Primavera Contract Manager project. User Accounts identify the login name and are broken out in four main sections:
- User Information
- User Level Access
- Templates
- Projects
The User Level Access section is broken out into six sub-sections that control access to Group or database level functions that go across all projects. Access to functionally such as adding, deleting, editing or transferring layouts are controlled in the User Interface subsection. User Account security plays a vital role in controlling how and if individual users can modify the User Interface and other key functions the Primavera Contract Manager. It is important that each user logging into a Primavera Contract Manager project be setup with a User Account that controls this functionality to minimize unnecessary interface modifications.
User Accounts are managed within the password protected Administration utility. The Administration utility is a separate URL or login address from that of the Primavera Contract Manager project login. Access to the utility should be managed carefully.
Being aware of security implications associated User Accounts is a key responsibility for those administering Primavera Contract Manager in a multi-user environment. Users, especially those not trained on Primavera Contract Manager functionality, should always be assigned a secured User Account. |
